SBA – Information and Submissions 2023


Grade 10 - 12

How to submit the SBA (Site Based Assessments) for assessment:


• Take note, this is Distance Education and that we communicate everything electronically. It is the parent’s
responsibility to have the correct equipment available.
• Although you may choose to make use of an independent tutor, Auxilio’s contract is with you the parent and
not with the tutor.
• SBAs will be made available and must be submitted on the Auxilio Online Platform
https://www.auxilio.co.za/onlineplatform
Username – Your Auxilio reference number
Password – the learners ID
• Do ALL tasks. Please note that for the learner to complete the NSC qualification (Matric) he/she must submit a
full SBA. If an assessment is not submitted the learner will receive a zero mark for the assessment. Too many
zero marks leads to an unstable mark and that subject will not be resulted.
• Printing of tasks are optional.
• All assessments MUST be handwritten in blue pen (unless stated otherwise).
• Remember to write your name and the task name and number on every page of the task. Number your pages.
• Every task must be uploaded in the correct folder. Auxilio takes no responsibility if any SBA upload is
incomplete and/or incorrect and/or late.
• Practical tasks and prepared orals must be recorded and uploaded onto the Platform. Each recording may only
be 50 MB, but you may upload up to 10 files per task. An alternative is to save it as a YouTube video and upload
the YouTube link onto the platform.
• Unprepared orals must be done live via zoom, the parents must book a date with ondene@auxilio.co.za for the
live session.
• Prepared and unprepared orals must be done standing as if you are in front of an audience.
• PATs for Consumer and Hospitality studies, MUST be assessed by a qualified Assessor. Please contact Auxilio
for details.
• If the learner commits plagiarism, he/she will receive no marks for that task, and an irregularity report will be
sent to the Assessment Body - SACAI.
• Please note that learners must at all times do their own work and may not complete the formal tasks together.

• Ensure that ALL tasks are uploaded onto the Platform by the dates given below, dates are also available on the
website, year planner and platform.
o All tasks must be uploaded by the parent onto the Platform.
o The March and September Test Series, June, November, and Preliminary exams must be uploaded onto
the Platform by the Invigilator within one hour after the exam was written. Procedures on how to
upload the exam will be communicated, via email with the Invigilator.
o Please supply Auxilio with the contact details of the Invigilator a month before the exam commences,
we will send the exams/passwords to that person only, and not to the parent or student. Any financial
obligation regarding the Invigilation process is the responsibility of the parent.
o Please note that parents are not allowed to handle the exam papers/answer sheets at any time, and
learners are not allowed to handle the answer sheets after the exam has been written.
o It is the responsibility of the Invigilator to safeguard the work and upload it on the Platform.
o Parents must please check that the exams were uploaded correctly onto the platform. The integrity of
the exam process is crucial, and you must please ensure that there are no irregularities that may reflect
negatively on the learner’s marks.
• Parents must download the marked tasks and exams after each marking session. The marked SBA must be kept
for:
o Gr 10 - 3 years
o Gr 11 - 2 years
o Gr 12 - 1,5 years
• All dates must be adhered to. The Exam timetable will be made available on our website (www.auxilio.co.za)
one month before the exam commences, please adhere strictly to the timetable.
• Familiarize yourself with our Exam Writing Policy. Not being aware of the procedure, is not an excuse when
irregularities occur. Please note that this may have a negative effect on the learner’s results.

SBA submission and due dates:


• Please submit the SBAs on the dates specified for each term and NOT all at once at the end of the year.
• If the SBAs do not reach us before or on the cut-off date, it will only be marked during the following marking
session. However, if it is not submitted by the next term’s due date the learner will receive a zero mark for the
assessment.

o Should your final SBAs reach us after 27 October 2023, you will receive a zero mark for all outstanding
work. If you still want the work to be marked, it will be marked at an additional cost of R5.00 per mark.
Outstanding work must be emailed to Auxilio by 10 January 2024. The final Progress report will be
issued 15 February 2024.
• Grade 12
o Should your final SBAs reach us after 7 September 2023 a zero mark will be allocated for all
outstanding work. Be advised no further extension will be given as the final SBA mark must be
submitted to the Assessment Body for the calculation of the final NSC mark.

How to submit work on the Auxilio Online Platform:

1. Log onto the Auxilio Platform https://auxilio.co.za/onlineplatform/login/index.php using your Auxilio


reference code (e.g. ABC000) as your username, and the Learner’s ID number as your password.
If account is not paid up to date, or your registration is not finalized yet, you will unfortunately not be able to
access the Platform during that time.
2. You MAY NOT change your username or password.
3. Once you are logged in, the following screen will appear:
• You may click on “save” and you will have immediate access to the Platform in future.
• You will see the subjects that you are registered for.
• Please download the Index and General Information of all subjects

4. After the task is handwritten, in blue pen, it needs to be uploaded onto the Platform for marking.
5. Scan the work of the learner in PDF format. Videos/photos may also be uploaded onto the platform for the
practical subjects and orals. DO NOT upload handwritten tasks in .png or .jpeg format, it cannot be marked in
this format.
6. A file may NOT EXCEED 50MB, but up to 10 files may be uploaded per task.
• When recording an oral or practical, only include what is necessary to avoid huge files.
• Record on a low resolution.
• Record in sessions, if one file is too big. You may upload up to 10 files per practical task.
• Label each recording clearly and in chronological order.
• OR save the recording as a YouTube link, save the link in a Word document, and upload the Word
document on the Platform.

7. Click on the subject and then on the task that you would like to upload.

8. Click on Add Submission in the middle of the page.


9. Drag and drop the file that you want to upload.

10. Click on Save Changes

11. At this stage you may still Edit or Remove your submission. Once it is submitted you will not be able to make any
changes.

12. Click on Submit Assignment.

13. You must tick the box to confirm it is your own work, and then click continue.

14. Your task is now submitted and ready for marking.


15. You may download the marked task after reports were issued for revision purposes.
