SUBJECT: EMAIL ADDRESSES FOR EACH UNIT OF EDUCATION DEPARTMENTS
DATE: 10th May 2023

To continue its digitalization process, the Ministry of Education (MoE) has procured Microsoft Office
365 licenses for all units within each Department of Education. Each Department of Education will notify
its teachers on or before 31st May 2023, of how this email address will be used to simplify the education
processes, including personnel matters, in their district.

Officers within the Central Ministry are encouraged to send emails to these addresses and to copy same to
the respective Department of Education’s email. With these licenses, District Education Officers can now
create Teams of the schools that they are supervising, host Teams meetings, collaborate and share
documents, do virtual training and perform a host of other tasks virtually.

Schools should now email records to their supervising officers rather than having to travel to the
Department of Education to submit. Documents and records received from schools should be stored in
a folder named after the school in the OneDrive cloud. Each email has been configured to give an
automatic response and a ‘read receipt’ when an email has been received. Teachers should save this
automatic response as proof that a document has been submitted. This automatic response or ‘read
receipt’ will be accepted in lieu of an entry in the Dispatch or Outgoing Book.
