SCHEDULE OF CHARGES
ALL SITES
1. All fees are payable in advance at the time of booking. All paperwork and payment must
be received prior to filming taking place, or the Council reserve the right to cancel the
licence.
2. Provisional bookings shall not be held for more than two weeks, and, in any event, the
Council shall not be liable should the space be booked before any licence is confirmed.
3. In the event of any circumstances beyond the Council’s control, the Council reserves the
right to cancel the licence, in which case a full refund will be given. The Council will
endeavour to make alternative arrangements for the licensee, but the Council do not
hold themselves responsible for any losses incurred by a licensee as a result.
5. The licensee must ensure that the length of the hire is sufficient for both set-up before,
and clearing after filming. Any overrun shall be charged at the hourly rate stated in the
schedule of charges.
6. In making the booking, the licensee consents to the Council retaining their personal
information in accordance with the Council’s Privacy Policy, for the sole purposes of
administering the licence. Licensee details will not be shared with any third parties
without the consent of the licensee, and the details will not be used for any marketing
purposes. For more details on the Council’s Privacy Policy visit our website:
www.henleytowncouncil.gov.uk.
7. The licence shall apply only to the area specified in the booking form.
8. No filming may take place between the hours of 6pm and 8am without the express
permission of the Council.
9. The licencee is responsible for obtaining any necessary permissions required for the
filming.
10. The number of cast and crew must not exceed the number stated on the booking form.
12. The licensee shall be liable for any costs involved in moving or removing any Council
equipment, furniture or other property on the site. The licensee must not undertake
any moving or removal themselves without the express permission of the Council.
13. The Council makes no warranty on the suitability of the site for the project proposed.
14. The licencee will be required to have in place public liability insurance with a minimum
value of £5m, and must have completed and submitted a risk assessment. The licensee
must provide the Council with a current public liability insurance certificate at least 14
days prior to filming.
15. The licensee is responsible for the conduct and safety of all cast and crew members and
other contractors arranged by the licensee.
16. It is the licensee’s responsibility to ensure they are aware of all practical and health and
safety requirements as detailed above. If they wish, with reasonable notice, licensees
can arrange a site visit with the Council.
CONDUCT
17. The Council reserve the right to cancel any licence that contravenes any law, bye-law, or
regulation of the Council.
18. Licensees of our properties are responsible for clearing from the site all rubbish
generated by them. Any rubbish remaining on site at the end of the licence period will
result in the licensee being charged for the removal.
20. The licensee must comply with all instructions given by the Council or its staff.
21. The licensee is responsible for providing any power required on site. Any generators
used must be baffled or integral with the location vehicles and sited by mutual
agreement.
22. The licensee is responsible for ensuring there is adequate signage, barriers and other
communications to inform others of the filming and any disruption.
23. Where the production will involve the filming of potentially offensive behaviour, the
Council must be notified beforehand, and measures put in place to prevent any offence
being taken by other users of the site.
24. The Council has declared a climate emergency and filmmakers are encouraged to take
steps to minimise the carbon footprint associated with their production.
