ABSTRACT

While the school is slowly aiming for modernizations for better facilities and

equipment, the current library of the Senior High School Department is still using the

traditional system, keeping book information, and a log for borrowers, in separate books,

completely kept by the librarian, all in written form. This study focuses on finding the

user’s response on the current library system through survey questionnaires and the

creation of a computerized library system. It uses evaluative as their research design and

survey as the method for gathering the data from the respondents comprised of library

users, specifically students and teachers of the Senior High School Department of St. John

the Baptist Catholic School. An analysis of these surveys yields that current users are

already satisfied with how the current system performs, from the librarian’s assistance to

its facilities and equipment, opposite to the hypothesis that they will rate it lower. Despite

that, everyone agrees on modernizing the current system for the convenience of the

librarian, to keep the records better and easier, and to the users, to find books faster. Thus,

a library management system named Sophia is created to satisfy these needs.

Chapter 1

THE PROBLEM AND ITS BACKGROUND

Introduction

“A mind needs books like a sword needs a whetstone, if it is to keep its edge.”

- George R. R. Martin (Game of Thrones, 1996)

Books have been a special item in every inventory of a bookworm, its source of

knowledge—a part of every academic institution. It may be a book full of stories or a book

of references; it is widely used both in the academe and in the entertainment. A book serves

as a memory saver; it keeps the mind sharp like the use of a whetstone to a sword.

Although the first libraries existed since 2600 BC, and created order within their

collection from as early as 5th century BC, the classification system never existed until the

Paris Bookseller’s classification, developed by Jacques Charles Brunet in 1842, is seen as

the first of the modern book classifications. Very shortly, Melvil Dewey and others began

to devise a new system in 1876 and many other library classification systems started

developing throughout the years. The four most common systems are Dewey Decimal

Classification (DDC), Library of Congress Classification (LCC), Colon Classification

(CC), and Universal Decimal Classification (UDC).

Along this evolution of library classification system, the card catalog system was

developed. In 1789, the French build a system, including an inventory of all books on the

backs of playing cards and became known as the “French Cataloguing Code of 1791”. In

1871, Natale Battezzati, proposed a standardized card system for booksellers to create an

in-store catalog of books. The use of cards for cataloguing books was later used by the

libraries and adopted the classification system such as the Dewey Decimal Classification

(DDC).

In modern times, the increasing number of books each year will be a burden for a

library to handle if they will still be using the physical card system. According to Google’s

advanced algorithm, the number of books ever published is nearly 130 million, a data

gathered in 2010. Moreover, according to UNESCO, the number of books published each

year is approximately 2,210,000. Another problem of the card system is the inconvenience

to the librarian, checking the inventory of books and recording it manually.

However, ever since the rise of MARC (Machine-Readable Cataloging) standards

on 1960s, the difficulty for the increasing number of books was never a problem. Shortly

after, OPAC (Online Public Access Catalog) systems started to develop. Simply speaking,

it is the electronic version of the card catalog. Libraries began to develop applications to

automate the circulation and cataloguing of books. These applications, collectively known

as an integrated library system (ILS), are the user’s access to the OPAC system that

manages the library’s book collection.

Conceptual and Theoretical Framework

Radovan Richta (1967) defined technology as “a material entity created by the

application of mental and physical effort to nature in order to achieve some value” which

evolved from tools, to machinery, to automation. This was an innovation-and-technology-

related theory called technological evolution. The society has undergone constant change.

Library, being part of society, has also undergone this process.

According to the Ranganathan's Fifth Law of Library Science, the library has been

a growing organism. Its phrase was derived from Charles Darwin’s Theory of Evolution

(1859). It was a principle from The Five Principles of Library Science, a proposed theory

by S. R. Ranganathan (1931), detailing the doctrines of a library system. Libraries have

been growing and will continue to grow because of the rising vast information. For

efficiency, it should also meet the Fourth Law of Library Science and save the time of the

reader especially today in the digital age. An efficient library was better than a large library.

The principles presented above was the foundation of creating a better library system.

In Figure 1, the paradigm for the conceptual framework was the Input-Process-

Output. The variables required were in the first box, namely, the input. The main

procedures of the process were presented on the middle box, which included the data

gathering technique, evaluation, and program creation. The survey questionnaires focused

on the perspective of the Senior High School Department regarding the current library

system—their rating and comments. Finally, the output of the research was the

implementation of the optimized, computerized, and advanced library system.

Statement of the Problem

The study aimed to discover the perspective of the Senior High School Department

towards the current library system and to establish a new system that could be used to

manage books and references for easier access on the catalogue of books to modernize the

traditional way of managing.

The following are the questions that are needed to be addressed in order to know

the perception of the respondents regarding the current library system.

1. How satisfied are the Senior High School Department with the current library

system? In terms of:

a. Librarian’s assistance

b. Facilities/Equipment/Overall Management

2. How the respondents perceived the library system in need of improvement?

Hypothesis

The Senior High School Department’s satisfaction level of the library management

is low and in need of improvement.

Significance of the Study

The aim of the researchers was to modernize the traditional way of

managing books by establishing a system that could be used to organize and manage books

and references in an easier or accessible manner in St. John the Baptist Catholic Senior

High School’s library. The results of the research would contribute a lot and gave benefits

to the following:

School Administration. The study would be beneficial to the school

administration for they no longer need to hire programmers for the researchers have already

provided an automated system. It is goal of the researchers to improvise a system that is

convenient for the improvement of the school service; the traditional way of accessing

books would be modernized.

Librarian. The result of this research would be beneficial to the school librarian.

He or she would have lesser work but would be able to provide better services because the

automated system would display data and information about the books in the library.

Lastly, the library would be more organized because the system would classify the books

according to its ID, year published.

Students. The study would be beneficial to the ones who contributes more to the

overall population of library users. It would be expected that they could get a better service

provided by the new electronic library system. Checking the books’ availability and

borrowing it would be more at ease.

Teachers. They would be able to lessen the time consumed in finding the books

that were being maintained and held at the library. The books would also be easily accessed

without the unnecessary act of finding it in the bookshelf one by one just to find out if it

was available or not.

Future Researchers. The outcome of this research would be beneficial to the

future researchers because using this study could be convenient for them when they start

researching. It can be used for references for the data in this research are accurate and

carefully examined by the researchers.

Scope and Delimitations

The study focused on the modernization of the book management at St. John the

Baptist Catholic School Senior High School Department S.Y. 2017-2018. Additionally, it

covered the Senior High School students and the teachers.

The study was conducted at St. John the Baptist Catholic School - Senior High

school building. The respondents evaluated the current library system of the said school,

which was exclusive for the senior high school library. Furthermore, the study aimed to

gather the perspectives of both the senior high school students and the teachers regarding

to the library system. In addition, the researchers have strived to establish a new, user-

friendly, and advanced computerized library system. The research revolved in the library

system of St. John the Baptist Catholic School Senior High School building.

Definition of Terms

Library. A facility or a building that holds or contains collection of books and

references.

System. Set of connected parts—a complex whole. Compose of organization of body of

material but not the same properties.

Modernization. The usage of devices such as computer; the process of upgrading

tradition.

Perception. Organizes information of the sensory image and interpret it as having been

produced by external events world.

Access. Navigation around technology; to adjust from the advancements.

Card Catalog. Set of cards that is familiar to the librarians that gives information of the

books.

Traditional. Long established; generally accepted custom or practice; passed down from

generation to generation.

Computerized. Installation of computer for technological or advancement purposes.

REVIEW OF RELATED LITERATURE AND STUDIES

This chapter involves the study of the findings and conclusion of related researches.

The studies included in this chapter helps provide an in-depth background information

about the problem.

Related Literature

The related studies and literature provided previous researches and studies about

library systems. It provided data about how modern library systems with the use of

computers have been a great development of the traditional system, which was the use of

the card catalog. It could be used as a guide in the making of this research so that the

researchers could enhance and contribute other data from this study especially in dealing

with the change of using the modernized library system from the traditional way.

Furthermore, this has provided information for what further research had to be done by the

future researchers.

According to E. Valenti (2016) from the article titled “The State of Library

Management Systems”, library system help in terms of some agenda that was happening

in the library. In this system, it was said that the computerized library systems could do

multi-tasking. It could record books in the library and make various ways of transactions.

It could make the library’s service much easier, user-friendly, and suitable when creating

the card cataloging. The system was also the one that would record all the books in the

library so it could be reachable by the readers and help the librarian by making his or her

work faster and easier.

D. Lourdes (2012) stated from the article "The DOST-ESEP Libraries: The First

Library Network in The Philippines" that the planning of the said system was already on

the verge of producing way back 1995. The proposed system was denied because it was

difficult to implement the system during that time due to the lack of knowledge in using

computers and not enough resources; hence, it took a long time to be able to finally release

it in public. The releasing of the system was just a click to some universities during 2012

and paid partnership to use the said system. Librarians, scholars, teachers, and other

person’s affiliated found this system a big help in the state of the Philippine libraries.

Lourdes also claimed that it could make libraries in the Philippines a world-class one and

have the ability to compete with other countries.

Related Studies

The emergence of technology has brought changes, and the primary advantage of

it was that it made things much quicker and easier. The changes that technology brought

were visible not just in media, government, school and home, but also many public places

as well. However, there were still places that were not being visited by the technological

age because of the preference for the traditional method, the school libraries. Today, this

preference has changed.

In the past decades, many universities have started to upgrade their libraries.

Library system theses from students started to appear within schools to take over the

traditional card catalog system. There were recent studies regarding the assessment of

libraries with numerous books, references, magazines, and such.

To give a latest local example, a working library system was created on Sta. Monica

De Minalin Montessori School in Pampanga last 2011 by Mabel Alcantara, Christian Bryan

Munoz, and Mara Clara Ocampo. Dio Doble and Reggie Romero created the same system

in Botolan Community College in Zambales last 2012.

The systems were proved effective and according to Analee Mayo (2016),

information and communication technology (ICT) have brought a big change in how

people manage information, give services, and perform operations in our libraries. It has

now easier for both the librarians and library users. Adding newly acquired library

materials to the inventory has never been easier; a person only needs to input it in the online

catalog of the library. Borrowing and returning of books has now been faster because of

the system that manage it. The overdue books and materials have now been easily

monitored and tracked by the librarian.

According to Eden (2011), there have been cases that many libraries have lessen

staff because of improved and modernized system. In addition to that, the library

administration needs to inform their staff that they would be needing to train and be familiar

with the technology and online public access catalog.

The relationship between the library and computer was constantly changing that the

use of computer contributes to the way man learns and communicates. It was easy in this

world to strive for changes and since the library was no different from any firm and

institution, considering the use of a computer to perform a given task will be efficient.

Librarians have the responsibility not only to know about the ways in which libraries will

be managed using techniques of computerized, but also to be aware of the changes that

computerized can bring to the library services in the near future. (Grace, 2011)

Mathew Pciszek (2010) discussed that gathering assessments were beneficial for

determining the different forms of collection and were not suitable for huge libraries with

many different collections. However, C. Maxey Harris (2010) revealed the fact that only a

few have researched about large-scale diversity gathering assessment. Still, Pciszek

asserted that more tools were to be improved to help assessment of collections in

institutions. His research showed multiple tools for forms of related collection

development. Tools that could be used to access the references faster, and improve the

convenience of the librarians and readers.

Yet, it was revealed that this present automated library catalog still has its flaws

and this was what Jon Hufford (2007) have started. Five organizations have partnered

(Joseph R. Matthews and Associates, the Library of Congress, the Online Computer

Library Center, Inc. (OCLC), the University of California's Division of Library

Automation, and the Research Libraries Group, Inc. (RLG)), with the help of the funds

coming from Council on Library Resources, to do a concerted study concentrated on

analyzing Online Public Access Catalogue (OPAC) user behavior and the examination of

the existing OPAC system.

A research titled, “Computerized Library System” by Dio P. Doble, used a standard

questionnaire that evaluated the proposed computerized library system, which resulted in

an average weighted mean of 4.20 that interpreted as excellence. He concluded that the

proposed system and the current library system has huge difference and the computerized

system was truly beneficial to both librarian and students. In the end, the research

recommended improving the system since technology and people’s demand into it was

increasing.

In line with this, the researchers would be able to have a feature wherein the users

or the librarian would not need to search for the record, instead, it would go directly into

the search engine for easier access and not time consuming.

The ultimate goal of this research is to improve the current Online Public Access

Catalogue (OPAC) through better design and enhancement. The flaws found was that some

of the library staff are having a hard time to manage the system because of its complex

search points. It was later addressed for simpler design but produced a problem about the

lack of information.

The outdated look of these electronic library systems was what makes them look

confusing, especially today when people normally see modern looks in programs and

applications. In studies, aesthetically pleasing interfaces could be a pleasure to use. It could

elicit good feelings about people. On the other hand, bad design can make people frustrated

and angry. Therefore, a rich user interface of a well-designed program was more

successful. There was no reason to make the program ugly; there was more reason to make

it more beautiful (Preece, J. et al., 2002).

Chapter 3

RESEARCH METHODOLOGY

This chapter involves the methods being used in the research. It includes the

research design, techniques, instruments, and formulas of the study in order to attain the

data needed to get the final conclusion.

Research Design

"Evaluation is the collection of, analysis and interpretation of information about

any aspect of a program of education or training as part of a recognized process of judging

its effectiveness, its efficiency and any other outcomes it may have." –Mary Thorpe in

"Handbook of Education Technology" (Ellington, Percival and Race, 1988). The research

design that best suited the research for it evaluates the effectiveness or appropriateness of

the current library system’s quality of book management.

According to Manuel and Medel (2014), “Descriptive research describes what is. It

involves the description, recording, analysis, and interpretation of the present nature,

composition or processes of phenomena.” Descriptive is the collection of data describing

some event that can be determined or not such as questions, observation, and interviews.

Respondents

The participants of the study are the students and teachers of the Senior High School

Department of St. John the Baptist Catholic School. Using the simple random sampling as

the sampling technique, the researchers would able to find the respondents who would be

the participants of the research. The said technique was chosen for a reason that every

individual in the Senior Department would have an equal opportunity to contribute to the

research. The researchers use Slovin’s formula to find the sample size of the population—

the total population of the Senior High School Department is 248 and the respondents

would be 154.

Data Gathering Procedure

The researchers used Survey as their data collection technique because this would

prove to be the most fitting out of any for the reason that survey gives the researchers many

and different data in a short amount of time. While questionnaire would serve as the

instrument in gathering data.

The questionnaire was composed of statements, and scales which determined the

opinion of the respondents regarding the current Library System. Regarding scales, the

researchers used Likert Scale for it is used as the standard for determining the quality of

the subject coming from scales respondents. Moreover, it lets the respondents to express

how much they agree or disagree onto something with a particular statement.

Ethical Considerations

Ethics accumulates and was a scientific inquiry of searching or defining what must

be done and not that leads to morality. It also tells everyone—especially the researchers in

this case—to know what to approve or disapprove conduct. The way respondents were

going to be affected by knowing what would happen in the research was called ethical

consideration. The ethical consideration applied was informed consent; the respondents

were informed about the study as well as the terms and conditions. Meaning, they granted

permission and aware of the possible consequences.

Confidentiality was necessary in every study. The personal data that the

respondents trusted to the research would remain confidential and it would only be used

for the said research and would not use against the respondent. Their information would be

protected and would not be going to be published. As well as anonymity, for it was the

researcher’s responsibility to get permission to the authorities who are in charge of private

records to gain access or pieces of information that will help the research. The anonymity

of information should be maintained carefully; all the processes that were being done in

the research were signed, confirmed, and approved by the school administrators and the

research adviser. Lastly, objectivity; it promotes unbiased data analysis, data interpretation,

peer review and other aspects of research that expects wherein it was required. There would

be no opinions coming from the researchers, meaning, the interest that may affect the

results that may cause subjectivity was disclosed.

Statistical Treatment

Descriptive statistics was applied in this research. Descriptive statistics was the

summarization of sample for it characterizes the data based on properties. It provides

simplified summaries of the measures that served as the basis of analyzing the data.

Descriptive statistics was a way of summarizing large sets of quantitative

(numerical) information (Booere, 2005). It was utilized to know how the population

responds to the upcoming changes in the library.

The method and measurements used by the researchers are as follows:

I. Slovin’s Formula. Used to determine and calculate the sample size from a population

size and the margin error or the confidence of percentage.

PRESENTATION, ANALYSIS AND INTERPRETATION OF DATA

This chapter presents the analysis of the data in line with an interpretation. The

findings were based on the research questions that were conducted during the study. The

data were interpreted to evaluate and describe the perceptions of the students and teachers

to the Library System of St. John the Baptist Catholic School; Senior High School

Department and to determine if there is a need for a new, advanced, and more developed

Library system.

Table no. 1 shows that more than half of the respondents, which was 80 out of 154,

agreed that the librarian was knowledgeable enough when it comes about the availability

of a certain book in the library. Moreover, it appears that most of the respondents agreed

that the librarian was entertaining questions and responding to their inquiries with the mean

of 3.99. In addition, the great number of the students and teachers in St. John the Baptist

Catholic School, with the mean of 3.9, agreed that they were satisfied with the overall

assistance of the librarian.

The overall assessment or the total average (grand mean) of the librarian’s

assistance was 4.05 which the verbal interpretation would be ‘Agree’. This mean that a

great number of the respondents were satisfied and being assisted accordingly to their need

by the librarian.

Table no. 2 shows that with the mean of 3.92, respondents rated the library

environment very good. In addition, the service or the borrowing and returning of books

were rated very well by the respondents, with the mean of 3.78. The library was updated

assessed and agreed by majority of the respondents with the mean of 3.66 and verbal

interpretation of Very good. Majority of the respondents believed that the school library

has very good equipment for it has the mean of 3.55 and interpreted as ‘very good.’ Many

of the respondents rated the accessibility in the library as very good.

The overall rating of the library’s facilities, equipment and management was 3.78

with the verbal interpretation of very good. The respondents gave high rating to the library

and currently satisfied with the management.

Chapter 5

FINDINGS, CONCLUSIONS AND RECOMMENDATIONS

This chapter presents the summary and the findings, conclusions and

recommendations based on the data given by the respondents in the previous chapter.

Findings

The findings of the study are as follows:

1. The Senior High School Department was well satisfied with how the library manages its

operation with a grand mean of 4.05 and 3.78, which means “very good”.

a. The respondents assessed the librarian's assistance grand mean of 4.05 with the

verbal interpretation of very good.

b. Senior High School Department rated the Facilities/Equipment/Overall

Management of the library ‘very good’ with the grand mean of 3.78.

2. The research accumulated a weighted mean of 4.08, respondents agreed that the current

library system should be improved and in need for development.

Conclusions

Based on the findings, the following are concluded:

1. The Senior High School Department was satisfied with the current library system. The

overall performance of the librarian and the quality of the library’s facility and equipment

was acceptable as well.

2. The Senior High School Department’s satisfaction of the library management did not

affect their judgement for its modernization.

Recommendations

Based on the foregoing conclusions of the study, the following items are

hereby recommended:

1. For the librarian, with effective communication and collaboration, he/she can maintain

a good relationship with the faculty and the students. As for the library’s quality, it should

remain its best if it is kept to its usual state, up-to-date and comfortable. Annual evaluation

of the users of the library could help monitor the library’s overall quality.

2. As for the modernization of the program, the researchers have already developed an

application for library management. It was recommended that the future developers of the

application must update it, add more features, design a better user interface, and create a

better database system for the convenience of the librarian and the users of the library.
