Introduction
This article will show you what the project life cycle is, the project life cycle (PLC) phases, and their
importance to project success. The following article will give you a panoramic view. Factors to pay
attention to when developing a project management plan (PMP). From these factors, it will be analyzed to
see how it will affect the management plan of a project. Full assessment of these factors in a project is
very important, it is a guide for a project. successful project. The project proceeds according to plan. Then,
the article will design a detailed PMP including goals, products, quality, risks, communications, resources
and research methods for PNJ's digital transformation project. From there, come up with a detailed work
breakdown structure (WBS) and a schedule that provides timeframes and completion steps.

I. Project Life Cycle

1. What is the project life cycle?
The project life cycle, also known as the project management life cycle, is about all the stages and a list of
actions to be taken to successfully achieve the project goals and objectives. Whether you're working on
small or multi-million dollar projects, you and your team follow an orderly process that includes planning,
execution, control, and more. Therefore, the project management process consists of a series of project
lifecycle stages that you must execute to get work done systematically. This helps create clarity and
consistency for daily workflows, leading to guaranteed success. The 5 stages of the project life cycle
include initiation, planning, implementation, control, and closing (vietnambiz, 2019).

1.1 Begin

To start a project, it is necessary to clearly define the goals and fundamentals of the project life cycle
process. Your team needs to clearly understand what the ultimate purpose of implementing a project is. It
can be a product, a service or a solution to a problem. You will have to think of many possible solutions to
meet that need. You will have to look for proven principles to help you solve problems that may arise
during project completion. Therefore, your role as a project manager is to create and ‘sell’ those ideas by
presenting them to your superiors or sponsors. So it requires you to do a lot of research and analysis,
define project scope and build a business case, among other things. Steps you need to take during the
project launch phase:

Conduct a feasibility study: Focus on the main problem and evaluate whether your project can achieve the
desired results.
Define project scope: Identify project tasks, goals, and objectives to clarify work boundaries from the
beginning.

Identify project deliverables: Identify the project deliverables you need to deliver to ensure project
success.

Identify project stakeholders: Identify the stakeholders that will participate in the project. Stakeholders are
those who have an interest in the progress and results of the project.

Develop a business case: Develop a business case to compare the potential costs and benefits if you
proceed with the project.

Develop a statement of work: Document the project goals, scope, and deliverables you need to accomplish
during development.

1.2 Planning

The next stage to effectively manage the project lifecycle is planning. Planning helps you have a clear
direction to achieve your set goals within the time limit and budget. During this phase of the project
management lifecycle, you break the project down into smaller tasks to make the project easier to execute
and manage. To plan effectively, you need to determine the appropriate structure and hierarchy of your
project's workflow. How will you determine the order of tasks? Who in the group will perform which
task? Which tasks need to be prioritized? Here are some questions you need to answer as you develop
your action plan. Steps to take during the project planning phase:

Create a project plan: To create a project plan, you develop a detailed design of the project. This includes
identifying tasks, milestones, timelines, and risks associated with the project.

Estimate your budget: This is where you need to organize your budget and identify all the potential costs.
To create a proper financial plan, you must have a clear idea of the funding sources to maintain the
project's resources, equipment, and indirect costs, if any.

Estimate required resources: To make your project journey enjoyable, you must provide the right amount
of resources with the right skill set and expertise. Putting good resources into the project is the secret
formula for project consistency and success.
Timely risk prediction: Identifying potential project risks is essential. This will help team members calmly
approach roadblocks and mitigate risks at the earliest opportunity.

Conduct a kick-off meeting: Hold a kick-off meeting with your team members and discuss all the rules,
explain prioritized tasks, assign work responsibilities, and get started project smoothly.

1.3 Perform

This is the key stage where your plan will be put into action. During this phase, team members start
working on tasks. As a project manager, it is your job to detect deviations and correct them immediately.
For example, while working on a project, you may find that a resource is overloaded with tasks. Here, you
intervene and redistribute tasks to allocate resources appropriately. It is necessary to closely monitor
current work progress to check whether your team is on track or not. During this phase, using the best
project management software, will be very beneficial. It helps optimize workflows and enables you to
execute projects with greater transparency, accountability, and efficiency. Here are the steps you need to
take during the project implementation phase:

Build project workflows: Break complex tasks into subtasks to manage them more easily. Assign these
tasks to team members and determine the time for each member. Also, categorize tasks into sections
depending on their type.

Determine task priority: Project execution often requires the completion of several tasks first. You can
also mark a task as important by clicking the star icon next to the task title.

Communicate to maintain transparency: For smooth project execution, you need to communicate regularly
with team members, stakeholders, and customers. Here too, a tool helps to discuss tasks and give/receive
feedback through task comments. You can also share files using a tool.

Run quality control: Maintaining quality throughout the project development process is important.
Implement a regular quality control process to check everything Project budget management: Keep a close
eye on your expenses to avoid going over budget. Track your project estimates and costs. Simply enable
these features and you'll be able to track how much time your team members spend on a task as well as
how much it costs your business.

1.4 Control
Your work doesn't stop at implementing your action plan. Your project may face challenges you didn't
expect. To solve this, you need to monitor the work in progress. Some useful views help you analyze
progress and detect roadblocks:

The Gantt view gives you a comprehensive view of all your tasks in one view. Using it, you know the
timelines for each task. It also helps you detect if any tasks are duplicated so you can adjust and rearrange
your workflow accordingly.

Kanban view helps you improve the visibility of all your tasks across workflows. Task cards show the task
assignee, due date, file attachments, and task description. So you can access any information you need in
just seconds.

ProProfs Project Calendar view. It gives you a simple overview of your tasks, avoiding confusion about
which tasks need to be done and when.

1.5 End

Once you've completed all your tasks, achieved your goals, and resolved any obstacles along the way, you
need to define clear boundaries. So, sum up all the things you've done and determine the success of your
important project. One might think that the work here is done, but there are still some tasks that need to be
done after supervision. Here are the steps you need to take during the project closing phase:

Analyze project performance: Check whether your project is successful or not. Can you complete the
project within the established time and budget? Is the customer satisfied with the result? Consider these
questions when determining the effectiveness of your project. Evaluate team performance: Review the
performance of your team members. Check if they can complete the work on time. Do they meet quality
standards? Find answers to these questions to evaluate your team's performance.

Record what you learned: Keep a report containing all the details about the steps and tasks involved in the
project lifecycle. Write down any lessons you learned while managing the project. This will help you
create better project lifecycles in the future.

Allocate remaining resources: In case any resources are idle, allocate them to complete future projects
(devsamurai, 2023).
2. The importance of working with a project lifecycle process
Project lifecycle management is an important skill that every project manager should have. It helps you
manage projects systematically, effectively and professionally, from start to finish. The project life cycle
includes phases from project initiation, planning, implementation, monitoring, control and closure. Each
phase has specific activities, tools, techniques, and documentation to support project execution and
control.

You may wonder why you need to apply project lifecycle management to complete your project. The
reason is that the project life cycle clearly outlines the project roadmap, the roles and responsibilities of
team members, and the steps to take in case of obstacles. As an effective project manager, you need a
systematic approach that you can rely on. Working with the project lifecycle helps chart every minute
detail involved in the project. It lays the foundation for clear transparency throughout the project
implementation process. This way, you bring greater efficiency and consistency to your workflow.

Working with a project lifecycle process offers many benefits to project managers and stakeholders. It
helps define important project elements such as goals, scope, budget, schedule, risks, quality, and
stakeholders. It also helps assign responsibilities, coordinate and communicate effectively with team
members and other stakeholders. In addition, it also helps monitor, evaluate and adjust project progress,
costs, quality and risks. Finally, it also helps to package, deliver, evaluate and learn from project results
and experiences.

Running better projects from start to finish is not an easy task. Running a project comes with its fair share
of challenges. Sometimes, resources fall short and sometimes, budgets exceed their estimates. But don't
lose hope. As a manager and leader, you can do your best to complete projects as desired by implementing
a robust project lifecycle. Guiding your team through the five stages of the project lifecycle will help you
stay on track and maintain consistency throughout the project. And yes, no matter what field you're
working in, the rules remain the same. So, keep building your project lifecycle and execute successful
projects with ease (ahaslides, 2023).

II. Check and evaluate factors to consider when creating a project management plan (PMP)

1. What is a project management plan?

A project management plan is a comprehensive document that outlines the approach, scope, objectives,
deliverables, timelines, resources, risks, and stakeholders involved in the project. It serves as a roadmap
for the project team to execute, monitor, and control project progress. A project management plan is an
essential document that helps a project manager track the progress of a project and ensure that it is on
track to achieve its goals.

A project management plan includes many different components, depending on the type and scale of the
project. Some common components of a project management plan are:

 Project scope: This section describes the project's goals, outcomes, scope, limitations, and change
factors. It also defines deliverables, acceptance criteria, and scope control processes.

 Project schedule: This section describes the project activities, tasks, dependencies, timing,
resources, and responsibilities. It also defines timelines, schedule control processes, and scheduling
tools.

 Project budget: This section describes the costs, income, finances, and resources of the project. It
also defines budget control processes, cost estimating tools, and financial reports.

 Project quality: This section describes the standards, methods, tools and techniques to ensure and
control project quality. It also defines quality control processes, quality measurement tools, and
quality reports.

 Project risks: This section describes the risks, opportunities, causes, effects and probabilities of the
project. It also defines risk management processes, risk analysis tools, and risk prevention and
remediation measures.

 Project communications: This section describes the information, recipients, medium, timing,
frequency and purpose of the project. It also defines communication management processes,
communication tools and communication reports.

The project management plan is a living document that can change over time to reflect project changes.
Project managers need to maintain and update the project management plan regularly, and keep
stakeholders informed of any changes. The project management plan is an important tool to ensure that the
project is carried out as planned, within the specified time and budget, and achieves the desired goals
(viindoo, 2024).

2. Factors to consider when creating a project management plan

Project management planning is one of the important steps to ensure project success. When planning,
project managers need to consider many different factors, including:

Project goals: This is the starting point of every project plan. You need to clearly define what the project's
goals are, why the project is important, and how to measure project success. Project goals need to be
specific, measurable, achievable, meaningful and time-bound (SMART).

Project scope: This is the section that defines the tasks, activities, deliverables, expected results, and
boundaries of the project. The project scope needs to be clear, complete, and consistent among
stakeholders. You need to avoid changing the project scope during implementation, unless there is
agreement from stakeholders and there is a good reason.

Project budget: This is the cost estimate for resources, equipment, supplies, labor, and other costs related
to the project. Project budgets need to be reasonable, accurate, and controllable. You need to track and
compare the actual budget with the expected budget, and handle budget overruns if any.

Project schedule: This is the section that defines the start, end, and important milestones of the project.
The project schedule needs to be feasible, flexible, and adjustable. You need to divide the project into
smaller tasks, determining the order, timing, and who will do each task. You also need to consider factors
that affect the schedule, such as risks, dependencies, and changes.

Support plan: This is the section that develops additional plans to support project implementation. Support
plans may include: risk management plan, quality management plan, human resource management plan,
communication management plan, change management plan, and management plan related parties.
Support plans need to be consistent with the project's goals, scope, budget, and schedule.

By considering the above factors, project managers can create a detailed, clear, and effective project plan.
A good project plan will help project managers and stakeholders stay on the same page, while minimizing
problems and difficulties during project implementation (resources, 2023).
III. A range of research methods and strategies and their importance to project management.
1. Research Overview
Research is the process of collecting, processing, analyzing and presenting data and information related to
a problem, a phenomenon, a field, or a theory. Research can be conducted by individuals, organizations,
agencies or research groups. The purpose of research is to find new knowledge, new solutions, new
applications or new improvements for a problem, a phenomenon, a field or a theory.

Research can be classified according to many different criteria, such as:

Qualitative research method: This is a method used to explore the meaning, experiences, and context of a
phenomenon or a business problem. This method uses means such as interviews, observations, discussion
groups, content analysis, discourse analysis, and other means to collect and analyze non-numerical data.

Quantitative research method: This is a method used to measure, describe, and explain a phenomenon or
business problem using numerical data and statistical techniques. This method uses means such as
surveys, experiments, correlational studies, comparative-causal studies, and other means to collect and
analyze numerical data.

Mixed research method: This is a method used to combine the advantages of both qualitative and
quantitative research methods and provide a more comprehensive understanding of a phenomenon or a
business problem. This method uses both numeric and non-numeric data and combines them in various
ways.

Document research method: This is a method used to search, collect, and synthesize information related to
a phenomenon or a business problem from available sources, such as books and newspapers. , journals,
reports, dissertations, and online sources (luanvan24, 2024).

2. Important of resreach to PM

Re-approaching PM means revisiting project goals, scope, plans, resources, risks, and outcomes to
evaluate effectiveness and learn from experience. This is an important step in the project management
process, as it helps improve decision-making and planning for future projects. Some of the skills needed to
re-approach PM are:

Decision Making: This is the skill of choosing between possible options to take an action or solve a
problem. To make effective decisions, you need to gather and analyze information, define criteria and
goals, evaluate the pros and cons of options, and take action on the chosen decision. You also need to
monitor and evaluate the results of your decisions and be ready to adjust if necessary. You can use
decision support tools and methods, such as decision matrices, AHP methods, SWOT methods, etc.

Simulation: This is the skill of using mathematical or computer models to describe and predict the
behavior of a system or process. Simulation helps you test assumptions, test solutions, evaluate different
scenarios, and optimize results. You can use simulation tools and methods, such as system dynamic
modeling, Monte Carlo modeling, Petri net modeling, etc (gapowork, n,d).
3. Pros and cons of research methods and strategies

Research methods help provide scientific, objective, and reliable information, knowledge, and evidence
about a problem, phenomenon, and research object. Thanks to that, researchers can clearly understand,
analyze, evaluate, and make accurate, reasonable, and valuable judgments, conclusions, and
recommendations. Research methods also help discover strengths, weaknesses, opportunities, challenges,
risks, trends, solutions, and innovations related to a problem, phenomenon, or research object. Thanks to
that, researchers can take advantage of, exploit, develop, improve, and optimize related resources,
activities, and actions. Research methods also help test, evaluate, improve, and optimize processes,
products, services, policies, strategies, etc. Thanks to that, researchers can improve the quality, efficiency,
effectiveness, satisfaction, and trust of customers, partners, community, and society.

The strategy has many of the same benefits. The strategy helps determine the goals, objectives, vision,
mission, and core values of an organization, individual or group of people. Thanks to that, the strategist
can guide, orient, motivate, encourage, and motivate everyone in the organization, individual or group of
people to pursue, implement, and achieve goals and objectives effectively. meaningful, valuable. Strategy
also helps select, arrange, allocate, and coordinate resources, activities, and actions to achieve goals and
objectives effectively, efficiently, and sustainably. Thanks to that, the strategist can take advantage of, use,
manage, control, balance, and optimize resources, activities, and actions in a profitable, useful, and
responsible manner. Strategy also helps create differentiation, competitive advantage, and added value for
an organization, individual or group of people. Thanks to that, the strategist can stand out, excel,
dominate, expand, and develop the market, customers, partners, community, and society.

However, research methods and strategies also have limitations, difficulties, and challenges that need to be
faced and overcome. Research methods may encounter difficulties in collecting, processing, and analyzing
data due to the amount of data being too large, too complex, too diverse, too sensitive, too changing, etc.
This requires the researcher to have skills, techniques, tools, software, hardware, etc. appropriate, modern,
and advanced to be able to collect, process, and analyze data quickly, accurately, completely, and reliably.
Research methods can also be affected by factors such as bias, errors, assumptions, limitations, risks, etc.
making research results inaccurate, incomplete, unreliable, inapplicable, etc. This requires researchers to
have knowledge, experience, attitudes, ethics, etc. Professional, honest, objective, careful, and meticulous
to avoid, reduce, and overcome factors that negatively affect research results. Research methods can also
take a lot of time, effort, cost, and resources to implement, especially studies with large scale, wide scope,
high depth, etc. This requires the researcher to have plans, schedules, budgets, assignments, coordination,
etc. reasonable, scientific, and flexible to be able to conduct research in a timely, effective, efficient, and
sustainable manner.

Strategy can be difficult to implement, monitor, control, and evaluate due to changes in the environment,
competition, customers, etc. making the strategy no longer relevant, effective, sustainable, etc. This
requires the strategist to have skills, techniques, tools, software, hardware, etc. to be able to grasp, react,
adapt, update and innovate strategies quickly, accurately, promptly and flexibly. Strategy can also be
broken, stolen, copied, or surpassed by competitors without protection, security, updates, innovation, etc.
This requires the strategist to have measures, policies, laws, etc. to be able to protect, secure, update, and
innovate strategies safely, effectively, and sustainably. Strategy can also cause unwanted, negative and
dangerous consequences and impacts for an organization, individual or group of people if there is no
analysis, prediction, assessment, prevention or reduction. light, etc. This requires the strategist to have
knowledge, experience, attitudes, ethics, etc. to be able to recognize, deal with, resolve, and overcome
negative consequences and impacts on an organization, individual, or group of people (laodongdongnai,
2022).

Survey questions

How satisfied are you with your current job?

Do you feel your work is meaningful and appreciated?

Do you think you have the freedom to decide how to do your work?

Do you know what it takes to achieve your goals and tasks?

Are you getting the resources and equipment you need to do a good job?

VII. Wbs and schedules

The Work Breakdown Structure (WBS) chart is a powerful project management tool that helps break a
project into smaller, more manageable parts. Each section of the WBS represents a specific piece of work
that needs to be done to complete the project. Represented as a tree diagram, the WBS helps the team
work into segments or phases, with each “branch” representing a specific piece of work or work package.

The primary goals of using a WBS include clarifying the scope of work by identifying all the work
required to complete the project and dividing the work into smaller, manageable workpieces or packages.
It also helps assign responsibilities to each piece of work, estimate resources and time required, and track
project progress. The WBS is an integral part of the project planning and management process, ensuring
that all project elements are managed systematically and effectively. This is a tool that helps project
managers have an overview and detail of the project, thereby making accurate and timely decisions
