The Gurugram University of Gurgaon had given the subject of Summer Internship Report
for Master of Business Administration (M.B.A.). My Project Report subject is practical
training for project work in FASHION CLUB GLOBAL

The company is located in IMT MANESAR,GURUGRAM, HARYANA

Duration:

Duration of the internship is 60 days.

Project Title:

A Study of Human Resource Management.

About the company:

This report gives an overview of “A Study of Payables & Receivables Management” of


the company is FASHION CLUB GLOBAL one of the Leather Products and Textile
manufacturing service providers. FASHION CLUB GLOBAL is formed in 2008. Its
head office is in IMT MANESAR. It has made a name for itself in the list of top suppliers
of down jackets,long coat in india. FASHION CLUB GLOBAL serves to government,
private and global clients but its major revenue (i.e. 80%) are from Government projects
& rest 20% are from other private sector or global clients. Its major global clients are in
Sri Lanka , Gujarat, US, Singapore, Dubai, Canada ,U .S.
Learning’s:

The internship undertaken gave an immense learning experience and exposure as to how
different departments work within an Organization in a synchronized manner and conduct
its day- to- day operations.

THE AREA OF INTERNSHIP & LEARNING OBJECTIVES

The specific field chosen for internship is Finance Department of the FASHION CLUB
GLOBAL which is divided further into many sub- sections for systematic working of all
the processes.
The internship was about working of HR department i.e. overview of Human
Resource Management systems in the company.

An HR department is tasked with maximizing employee productivity and protecting the company from any issues

keeping up to date with any laws that may affect the company and its employees.

labor is less intensive and the product can be made quicker and for less money. Non-woven
fabrics are also very hygienic, which is great for the medical field, a large part of the textile
industry.

Countries like China and the Unites States are focusing not only internationally, but

creating a new and larger market for countries that are normally internationally focused.

Technical textiles are a large and growing market right now. Countries are rehabilitating mills

We are a leather fashion house specializing in designing and manufacturing all kinds of leather

THE DIFFERENT DEPARMENTS OF THE COMPANY

Similar to any other large business, the work in a this company is also distributed into different
departments. This facilitates more efficiency in the services provided by them.

1. General Management

This department develops and executes overall business strategies. It is responsible for the entire
organization. General management deals with determining overall business strategies, planning,
monitoring execution of the plans, decision making, and guiding the workforce, and maintaining
punctuality and disciplinary issues.

2. Marketing Department

The workforce in this department is responsible in identifying customer needs and creating
products to satisfy them. The marketing managers mainly are involved in the following activities.

• Market Research − It includes understanding the environment, staying tuned with the
economic developments, knowing customer needs, and strengths and weaknesses of peer
competitors.
• Understanding Market Segments − It includes dividing the total products in market into
smaller market segments. It also involves targeting particular markets, creating separate
appealing market products for different market segments, and positioning those products to
draw consumers.
• Product Decisions − It is about deciding about addition or removal of a product feature in an
offering, deciding about development of new product, manipulating product features.
• Promotion Decisions − It includes informing the target market about various products they

3. Operations Department

The Operations Department combines two or more tourism components (among attractions, transportation,
intermediaries, destination, accommodation, and activities) to create a package and sell it to the consumer.
a) It organizes and conducts a tour within or out of the country and ensures that it turns out successful.
b) It prioritizes customer preferences and supplier offerings to determine the best tour arrangements.

 Accounts payable are amounts owed to vendors or suppliers for goods or
services that have not yet been paid.
 The sum of all amounts owed to suppliers is shown on the company's balance
sheet as accounts payable balance.
b. Accounts Recivables
 Accounts receivable is an asset account on the balance sheet that represents
the money a business owes in the short term.
 Accounts receivable are created when a business allows a buyer to purchase
its goods or services on credit.

c. International Accounting

International accounting, which includes both managerial and financial accounting, is the accounting of
international transactions, the operations of international companies, and the comparison of accounting
principles and practices found in foreign countries and the procedures by which they are established.

The Finance Department is responsible for acquiring and utilizing money for financing the
activities of the tourism business. The finance people assess short term and long term capital
requirements.

5. Sales Department

This department is solely responsible for selling the relevant tourism products to the consumers.
The sales person in the tourism business is the first link between the tourism business itself and
the consumer.

 The sales staff identifies and cultivates new customers.


 The sales staff recommends best suited products to the customer by assessing their needs

6. Human Resource Department

This department is responsible for recruiting skilled, and experienced manpower according
to the positions at vacancies of different departments. It is also responsible for conducting
orientation programs and trainings for new staff, recognizing the best facets of staff and
motivating them to achieve organization objectives.

7. Purchase Department

By following a standard procedure of procurement, this department ensures the enterprise has
appropriate and timely supply of all the required goods and services. The purchasing department
procures the goods and services to be consumed by other departments in the business
organization.

REVIEW OF ASSIGNMENTS (JOB DESCRIPTION)

The world in which we reside today is a fast moving dynamic type and to be a top Textile and
Manufacturing survivor in this world is the one which has properly maintained financial status
and human resources and the department which does this job in the company is the “HUMAN
RESOURCE department”. This department is responsible to ensure the proper training and
development of the employees to achieve the efficiency.

Being a HR intern at FASHION CLUB GLOBAL, largely the job description was related to
preparing of reports, maintaining records, updating files and finding discrepancies in working of
the organization.

As the HR department was further divided in various sub sections, being an intern I got the
opportunity to explore HR Department of the company, their working, their responsibility,
challenges faced by them and how they efficiently worked as a team to achieve the
organizational objective.

I was assigned work to assist HR Manager of the company for the whole period of internship,
where I learned about working of organization, their team structure, working environment and
the work done by them. I got to learn about daily reports that were to be prepared, how the data
need to be reconciled and saved for future references HR operations.

Reporting Relationships
I had direct reporting to the Head of the HR Company on weekly basis as he was my
corporate mentor during the whole internship but on daily basis I had to report to HR
Head who assigned me the tasks that I had to complete before the end of the day and
report the same. The relationship was in a quite cooperative manner but my accountability
was very strict.

Importance Of Assigned Roles & Responsibilities


Recruit candidates
HR needs to understand the organization’s needs and make sure those needs are met when
recruiting for new positions. It’s not as simple as just throwing an ad up on Indeed: you’ll
need to analyze the market, consult stakeholders, and manage budgets.

Then, once the role is advertised, more research needs to be done to make sure that the
right candidates are being attracted and presented. Recruiting is a massive—and costly—
undertaking; the right candidate can revitalize an entire organization, but the wrong
candidate can upend operations.

Hire the right Employees


Human resources is in charge of arranging interviews, coordinating hiring efforts, and on
boarding new employees. They’re also in charge of making sure all paperwork involved
with hiring someone is filled out and making sure that everything from the first day to
each subsequent day is navigated successfully.

Process Payroll
Payroll is its own beast. Every payday must have taxes calculated and hours collected.
Expenses need to be reimbursed and raises and bonuses need to be added in as well. If
you think it’s a chore doing taxes just once a year, imagine what it must be like to be in
HR and make sure they’re properly deducted every pay period.

MY ROLE INTO THE HR DEPARTMENT OF THE COMPANY

I have worked into the HR Department of the company. Where I was primarily responsible for
preparing HR Reports. I Generated Payrolls of the employees and did Compliance Work. I also,
Documentation and Joining Formalities of the employees. Following are the roles as I perform
as a HR Trainee:-

 Consult with employers to identify needs and preferred qualifications


 Interview applicants about their experience, education and skills
 Contact references and perform background checks
 Inform applicants about job details such as benefits and conditions
 Hire or refer qualified candidates
 Conduct new employee orientations
 Process paperwork

OUTCOME OF THE ASSIGNED WORK


The Human Resource Management processes in a company are one of the determining
factors that lead to a company’s success. This is because human resource management
processes take the largest portion of a company’s growth, if well managed, the company
can obtain a recognizable growth and consequently, the ultimate development as dreamt
by the founders. Fashion Club Global should take its HR process seriously in order to
optimize its profitability and realize a reputable growth. If these measures are critically
put in practice, we can predict a ballooning organization as far as growth is concerned.

CHAPTER 5:
LEARNING EXPERIENCE

While working as HR intern at FASHION CLUB GLOBAL, I got insights of HR system


of the company. HR department was sub-divided into various different sections from
which I got the opportunity to Operations section.

I started my internship by observing the overall functioning of the HR department for first
four days. In these days, I observe how different departments coordinate and work with
the fHR department and I worked under the HR Head who made me learn or understand
more about the Recruitment and different terminologies they use in their HR actions. She
also helped in telling how to access different reports and data within the software. He
made me understand about various sections that are present in the HR department like
Recruitment, Training & Development , Compliance.

After that on fifth day, I got the opportunity to decide in what sections I wanted to explore
more and work on it so on that opportunity I decide to explore Operations.

WORKING IN HR OPERATIONS SECTION

From fifth day to fifteenth day, I explored and worked in operations section. I was given
with the limited access user account to the software. In this section, I was allotted to
prepare Reports regarding payrolls of employees.

Other than these, I prepared the payroll sheets, i.e., name of the employees and the
amount that is need to be paid to each employee. While preparing payroll sheet, I got to
know that company also outsource employees at different places for completion of the
undertaken project and those employees are also paid by the company itself.

WORKING IN Recruitment SECTION

After fifteenth day, I worked in Recruitment section for rest of my internship period. In
this section, I had learned about the various recruitment process of the company. I got to
know about various portals from where the deserving candidates are sourced for the
company.

I prepared invoices of the services that company delivers to their clients. By preparing
invoices, I learned about how the company does pricing for their different services, what
should be the profit margins and about the time period to be given to clients for the
payment for the services provided by the company.

During my internship, on day-to-day basis, I used to send reminder or follow up mails to


employees, Vendor parties, etc.

PROFESSIONAL SKILLS ACQUIRED:

SWOT stands for Strengths, Weaknesses, Opportunities, and Threats.


SWOT analysis is a technique developed at Stanford in the 1970s, frequently used in strategic
planning. SWOT is an acronym for Strengths, Weaknesses, Opportunities, and Threats and is a
structured planning method that evaluates those four elements of an organization, project or business
venture. A SWOT analysis is a simple, but powerful, framework for leveraging the organization's
strengths, improving weaknesses, minimizing threats, and taking the greatest possible advantage of
opportunities.
Strengths and weaknesses are internal to the company—things that have some control
over and can change.
Opportunities and threats are external—things that are going on outside the company, in
the larger market. We can take advantage of opportunities and protect against threats, but
can’t change them.

• Increasing cost in places like North-east and Jammu & Kashmir because of
changing weather conditions and terrorism.
• Focus is not clear as they provides many services to the clients which doesn’t let
them focus on their main services
• Due to cash flow issues, i.e., not having appropriate amount of money, it’s difficult
to acquire large contracts.

 OPPORTUNITIES
• Could extend to overseas broadly
• Fast-track career development opportunities on an industry-wide basis
• Could seek better customers deals
• New customers from online channel – can increase more sales channel because of
increasing demands and investment in online platform. In future, company can leverage
this opportunity by knowing its customer better and serving their needs using big data
analytics.

• As the company is operating in numerous countries, it is exposed to currency

 STRENGTHS
• Good pricing policy
• Efficient team of HR to handle all the related work

 WEAKNESS
• AMC contracts taken from vendors are paid in advance but amount charged for AMC
contracts that are provided to clients are received quarterly or half yearly or yearly.
This leads to cash flow issues.
• Working capital issue arises as delayed payment by the government.

• Increasing cost in places like North-east and Jammu & Kashmir because of
changing weather conditions and terrorism.
• Penalty arises when there are any delivery issues in consulting services.

 OPPORTUNITIES
• In IT sector, either big players or small local players are present and there is a wide gap
between these players which is mid-market segment player. Informage is mid-market
segment player which shows that there is lot of growth prospect in their services.

 ELECTRIC
• Large players try to grab the contracts by under-pricing which results in loss
of contracts by the company as company cannot afford.
• Company faces inflation or deflation of currency which exposes company to the risk
of losses due to such fluctuations.

CHAPTER 7:
FINDINGS

1. Existence of Long Process of Recruitment:


The HR recruiter take long time to make the recruitment which increases the time
wastage and cost of recruitment.

2. The Company also has Short Creditor Payment Period:


Early payments are made to the vendor, however generally it should be delayed as the
Creditors money act as Spontaneous Financing for day- to- day operations helpful in
Working Capital Management.

3. Major revenue of the company is earned from Government projects, i.e., 80% & rest
of the 20% revenue is earned from other clients.

4. Company pays AMC charges to its vendors in advance & receives AMC charges
from their clients quarterly, half yearly or yearly.

5. Profit margin earned by the clients in various services are as follows:


- System Integration : 20%
- Consulting : 25%
- AMC : 5%

6. Different services have different receivables system which is follows:


- System Integration
60% of total amount to be paid on delivery
30% of total amount to be paid on installing and commissioning 10%
of total amount to be paid after 1 year of warranty

- Consulting
On pro-rata basis

CHAPTER 8: RECOMMENDATIONS

1. Company should start focusing on private sector as they are having majorly government
projects. Private sector is vast area so good marketing needs to be done to grab the private
sector clients too.

2. Company should start doing marketing in an extensive way to acquire more global clients
as it is a most profitable area of the company.

3. Certain incentives must be awarded in case of some targets that are achieved or in case of
timely successful completion of tasks acting as a motivational tool for the employees.

4. There must be proper delegation and allocation of tasks to all the employees as per their
skill set and job roles to have more effectiveness in the work done.

5. Company should increase their credit period, i.e., to increase average payment period.

6. Company should decrease their debtor collection period, i.e., to reduce


average collection period.

CHAPTER 9:
CONCLUSIONS

 To conclude, this internship gave a great learning opportunity and hand- on


experience as to how actually the work is being done practically and to get an
experience of the professional life. I learnt a lot about the functioning of the
departments and business processes.

 This has really helped me to groom up my professional skills and gain knowledge as
much as I could have done. The work environment there was quite supporting and tasks
being assigned to me as an intern with accountability made me utilize my potential to
complete the work. I got the insights of the functioning of receivable & payables
section as well as inter- department functioning.

 The internship gives every individual an immense opportunity to have a beforehand


experience of job before the Final Placement where one can understand how to act and
handle different situations and maintain good reporting relationships. This teaches how to
work with complete dedication and time management and work life balance.
