OVERVIEW

Purpose
The purpose of this document is to define the standards operating procedure, maintenance instruction of Fan Coil Unit
of HVAC system in the project ensuring service delivery as per contracts requirements.

Scope
This procedure applies to all Fan Coil Unit assets mention in the contract as per OEM recommendation

Safety Requirements:

 Authorization and permit to work must be obtain before starting the activities.
 Tools and necessary equipment’s including safety procedure and signages must be prepare.
 Ensure safety precautions and instruction to be followed

1) The is safety of persons working with plant and equipment should be taken into account at all times as well as
the environment in which it is situated. This a fundamental part of good maintenance practice.

2) Prior to carrying out tasks 'Risk Assessments' must be produced and where it is identified 'Method
Statements' for safe working must also be produced. Due to the nature of some tasks the activity may require
a 'Permit to Work' as well as a 'Method Statement'. This will ensure a safe system of working will be adopted
prior to work commencing.

3) There are a number of different types of tasks that require specific training and registration with a designated
registered body. Any enterprise or person working must ensure they are competent to do so and that they
have the correct accreditation and/or registration appertaining to the works being undertaken - appropriate to
the country or region where the work is being carried out.

4) All maintenance tasks required to carry out maintenance of a piece of equipment. All statutory requirements
and safety practices must be adhered to in respect to the method of completing the task and the requirements
of the specific Acts, Regulations, Standards and Guidance Notes currently in force and applicable where the
work is being carried out.

5) Points to Consider during Works activities

a) Asbestos - Check for asbestos-containing material prior to dismantling any equipment; if any asbestos is
found or suspected STOP WORK and close off the area. In accordance with safe working practice, have a
sample of the suspected material certified as safe before any works can re-start; if asbestos is identified, take
actions in accordance with the current and applicable Asbestos Regulations.

b) Carbon Monoxide (CO) - Undetected CO is poisonous, life threatening and also causes energy waste.
Flames should be bluish in color and burn in a stable manner. Correct combustion entails the adequate mixing
of the fuel with air to ensure that the fuel is completely burnt without producing excessive smoke or diluting the
combustion gases with excess air both of which cause energy wastage. With all fossil fuels, insufficient air
produces carbon monoxide, a safety and health hazard, as undetected CO is poisonous and could be fatal.
NB: Where a living accommodation exists within or as part of a commercial estate or in domestic premises.

c) Ceiling Voids - Some maintenance tasks will involve working in voids above suspended ceilings.
Maintenance Schedule contains recommendations on safely accessing ceiling voids to avoid damage or
injury.

d) Confined Spaces - A 'Risk Assessment' and 'Method Statement' must be undertaken in accordance with the
Confined Spaces Regulations before entering any confined space such as a hopper, flue chamber or boiler to
ensure that there is adequate ventilation and an absence of any fumes or flue gases. Great care must be

taken when entering brick or concrete drainage pits because of the possible presence of harmful gases. They
must be vented to ensure the chamber cannot be pressurized over 0.1 bar g. (1.5 psig). Where entry into
confined spaces is necessary, compliance is required with Guidance note L101 - Safe work in confined
spaces approved code of practice, regulations and guidance. - Work in confined spaces. Staff training must be
up to date including the possibility of using breathing apparatus in some areas.

e) COSHH - The Building's Health and Safety file will normally define any such likely or known hazards in
accordance with COSHH Regulations and contractors have a duty to satisfy themselves that hazards are
known and accounted for. Specific risk assessments should be carried out and particular method statements
provided to deal with hazardous contamination. NB: Other personnel on site (Cleaners, Ground Maintenance
etc.) may also be using COSHH materials on the same site.

f) Electrical Equipment - All electrical equipment should be capable of local isolation in accordance with the
regulations of the Saudi Building Code. All electrical equipment should be safely isolated, and where
necessary locked off, before any maintenance work is undertaken, especially where the equipment is remote
to the isolation point. There are also stringent requirements and guidance in the Electricity at Work
Regulations, and of particular importance – “Means of cutting off the supply and for isolation”. In this
Regulation, isolation means the disconnection and separation of the electrical equipment from every source of
electrical energy in such a way that this disconnection and separation is secure. The word ‘secure’ is
specifically mentioned in the Electricity at Work Regulations and requires the means of isolation to be such
that it is not likely to fail, become loose, etc. by the action of vibration, mechanical shock or knocks, or be
accidentally or inadvertently operated. Padlocking is a widely used means, with clear labelling and warning
notices.

g) Permits to Work - Depending on the Establishment, a Permit to Work system may be in operation. The
Authorized Person should be approached for the issue of the permit before the commencement of any
maintenance or remedial works. The permit system may require the maintenance Engineer to undertake
additional training to satisfy the Establishment's requirements for Competent Person roles.

h) Personal Protective Equipment (PPE) - The appropriate PPE will be detailed in the 'Method Statement' and
it is important to ensure that all necessary PPE is worn at all times during any maintenance works. All PPE
must be selected by a competent person as suitable for the purpose and must fit the individual operative
properly (Health & Safety (PPE) Regulations).

i) Reports and Worksheets - Reports should be signed by the servicing engineer and the client/responsible
person/client's representative. Premature failure of the plant will result if a satisfactory service is not carried
out. Depending on the nature/urgency of the fault and the type of premises the report may be verbal.

j) Waste – Ensure that any waste as a result of maintenance works is correctly disposed of. This will include
ensuring that any necessary storage requirements are met. It should also be noted that some used panel and
bag filters could be classed as hazardous waste and Waste Disposal Licensing Regulations may apply.

Emergency Procedures

Procedures for staff and operation team to follow in an emergency should include:

 raising the alarm and informing the public


 onsite emergency response, ie use of fire extinguishers
 summoning the emergency services and continuing to liaise with them
 crowd management, including evacuation, where necessary
 evacuation of people with disabilities
 traffic management, including emergency vehicles
 incident control
 providing first aid and medical assistance

LOTO Procedures
The specific actions for applying LOTO will differ from equipment to equipment, and from facility to facility. The
general LOTO procedure should follow a basic step process.
1. Prepare for Shutdown
A. Notify affected employees that maintenance will be performed under LOTO. The authorized employee
should review the hazards and LOTO procedures for the equipment that will be serviced.
2. Shutdown Equipment
B. The authorized employee will shut down the equipment following company and/or manufacturer’s
requirements.
3. Isolate Equipment
C. Isolate the equipment from the hazardous energy sources using the equipment specific LOTO
procedure.
4. Place Locks and Tags
D. Locks and/or tags should be placed on valves, breakers/electrical disconnects, blank flanges, and any
other point called out on the equipment specific LOTO procedure.
5. Release/Block Stored Energy
E. Release stored energy from the stored energy hazards identified in the LOTO procedure, such as
releasing springs, blocking elevated parts that could drop, stopping moving parts, draining fluids, venting
gases, etc.
6. Verify Equipment Isolation
F. Confirm that workers are clear from the area, locking devices are securely in place, and that the
equipment is isolated. Once this is done, attempt a normal startup to confirm that the equipment does not
start.

Maintenance and service workers are exposed to significant hazards when performing their work. To ensure their
safety, it is essential that LOTO procedures are developed and followed.

Permit To Work Procedure

Permits to work are special authorization documentation that ensures adequate risk has been accessed for the
process and a level of control has been put in place to reduce the severity, likelihood, and potential of an incident
occurring.

The permit receiver is responsible to ensure that the work area is put in a safe and tidy state whenever they or their
team leave the work area. When the work is complete the permit receiver should review the work with the permit
issuer as part of the work permit closure

Monitoring records should be archived on site and reviewed during periodic permit-to-work audits. Permit-to-work
systems should be reviewed regularly to assess their effectiveness. This review should include leading and lagging
indicators and specific incidents that could relate to inadequate control of work activity.

EQUIPMENT OVERVIEW

Fan Coil Unit- Overview

Fan Coil unit that was designed & built for optimum performance. However, it is required that you become well
knowledgeable about the good practices for the proper installation/operation/and maintenance procedures in order
to ensure a safe trouble-free operation, year after year.
Most of the procedures described in this manual require certain skills and experience. The installation and other
maintenance procedures should be performed only by highly skilled and experienced technicians. The end user’s
role should be limited to the cleaning of the filter.

Types of FCU Operation

Four types of Fan Coil Unit Sequence of Operation:

1. Fan Coil Unit Type-1 (FCU with one Thermostat).

FCU operation will depend from on and off position of fan speed switched on the Thermostat:

The FCU fan speed can be operated in “auto” mode position or fixed speed (low, medium, high) on
the Thermostat.

In “auto” position, the fan speed varies (low, medium, high) based on cooling required and the
corresponding chilled water motorized valve will modulate the opening percentage of chilled water to
maintain the room temperature.
If the fan speed is on low, medium, high position, the FCU Panel will run the FCU on Low, Medium,
High speed respectively. The Chilled water control is based on the flow rate which can be controlled
by solenoid valve through BMS (To Control the chilled water flow rate from BMS.

Default speed position is on medium speed.


2. Fan Coil Unit Type-2 (FCU with two Thermostat).

The Type-2 FCU sequence is similar to Type-1 FCU however the room temperature will be set from
BMS (To set room temperature from BMS.The FCU Panel will compare the average room
temperature set from BMS System and modulate the chilled water valve to maintain the room
temperature.
3. Fan Coil Unit Type-3 (FCU with Duct sensor temperature)

The Fan Coil Unit is fully operated from BMS.

The temperature duct sensor installed in return duct will send signal to FCU Panel to compare the
room temperature set point set from BMS and modulate the chilled water motorized valve to
maintain the room temperature.
4. Fan Coil Unit Type-4 (FCU with Thermostat)

The Fan Coil Unit is fully operated from BMS.

The Thermostat Controller installed in the return space above ceiling send signal to FCU controller
to compare the room temperature set point set from BMS and modulate the chilled water motorized
valve to maintain the room temperature.

EQUIPMENT DESCRIPTION

The main components in the Fan Coil Unit are as stated below (see Fig. 10 & Fig. 11):

2. Cooling Coils

- A coiled arrangement of pipe or tubing for the transfer of heat between two fluids.
3. Air Filter

- Accessories attached in FCU to removes particles and impurities from air to improve
the quality of circulating air.

OPERATING PROCEDURES

Start-up

 Open all chilled water isolation valves.


 Check all filters are in place.

Unit in Operation

Follow the safety precautions while Fan Coil Unit start-up and during normal operation.

1) The Fan Coil Units with Thermostat (as shown in Fig. 12 & Fig. 13, Fig. 12
showing the display while in operation while Fig. 13 showing the starting
display of thermostat.) the unit operated by pressing the FCU fan speed in
“Auto” position or pressing the fan speed in 1, 2, 3 (Low, Medium, High).

Note:

1. All MFSD and Motorized Valve associated with Fan Coil Units are automatically operated by
BMS.
2. All MFSD serving rooms equipped with NOVEC will be closed during fire scenario.

CONTROLS & SEQUENCE OF OPERATION

The operation of the air conditioning unit is controlled by a 24VAC electronic control board. All the
contactors are operated by the 24V circuit, including the thermostat.

Heating:

Fan:

The fan will be energized automatically when the systems are operating but no indication of this on
the display. To select continuous fan operation, press the FAN button and the display will show
. This is recommended for electronic air cleaners and continuous ventilation requirements.
Off
When the word OFF is displayed the heating and cooling systems will not operate. Avoid using the
OFF mode during extremely cold weather to prevent damage from freezing.

Auto:

Selecting this mode of operation will control both heating and cooling systems. The thermostat will
automatically switch from one to the other as determined by the selected temperatures in heating
and cooling.

NOTE: The thermostat always maintains a minimum 20F (10C) difference or dead band between the
heating and cooling setpoints.

Shut-down

For Shut-Down operation of FCU’s, it depends on the type of Thermostat

1) The Fan Coil Units with Thermostat will be operated on the wall module to
switch OFF the unit by pressing the FCU fan speed in “zero”.

2) The Fan Coil Units with different type of Thermostat will be fully operated
from BMS to Switch OFF the unit.

MAINTENANCE INSTRUCTIONS

Periodic inspection not only extends the service life of the system but also serves to ensure safe
operation. Be sure to conduct inspections and maintenance schedule. The maintenance schedule
shows the standard service intervals. If you notice any abnormalities make sure to conduct the
inspection and maintenance work, regardless of recommended service intervals.

Regular maintenance and inspections are essential, if inconvenient and costly


breakdowns are to be avoided. Although there is no way to guarantee the possibility
of breakdown, with regular and detailed inspections together with a preventive
maintenance program, the likelihood of such an occurrence can be greatly reduced.

As above stated, the correct maintenance program will also ensure that the individual
plant is running at maximum efficiency at all times. This will also extend plant life due
to the continual monitoring of wear and changes that the systems undergo during their
operating period and life. The maintenance program will provide anticipated and
continuous corrective action to avert and minimize deterioration.

MAINTENANCE HAZARD

Make sure to follow the Hazards Symbols, Warnings, cautions and notes given.

Disconnect all electrical power before servicing unit. Electrical shock will cause severe injury or death.

Personal injury hazard. Wear protective gloves to avoid possible cuts and
abrasions from exposed edges. Avoid contact with sharp edges.

Cleaning agents may cause serious damage to internal components, such as aluminium coils and

electronic controls, etc. Do not operate fan coil while building maintenance cleaning agent are in

use.

Filter Cleaning and Changes

Filters needs to be check and clean


regularly. Filter cleaning can be done
by using compressed air through the
filter (as shown in Fig. 16).

Remove access panel, slide filter out of filter rack, and clean as follows:
Tap filter on solid surface to dislodge heavy particles. Wash under stream of hot water. If filter has
been put to exceptional service, a mild solution of Sal-Soda, Tri-Sodium Phosphate or any other
commercial solvent can be used. Set filter on end with slots in frame down, which allows it to drain.
Filters should dry thoroughly before reuse.
Dirty Air Filter may cause following serious issues of performance of the unit:
1. Reduce air flow
2. Generate increased energy consumption
3. Contribute unhealthy air
4. Inadequate cooling

REPLACEMENT PARTS

When writing for replacement parts, refer to model number and serial number on the nameplate of the
unit.

DRAIN PIPE

Drain pipe should be checked before summer operation of unit. If it is clogged, steps should be
taken to clear the debris so that condensate will flow out easily. A standard pipe cleaner for 1/2" ID
pipe may be used. Periodic checks of the drain pipe should be taken during summer operation, as
there is a possibility of it becoming clogged with dirt.

Coil Cleaning
Coils may be cleaned in-place by removing the motor/blower assemblies and brushing the
entering air face with a soft brush. Do not brush perpendicular to the fun orientation, damage
may occur. Brushing should be followed by blowing air through the fins with a vacuum
cleaner from the leaving air side then removing all debris with vacuum.

Cleaning Condensate Drain Pans


If condensate drain pans are not clean regularly, sludge will build-up and it will clog the opening
connection of the condensate drain pipe (as shown in Fig. 18). This may cause leaking and damage
the ceiling if the unit installed under ceiling.

Cleaning Fan
Dirt and dust should not be allowed to accumulate on the blower wheels or housing.
Excessive debris can result in an unbalanced blower wheel condition which can
damage the wheel and/or motor.

ROUTINE/PREVENTIVE MAINTENANCE

Clean the thermostat box with a dry soft cloth.


Remove the filter by either:
a) Swinging away the knuckles on top of the filter rack then lifting the filter from the lower rack.
b) Swinging away the knuckles on top of the filter rack then sliding the filter sideways.
c) Clean the filter by a jet of air in the reverse return air direction.
d) Inspect the condensate pipe for clogging.

SAFETY INSTRUCTIONS

Warning: Before you attend to any routine maintenance, make sure that the electrical
power is disconnected.

Avoid spilling any liquid on the thermostat


Always allow for 1 to 2 minutes before activating different commands.

TROUBLESHOOTING - FCUs

This table will provide the service people with basic outline and guidance about the most common
problems they might face, their corresponding symptoms, and the recommended action(s).
CAUTION OF SAFETY:

Disconnect all the mains supply to the unit. Check for proper power supply connections. Check for
proper grounding of the unit. Make sure there is no short circuit of the power supplies. With these
basic checks, you can proceed to trouble shoot the unit. Switch ON the power to the Unit.

PERIODIC MAINTENANCE:

A systematic Periodic Maintenance will reduce the possibility of unsuspected breakdowns and will
definitely minimize the outage process. The following is a list of recommended checks and
actions to be conducted at regular intervals for smooth, reliable operation.

WEEKLY:

a) Listen to abnormal sounds. Stop the unit and rectify immediately


b) Check the condition of the filters. Clean or replace as necessary.
c) Check the general operating parameters (Temperature in & Out, CFM, Amps, etc.).

MONTHLY:

a) Check the condition of Fan belt. Replace if frayed or worn.


b) Check the Fan belt for proper tension.
c) Ensure the alignment of the pulleys. Secure them in position.
d) Inspect the motor and fan shaft bearing for signs of wear and/or lubricant leaks. Repair
accordingly.
e) Check the condensate drain system for clogging. Clear and clean.
f) Check the condition of electrical contacts of all contactors, relays, starters, and control.
Clean or replace as necessary.

MAINTENANCE PROCEDURES

Filter Cleaning/Replacement:

If the filter is of the throw-away type (synthetic media), then it is recommended to replace it every
month (depending on the operating conditions and the return air cleanliness).

If it is of the Aluminum, permanent type, then it is recommended to take it out and rinse it with clean
water then leave to completely dry in the sun before installing it again.

Once the variable pulley has been set to the desired speed (check CFM Adjustment), then the
belt tension has to be checked and adjusted if necessary.
Basically, the belt should not be over tightened as it can damage the motor, nor to be loose as it can
reduce the performance of the blower.
To check for proper tension, push the belt from the center distance between the two pulleys with
the thumb. It should not sag for more than 1 cm.
To adjust the tension, you have to tighten or loosen the Quick Arm Adjustment screw to move
the whole blower motor assembly back or forth at will.
Caution: make sure to securely tighten the retaining nuts of the Quick Arm
Adjustment shaft once you are done with the adjustment of the belt tension.

Motor Replacement:

All the motors are equipped with self-lubricated bearings intended for lifetime continuous
operation.

However, and if it is required to change the motor (different selection, different requirement, etc.),
then the special arrangement for the Blower Motor Assembly will make the motor replacement a
straightforward job following those simple steps:

a) Disconnect the power supply to the unit.


b) Open the side access panel.
c) Remove the motor cables from the contactor’s terminals.
d) Loosen the belt tension (Refer to “Belt Tensioning” above).
e) Free the belt(s) from the adjustable drive pulley.
f) Loosen the four (4) bolt/nut securing the legs of the motor to the Mounting Plate and slide the
motor out.
For mounting the new motor, proceed in the reverse order.

For units with Direct Drive Blower Fan, steps “c” through “e” will be simply read as “loosen the
three nuts of the motor holding arms and slide out the motor”.

Caution: Every time you change the motor, you have to verify the motor for right
direction of rotation (proper sequence of electrical phases) to secure the cable
connection, the motor mounting nuts and the Quick Arm Adjustment retaining nuts.
The belt tensioning and pulleys alignment have to be observed.

Every Motor/Drive can operate in a 20% plus or minus bracket of the rated CFM through the
adjustment of the adjustable drive pulley and/or the selection of different Motor/Drive arrangement.

The drive pulley pitch diameter can be adjusted by:

a) Using an Allen Key, loosen the corresponding screw.


b) Rotate the outer sheave (disc) of the pulley clockwise to increase the speed, and counter clockwise to
reduce the speed as desired.
c) Adjust the belt tension and secure the Allen Key screw in position.
