RE: MINUTES FOR THE KULUBYA HALL GENERAL ASSEMBLY HELD ON 25 TH

AUGUST 2023 IN THE KULUBYA GARDENS AT 05:30PM.

Min 1. 25/08/2023: Opening prayer.

This was led by Brian and requested God to guide us in each and everything we are going to plan
for and keep blessing us in our academics as well.

Min 2. 1025/08/2023: Communications from,

a) Warden.

He welcomed member and recommended executive to perform their duties as they are
assigned by fellow members.

Warden also appreciated the executive for the good work done so far and told them to keep
an d also asked the gallants to be cautious on security matters.
Finally, he ended by requesting gallants to co-operate with the executive in each and every
activity.

(b) Domestic secretary.

He requested new members to always consult any member of the executive in case of any
burning issue.

In regards to security he enlighten members that there are con men that try to impersonate
themselves of what they are not are in order to use it as a chance to steal and advised
members to be vigilant.

(c) Information Secretary.

He started by appreciating members for responding to his call positively.

On the issue concerning his office he introduced his committee and requested people to make
a use of his committee in case he is busy.

(d) Internal secretary.

He appreciated members for attending and highlighted the activities so far covered and even
those to be done including installation of tanks, replacing missing bulbs.

In regards to solidarity he requested members to co-operate with his committee incase of any
issue since sometimes he is always busy.

Finally, he requested members to feel free incase of any issue to inbox him for welfare of
Kulubya.

(e) General secretary.

In regards to sanitation, He advised gallants using tank outside to stop pouring leftovers
instead make use of dustbins provided to avoid occurrence of some diseases due to odor.

He then also advised new members to be kin of their property since we have who wants to
perform other illegal activities like stealing.

And ended by requesting gallants to protect themselves to always use condoms provided in
good ways.

(f) chairperson

First and foremost, he led the gallants in singing Kulubya anthem

He then welcomed them back from short holiday and internship.

Then informed members about registration which is ongoing at custodian’s office without
fail because if not registered will be considered as non Kulubya member.

In regards to the canteen he said there will be a need to work as a team if measures being
undertaken fails because gallants suffer a lot going to Kinyarwanda and Banda to buy food.

He also promised that the most active students in hall activities will be awarded with some
gifts or certificates at the end of regime.

And ended by requesting people to react incase there is any issue to be sorted and to always
approach the executive members around in case of any problem.

Min 3. 25/8/2023. Reactions.

Hon. Minister Ssengoba recommended the production of tags to the members for easy
identification, pinning list of leaders with contacts for easy access, also requested for
suggestion box, renovation of furniture and indulge much of physical exercises.

Then for Hon.Banya advised gallants to make a use of provided facilities for example sinks
among others and to throw litter where supposed to be.

Finally ended by advising gallants not to keep quiet when they are going through tough
situations to always approach members around instead of suffering.

Then also the room leaking A01 was also mentioned which needs some roof repair.

Then Isaac appreciated committee for organizing function and requested gallants to co-
operate always.

Then Victor GRC for Kulubya requested chairperson to inform custodian to always separate
batches of student who receive allowances before others.

In regards to contacts of leaders being published governor assigned it to the information

secretary and then other issues that will be followed and requisition letters sent to estates.
