Roles and Responsibilities (SOP)

(a) Security

(i) Record information relating to name, date and time of all employees, residents

and vehicles entering and exiting to and from the operating unit.

(ii) To notify the supervisor for any exit from the operating unit during the
employee’s working hours. In the event the employee does not notify the
supervisor to exit the operating unit during working hours, the security personnel

is required to remind the employee of the consequences of his actions as per
Appendix 1, record the name date and time of exit in the record book and then,
allow the employee to exit the operating unit

(iv) Ensure compliance of regulations and standard operating procedures imposed

by the authorities relating to Covid-19.

(b) Management of Operating Unit

(ii) To allow employees intending to leave the premises of the operating unit

during working hours.

(iii) Communicate to employees the consequences of exiting the premises of the

operating unit during working hours

(iv) Keep residents, employee representatives and employees informed of the


movement regulations / restrictions set by the authorities due to Covid-19

through briefings during morning muster and notifications posted on the notice
boards accessible to employees.

(c ) Residents & Employees

(i) Record information relating to name, date and time during entry to and exit

from the operating unit for safety and security purposes.

(ii) Provide reasons and notify supervisor or Management of operating unit before

exiting the premises during working hours.

(iii) Comply with movement restrictions or regulations set by the government of

Malaysia.

Procedure and Requirements (SOP)

(a) At Entry

(i) If the individual is a resident or employee residing within the premises, Security
Unit to record name, vehicle number and time of entry and allow the individual to
enter.

10 If the individual is non-resident, Security Unit to check on reason for entry and
confirm it with the resident or office personnel. Upon confirmation from the
resident or office personnel, Security Unit is to record name, mobile phone
number, reason for entry, vehicle number and time of entry. Entry to operating
unit will only be given for valid reason(s).
(ii) Residents and employees are free to enter the operating unit at any time in

accordance with the regulations set by authorities.

(a) At Entry

(ii) Residents and employees are free to enter the operating unit at any time in accordance
11 with the regulations set by authorities.
(iii) Security Unit is not authorised to prohibit entry of residents and employees without a valid
12 reason.
(a) At Exit
(i) Security Unit to check whether individual who intends to exit is a resident or employee
13 residing within the operating unit and to record their name, mobile phone number, vehicle
number and time of exit before allowing the individual to exit.
(ii) Employees are required to notify the supervisor or Management of operating unit prior to
exiting the premises during working hours. In the event the employee does not notify the
14 supervisor to exit the operating unit during working hours, the security personnel is required to
remind the employee of the consequences of his actions as per Appendix 1 and then, allow the
employee to exit the operating unit.

(iii) Security Unit is not authorised to prohibit the employee from exiting the operating unit
15 outside working hours. Residents who are not employees cannot be prohibited from exiting the
premises at any time unless restrictions are imposed by the authorities due to Covid-19.

(c ) Restriction of Movement due to Regulations by Authorities

The Management of the operating unit should communicate to the


residents, employee representatives and employees on the movement regulations or
restrictions set by the authorities due to Covid-19. This would include the relevant action plans
16 and control mechanisms by the Management such as closing of entry and exit points or access
roads in accordance with the standard operating procedure imposed by the relevant
authorities.The Management will not impose additional movement restrictions beyond that
imposed by the relevant authorities.

Communication on the movement restrictions and action plans will bein accordance with the
following:
i) For employees, communication should be done through briefings
17 during morning muster and notifications posted on the notice
boards accessible to employees.
ii) For residents who are non-employees, notifications will be given
through family members working at the operating unit.

(iii) Security Head at the operating unit is responsible to update the Management on changes in
18 movement regulations or restrictions set by the authorities on a fortnightly basis. Assistant
Managers are required to keep supervisors updated on any changes to the regulations and its
effect on employee movement.

(iv) Employees will be reminded of the consequences of breaching the regulations by the
19 Management of the operating unit from time to time.
(v) The Management of the operating unit should ensure that employees’access to basic needs
20 such as sundry shops and remittance agents are available to employees within or near the
premises.

(vi) Security Unit is to ensure that employees and residents exiting the operating units possess
their passports, work permits or other documentation as stipulated by the authorities.
21 Employees with expired work permits which is in the process of being renewed will not be
prevented from exiting the premises. However, the Management or Security Unit will remind
these employees on the consequences of leaving the work premise with expired work permits
