Hospitality Guidelines

The dining facility will be open thrice a day (Breakfast, lunch and dinner), two
hours each time. Participants will have access on those specified hours only.
Accommodation services will provide mattress and pillow only for individuals
alongside common dormitory washroom facilities. Apart from the sleeping
area(mattress), individuals will be provided with no private rooms/area. The
open dormitory area and facilities are to be shared by all.
Individuals can only register in single event except Mr. Udghosh (which is open
to all).
Maximum of two faculty members/coaches are allowed for every institute due
to accommodation constraints. A contingent must have all the students from a
particular college.
The colleges finally confirmed in particular events, are required to mail soft
copies of No Objection Certificate and travel details (for example, reservation
tickets) for every participant from their respective colleges.
In addition, confirmed colleges are required to carry printed copies of the final
confirmation letter and NOC (No Objection Certificate) attested by dean to be
presented at the hospitality desk by the contingent leader while registering his
or her college.
Approved team members’ details will be strictly followed. Any deviations will be
met with a severe penalty. Kindly note that, absence of individuals poses fixture
revamps and delays, if such situations arise contingent leader or team leader
will inform Hospitality team earlier.
The payment of the fee will be received online through a payment portal which
will be conveyed by Hospitality Head to the contingent leader of the
college/institute.
Refunds of the security deposit will be initiated after the festival (up to two
weeks) by a National Electronic Funds Transfer (NEFT) form, which the
contingent leader must fill while deregistering.
Every participant must carry two passport sized photographs, to be used on
their UDGHOSH’22 ID-cards.

Registration procedure during the festival will take place at the Hospitality Desk for a
contingent at a time, individuals will not be allowed separate entry/registration and
must be with the contingent.
The contingent leader must receive the Registration Receipt from the registration desk
during the registration procedure. The Receipt is to be kept during the festival,
duplicates will not be issued.
The contingent should produce their Institute Identity Cards before receiving the
Udghosh’22 ID cards. Individual will not be allowed entry without proper documents for
proof.
All participants must carry their College Identity Cards and Security ID Cards (issued by
the Hospitality cell) at all times during the event and should produce the same on
demand. In case Udghosh’22 I-card is lost an amount of ₹200 must be paid to get a
duplicate I-card issued.
Please do note that we are in no position to deal with a contingent’s theft concerns,
especially after the theft has taken place. We advise you to take care of your personal
and expensive goods.
Institute buses shall be playing at regular intervals to and fro from the railway station to
the IIT Kanpur campus on 14th -16th of October. However, if you do not find a bus waiting
at the station, and do not want to wait at the station hospitality desk, you are advised to
board auto rickshaws (Vikram) and arrive at the IIT Kanpur campus on your own. Auto
fares vary from ₹300 to ₹350, just in case you do not have an idea about the fare.
Keep the contact numbers of the Health Center in the IIT Kanpur campus saved on your
cell phones. That might be a very useful measure in case of any medical emergencies or

A meeting between contingent leaders and Udghosh’22 team will be held every night
23:00, each leader must attend at least one meeting. All complaints and suggestions will
be entertained during that meeting. If you fail to attend the meeting, no grievances shall
be entertained later.
Accompanying faculty/coaches will be provided separate accommodation away from
their contingent. (They might have to share room in case of a double room with other
faculty from different college).
Participants are not allowed to shift mattress or pillows or bed sheets from the rooms. In
case any of these are found missing from our accommodation facilities at any point of
time, strict action will be taken against the college contingent staying there.
UDGHOSH'22 T-Shirts shall be on sale near the hospitality desk and you are advised to
collect your receipts and keep them with you.
Any change in the list of contingents must be intimated before 10th October 2022 to the
hospitality team.
Fine of ₹400 shall be imposed in case of loss of provided key of lock for room.

Contingent on having Accommodation Outside-Campus

Due to guidelines issued by our college authority, we will not be able to provide you with a
night's stay on the campus.
The time during which teams are allowed inside the campus is 6:00 a.m. to 11:00 p.m. Teams
are free to choose their own accommodation facility.
*The Institute accepts no responsibility for the team's stay in any hotel outside of the
Institute. The payment for the outside stay has to be made to the third party directly.
