II. Key Concepts


TEN COMMANDMENTS OF TOUR GUIDING
1. Love the tourists. Tour guides must love the tourists genuinely because
they are the reasons why tour guides exist. Sincerity is easy to see. It shows
when one is passionate about what he/she does.
2. Honor and promote your country. Tourists appreciate interesting positive
information about the places they visit. Sharing good things about his/her
own country helps a tour guide keep the tourists’ attention and possibly see
them again in their next visit.
3. Respect local culture and heritage. Respect is a basic trait that all tour
guides must have. Guides must follow rules and proper conduct at places
visited, and they must be polite to the hosts or the people who welcome the
tour group at the destination.
4. Be professional at all times. During tours, tour guides are at work. Thus,
they must show professionalism at all times, which means, they must carry
themselves properly so that they will get the same respect that he/she
bestows on the hosts and tourists.
5. Keep on learning. There is no education quite like the lessons of travel,
even if one has been to a destination several times. Tour guides must
continue to learn from nature and the people around them. They must
always strive to sharpen their abilities as well, such as by learning new
trends and technologies. Reading books, newspaper, blogs, and other
references help a lot.

6. Communicate properly. Communication is an important aspect of a tour
guide’s profession. If a tourist is traveling with a tour guide, the latter’s
ability to communicate greatly contributes to the tourist’s travel experience.
7. Do not be late. A tour guide’s punctuality is the first sign of professionalism
and it earns the first sign of respect from the tourists. Tour guides must
always be at the meeting point before the tourists.
8. Do not provide false information. Honesty is the best policy in any
profession. The tour guide must say truthful information and admit if
he/she does not know the answer to a question.
9. Do not provide illegal services. A tour guide must not break any law in the
country or city he/she is working in. They must not provide nor tolerate
illegal services to tourists.
10. Take care of your body. A tour guide must protect his/her body
from too much exhaustion and effects of the elements he/she is exposed to
in every tour. Thus, he/she must wear proper and comfortable clothes and
get ample rest during tours.

The World Federation of Tourist Guide Associations (WFTGA) uses the following
code to instruct their members on proper conduct:

 To provide professional service to visitors, professional care and


commitment, and to be professional in providing an objective understanding
of the place visited, free from prejudice or propaganda.
 To ensure that as far as possible what is presented as fact is true, and that a
clear distinction is made between this truth and stories, legends, traditions,
or opinions.
 To act fairly and reasonably in all dealings with all those who engage the
services of guides and with colleagues working in all aspects.
 To protect the reputation of tourism in our country by making every
endeavor to ensure that guided groups treat with respect the environment,
wildlife, sights, monuments, local customs, and sensitivities.
 As representatives of the host country, to welcome visitors and act in such a
way as to bring credit to the country visited and promote it as a tourist
destination.

II. Key Concepts


One of the first steps in identifying requirements for a tour is to find out
what the tour itinerary is. This section defines a tour itinerary and examines a
range of issues which may influence the work which needs to be done.

Why are pre-departure checks conducted? 9


Pre-departure checks are conducted to:
 Ensure the tour runs smoothly
 Meet customer expectations
 Discharge Duty of Care and other legal obligations
 Make sure all necessary items are loaded for the tour
 Support tour guides and other tour staff.

Itinerary – defined
An itinerary is the plan for a trip or tour.
An itinerary is commonly provided for every tour/trip (and all travel) sold and
provided to the client/tour group member.
It may list:
 Name and contact details of the organization which has organized/sold the
trip, tour or travel
 Name of client
 Dates and times – of travel (arrivals and departures) as well as trip time
 Destinations, areas/regions, towns and venues/attractions to be visited
 Activities and inclusions

 Modes of travel
 Transportation details – such as type of vehicle used, name of vessel, flight
number
 Accommodation arrangements – name of facility (hotel room or camping),
dates
 Terms and conditions – for carriers, accommodation and other service
providers
Identifying tour group numbers
How to do it?
Identifying tour group numbers can be done by:
 Counting tickets/places sold – this is the most common method for all tours.
This is commonly done by:
o Counting ticket stubs
o Counting duplicate tickets
o Referring to a database
o Talking to sales staff
o Checking the client file – for private and custom tours
o Speaking with management – to get input they may have received
from clients and/or joint venture operators
o Talking to tour and counter staff – who may provide information to
assist in relation to:
o Numbers normally experienced on similar tours
o Personal knowledge regarding the individual up-coming trip based on
feedback from participants and/or comments which they have
overheard.

Why do it?
When identifying tour group members this must be done to determine:
 The number of tour members/participants – in total
 Those who will depart and/or join the tour along the way – in terms of:
o Their names
o Destinations/locations where they will join or leave the tour.
 Classification and quantification of nominated group on the trip – such as:
o Men and women
o Adults, children and babies/infants
o Age groups.
 Requirements in this regard will depend on the individual trip/tour trip –
sometimes these details are necessary and important; sometimes they are
not
 Potential usage of participants – this needs to be assessed for each activity,
at each location and for every service and/or product advertised.

Ways to identify various pre-tour arrangements which need to be undertaken in


order to organize tour:
 Speak to tour staff – who have experience in the relevant areas to be visited
to see what they know about what is available and who may be able to
supply
 Read the details of any arrangements entered into with local communities –
which necessitate purchasing certain items/services from them as part of
the deal in relation to accessing their area/land

 Conduct internet searches – using appropriate key words to refine the
searches
 Use region-specific telephone books – to identify relevant businesses in the
areas
 Talk to competitors who conduct trips/tours in the areas – to identify who
they use and to learn from what they do.
 Visit potential providers and get to know them and what they provide and
what they may be able to do for the trips/tours
 View their facilities
 Taste or test their products and services – to get a first-hand idea of their
quality and relevant other factors.
