SAMPLES FOR THE PERIOD OF ONE YEAR FOR SPICES BOARD RO

(ADDITIONAL TERMS & CONDITIONS)

Spices Board, Ministry of Commerce & Industry, Govt Of India, Sugandha Bhavan, NH Bye-
Pass, Palarivattom Post., Ernakulam- Dist, Kochi, Kerala- 682025 invites Bid / Tender through
GeM Portal from reputed firms for providing services of Courier for sending Samples, for a
period of One year from the date of award of work, for our Regional Office Bangalore
(Karnataka), Unjha (Gujarat), Kolkata (W.B) and Field Office Ahmedabad (Gujarat).

The eligible / interested Bidders participate in above Bid / Tender through GeM portal under
two bid system (Technical Bid & Financial Bid) as per Rule 149 and 158-164 of GFR 2017.
Bidders are required to submit the following documents as well as accept all the terms and
conditions as a part of the Technical Bid. Details are as under:-

1) Only firms registered in India are eligible to participate in the Tender / Bid for selection
of Courier Agencies.
2) Spices Board requires sending samples of various Spices to Regional Laboratories of
Spices Board across India, for Quality analysis. Samples may be in Solid, Semi Solid or
Liquid form. The Selected Agencies are responsible for proper packing and sending
these samples to the destination point within stipulated time period.(i.e, Overnight and
not exceeding 48 Hrs in case of remote/ distant locations, after collection of the samples).
The integrity of the samples shall be maintained at the delivery point.
3) The successful Bidders are responsible for packing and shipping of samples for a period
of one year from the date of award of contract.
4) Bidders are required to submit proof of Past Experience in similar work, Annual
Turnover of the firm in last three years, valid GSTIN, MSME Certificate etc along with
their Technical Bid.
5) Bidders shall not quote their Rate in the Technical Bid. Technical Bids indicating Rates
will be rejected. Bidders also required to accept the terms and conditions of the Tender /
ATC.
6) The services for sending samples shall also include packing of the samples. Cost of
Packing Materials, Packing charges etc to be included in the quoted rates.
7) Total quantity of Samples mentioned in the Bid document is only tentative and the same
may be varied as per the actual requirements. Hence, Spices Board, at its discretion may
increase or decrease the quantity of samples to be shipped during the contract period.
8) The selected Agency (s) shall submit their monthly Tax Invoices along with other
documents (Consolidated Statements, Dockets, Bank Account particulars etc) to Spices
Board by the 5th working day of the succeeding Month. Processing of the payment of
Bills may take 15-45 days time period after receiving the Bills.
9) Spices Board, at its discretion may discontinue the services of Courier agency at any
time, if the quality of the work is found unsatisfactory or the agency deviates from the
terms & conditions.
10) If the selected agency (s) wishes to discontinue the services, the same shall be notified to
Spices Board well in advance, i.e, not less than 90 days.
11) All Corrigendum, Amendments, Time Extensions, Clarifications etc if any to the tender
will be hosted on GeM Platform and Official Website of Spices Board
(Website: www.indianspices.com). Bidders should regularly visit the GeM Portal as well
as Official website of spices Board to keep themselves updated. In this regards, No
separate advertisement will be published in the Newspapers or other medias.

13) Spices Board may at its discretion may cancel the Bid in any stage as well as extend
the deadline for the submission of Bid. The bidders are requested to visit the Spices
Board website as well as GeM Portal regularly for updated information on any
amendments in the Bid before submitting their Bid documents.
