A. Definition
An application letter, also known as a cover letter, is a formal document
submitted alongside a resume when applying for a job, internship, or other
positions. It introduces the applicant to the potential employer, highlighting
qualifications, experiences, and interest in the role or company. The letter typically
includes contact information, a greeting, an introduction stating the position being
applied for, body paragraphs detailing relevant skills and experiences, and a closing
expressing interest and gratitude. Its purpose is to complement the resume,
demonstrate communication skills, and persuade the employer to consider the
applicant for the position.

B. Structure

The structure of an application letter typically follows a standard format, including


the following components:

1. Header: This section includes the applicant's contact information


(name,address, phone number, email) aligned to the top of the document,
followed by the date. Optionally, it may include the recipient's contact
information, such as the company name and address.
2. Salutation: The salutation addresses the recipient of the letter. It's
preferable to address the letter to a specific individual, such as "Dear Mr. Smith"
or "Dear Hiring Manager."
3. Introduction: The introduction starts with a polite greeting and includes
a clear statement of the position the applicant is applying for. It may also
mention where the applicant learned about the job opening and express
enthusiasm for the opportunity.
4. Body Paragraphs: The body of the letter consists of one or more
paragraphs where the applicant elaborates on their qualifications, experiences,
and relevant achievements. Each paragraph may focus on a specific aspect of
the applicant's background that aligns with the job requirements.
5. Closing Paragraph: The closing paragraph summarizes the applicant's
interest in the position, expresses gratitude for the opportunity to apply, and
may include a statement reaffirming readiness to provide further information or
participate in an interview if requested.
6. Closing: The letter concludes with a polite closing, such as "Sincerely,"
"Best regards," or "Yours faithfully," followed by the applicant's full name. If
the letter is sent via mail, space is left for the applicant's handwritten signature
above their typed name. In electronic submissions, the typed name serves as the
signature.
