1. Viết email bằng tiếng Anh để làm gì?

Có lẽ việc viết email bằng tiếng Việt đã quá quen thuộc với chúng ta, tuy nhiên nếu làm
việc trong môi trường sử dụng tiếng Anh chúng ta cần phải viết email bằng tiếng Anh.
Việc sử dụng email bằng tiếng Anh có thể sử dụng ở một số tình huống như:
 Trong môi trường học thuật sử dụng tiếng Anh.
 Làm việc cho công ty nước ngoài.
 Trao đổi với bạn bè nước ngoài.
 Các vấn đề liên quan đến du học.
 Trao đổi công việc với đối tác là người nước ngoài,….
Trên đây chỉ là một số trường hợp phổ biến mà chúng ta sử dụng viết email bằng tiếng
Anh. Tuy nhiên văn phong trong email tiếng Anh sẽ khác với tiếng Việt. Vì vậy việc
trang bị cho bản thân những kiến thức về mẫu thư và cách viết email bằng tiếng Anh là
hết sức cần thiết.
2. Cách viết email bằng tiếng Anh

Làm sao để viết email bằng tiếng Anh

2.1. Cấu trúc của một Email thông thường
 Greeting (Chào hỏi)
 Opening comment (Câu chào hỏi ban đầu)
 Introduction (Giới thiệu)
 Main point (Nội dung chính)
 Concluding sentence (Kết thúc email)
 Signing off
2.1.1. Greeting (chào hỏi)
Một Email thông thường sẽ bắt đầu với phần greeting, chúng ta có thể sử dụng các
cụm từ sau dùng để chào hỏi trong email.
Nếu quan hệ giữa bạn và người nhận thư là mối quan hệ lịch sự, ta nên sử dụng các
danh xưng như Mr, Mrs, hay Ms…
Cấu trúc: Dear + title (danh xưng) + surname (họ),
 Dear Mr/Ms… (nếu biết tên người nhận).
 Dear Sir/Madam (nếu không biết tên người nhận).
 Thank you for your email on April 1st.
 It was my pleasure meeting you at the conference last week.
Ví dụ: Dear Mrs. Price
 Nếu mối quan hệ giữa bạn và người nhận thư thân mật hơn bạn có thể đơn giản
sử dụng tên riêng người đó trong câu chào hỏi.
Ví dụ: Hi Kelly, Dear Kelly….

  Nếu bức thư mang nội dung làm quen hoặc xin gặp mặt và bạn chưa có thông tin
về người nhận thư bạn có thể sử dụng “To whom it may concern” hoặc “Dear
Sir/Madam”.
2.1.2. Opening comment (Câu chào hỏi ban đầu)
Tiếp theo là Opening comment, thông thường đây là những câu hỏi thăm về tình hình
sức khỏe hoặc tình hình hiện tại của người nhận.
 How are you?
 How are things?
Nếu nội dung bức thư là một sự hồi đáp, chúng ta nên mở đầu với từ cảm ơn “thanks”.
Ví dụ:
 Khi một người gửi một email bày tỏ sự quan tâm của họ về công ty bạn đang
làm chúng ta có thể viết:
Thank you for contacting ABC Company (Cảm ơn vì đã liên lạc tới công ty ABC).
 Khi một người trả lời 1 bức thư mà bạn gửi cho người đó:
Thank you for your prompt reply (Cảm ơn vì đã hồi đáp).
Thank for getting back to me (Cảm ơn đã hồi đáp).
 Những câu cảm ơn trên sẽ làm người đọc cảm thấy thoải mái hơn và cảm
giác sự mở đầu mang cảm giác lịch sự.
Trong trường hợp bức thư không dựa trên 1 sự hồi đáp, cách lịch sự để mở đầu là
những câu chúc:
 I hope you are doing well. (Hy vọng cô vẫn khỏe).
 I hope you have a nice weekend. (Hy vọng là cô có một kỳ nghỉ cuối tuần vui
vẻ.)
2.1.3. Introduction (Giới thiệu)
Phần tiếp theo của email là Introduction. Trong phần này, chúng ta sẽ nêu rõ lý do vì
sao chúng ta viết email, tùy vào từng trường hợp cụ thể mà chúng ta có cách mở đầu
khác nhau. Các bạn có thể mở đầu bằng cụm từ sau đây: I am writing to + verb…
Chúng ta không nên dùng I’m trong email bởi vì trong văn phong trang trọng thì không
dùng từ viết tắt.
 I am writing to ask for the information about the English courses. (Tôi viết email
này để yêu cầu quý vị cung cấp thông tin về khóa học tiếng Anh.)
 I am writing to check if everything is ready for the launch of the product. (Tôi
viết email này để kiểm tra mọi thứ đã sẵn sàng cho việc tung ra sản phẩm mới
chưa.)
 I am writing to reference to (Tôi viết thư để tham khảo….)
 I am writing to enquire about… (Tôi viết thư để yêu cầu….)

Đối với các mối quan hệ xã giao thì chúng ta nên dùng các câu hỏi gián tiếp và dùng
câu hỏi trực tiếp để dùng cho các mối quan hệ thân thiết.
I am writing to clarify some points of the contract. (Tôi viết email này để làm rõ một số
điểm trong hợp đồng.)
Ngoài ra các bạn có thể dùng các từ cho cấu trúc trên như I am writing to + complain/
explain/ confirm/ apologize. Để đa dạng cách viết, ta có thể dùng “I would like to…”
thay cho “I am writing to…”. Đặc biệt, trong trường hợp không cần trang trọng quá, các
bạn có thể dùng “I just want to…”
Chú ý các câu trong phần này phải thực sự ngắn gọn và rõ mục đích vì nó nằm trong
phần đầu của email.
2.1.4. Main point (Nội dung chính)
Những bước giúp thành thạo cách viết email bằng tiếng Anh
Đến phần main point, bởi đây là email nên chúng ta cần nêu vấn đề ngắn gọn, súc tích
càng tốt.
Nếu bạn muốn đề cập đến những vấn đề tế nhị như từ chối một lời đề nghị hay thông
báo cho một nhân viên anh ta bị thôi việc, hãy viết về điều này ở những đoạn văn tiếp
theo thay vì mở đầu thư. Dưới đây là một vài cách thông báo những tin tức không mấy
dễ chịu thuộc loại này:
 We regret to inform you… (Chúng tôi rất tiếc phải thông báo với ông/bà rằng…)
 It is with great sadness that we… (Vô cùng thương tiếc báo tin…)
 After careful consideration we have decided… (Sau khi đã xem xét cân nhắc, kỹ
lưỡng chúng tôi đã quyết định…)
 I am writing in reply to your letter of 4 September regarding your outstanding
invoice. (Tôi viết thư để trả lời lá thư của ông/bà gửi ngày 4 tháng 9 về tờ hóa
đơn chưa được thanh toán của công ty ông/bà)
Khi bạn viết cho họ mà bạn muốn đề cập những việc đã trao đổi trong lá thư trước đó,
hãy dùng những mẫu câu sau:
 Further to our conversation, I am pleased to confirm our appointment for 9.30am
on Tuesday, 7 January. (Theo như chúng ta đã trao đổi, tôi rất vui được xác nhận
lịch hẹn của chúng ta vào hồi 9:30 sáng thứ Ba ngày 7 tháng 1.)
 As you started in your letter, … (Như khi bạn bắt đầu trong thư, …)
 Regarding … / Concerning … / With regards to … (Về vấn đề… / Liên quan
đến… / Liên quan với…)
 As you told me,… (Như bạn đã nói với tôi…)
 As you mentioned in the previous one,… (Như bạn đã đề cập trước đó…)
 As I know what you wrote me,… (Như những gì bạn đã viết cho tôi…)
Bạn cũng có thể dùng những mẫu câu lịch sự sau để hỏi về vấn đề nào đó:
 I would be grateful if … (Tôi sẽ biết ơn nếu…)

  I wonder if you could … (Tôi tự hỏi nếu bạn có thể… )
 Could you please …? Could you tell me something about …? (Bạn có thể vui
lòng… / Bạn có thể cho tôi biết về…)
 I would particularly like to know … (Tôi đặc biệt muốn biết…)
 I would be interested in having more details about … (Tôi quan tâm đến việc có
thêm chi tiết về việc…)
 Could you please help me …(inform the student of final exam…), please? (Ông
có thể vui lòng giúp tôi … (thông báo cho học sinh của kỳ thi cuối cùng …), xin
vui lòng?)
 I would like to ask your help … (Tôi muốn nhờ sự giúp đỡ của bạn về…)
2.1.5. Concluding sentence (Kết thúc email)
Sau đấy, các bạn có thể dùng các câu concluding sentence để kết thúc email như sau:
 I look forward to… (Tôi rất trông đợi…)
 I would be grateful if you could attend to this matter as soon as possible. (Tôi sẽ
rất cảm ơn nếu ông/bà có thể giải quyết vấn đề này càng sớm càng tốt.)
 I look forward to hearing from you soon. (Tôi rất mong sớm nghe tin từ bạn.)
 Nếu bạn bắt đầu bằng Dear Mr, Dear Mrs, Dear Miss, hay Dear Ms, bạn nên kết
thúc thư bằng cụm sau: Yours sincerely, Yours faithfully, (kính thư).
 Please get back to me as soon as possible. (Hãy trả lời email sớm nhất có thể
nhé.)
 Please respond at your earliest convenience. (Xin hãy hồi âm ngay khi các ngài
có thể).
 Let me know if you need anymore information. (Hãy cho tôi biết nếu anh cần
thêm thông tin)
 , các bạn có thể dùng các câu concluding sentence để kết thúc email như sau:
 If you would like any further information, please do not hesitate to contact me.
(Nếu ông/bà cần thêm thông tin gì, xin cứ liên hệ với tôi.)
 Feel free to contact me if you need further information. (Đừng ngại liên hệ với tôi
nếu anh cần thêm thông tin nhé).
 Hoặc bạn có thể dùng “Please do not hesitate to contact me…” để thay thế
cho “Feel free to contact me…”
2.1.6. Signing off
Phần cuối cùng “signing off” bao gồm 2 phần, đó là họ tên người gửi và những dòng
chữ đi kèm như sau:

 Trình bày lý do viết email
Sau phần chào hỏi thông thường, bạn nên trình bày lí do viết email ở đoạn mở đầu. Một
số mẫu câu bạn có thể áp dụng là:
I am writing to you on behalf of… (Tôi thay mặt…viết email này để…)
Further to…/ With reference to… (Liên quan đến việc…)
Might I take a moment of your time to… (Xin ông / bà / công ty cho phép tôi…(đây là
cách viết rất trang trọng, thường dùng trong lần đầu tiên liên hệ với đối tác).
I am writing to you regarding…/ in connection with… (Tôi viết email này để liên hệ về
vấn đề…)
 Đưa ra lời đề nghị, yêu cầu
Là một trong hai nội dung phổ biến nhất khi viết email thương mại bằng tiếng Anh, lời
đề nghị, yêu cầu trong email cần phải lịch sự, chuyên nghiệp và rõ ràng để tránh nhầm
lẫn. Bốn mẫu câu thông dụng gồm:
Would you mind…? / Would you be so kind as to…? (Xin ông/ bà/ công ty vui lòng…)
We are interested in…and we would like to… (Chúng tôi rất quan tâm đến… và
muốn…)
I would appreciate it / be grateful if you could send more detailed information about…
(Tôi rất cảm kích nếu ông/ bà/ công ty có thể cung cấp thêm thông tin chi tiết về…)
We carefully consider…and it is our intention to… (Chúng tôi đã cẩn thận xem xét…
và mong muốn được…)
 Xin lỗi người nhận email
Trong quá trình cộng tác, kinh doanh, chắc chắn sẽ không tránh khỏi những vấn đề phát
sinh ngoài ý muốn. Để đưa ra lời xin lỗi chân thành nhưng vẫn chuẩn mực, bạn có thể
tham khảo:
We regret / are sorry to inform you that… (Chúng tôi rất tiếc phải thông báo với bạn
rằng…)
Please accept our sincere apologies for… (Xin hãy chấp nhận lời xin lỗi chân thành
về…)
We truly understand and apologize for…you are given due to… (Chúng tôi hoàn toàn
hiểu và xin lỗi về những bất tiện đã gây ra cho quý khách do…)

I promise this case will never happen again and it is our pleasure if you could accept…
as a humble compensation. (Tôi xin hứa sự việc này sẽ không tái diễn và rất mong ông /
bà có thể chấp nhận…. như một khoản bồi thường.)
 Đề cập đến tài liệu đính kèm
Thông thường khi gửi email thương mại, chúng ta rất hay đính kèm các tài liệu liên
quan. Để thông báo, nhắc nhở người nhận không bỏ sót phần này, bạn nên nói:
Please find attached… (Xin lưu ý đến….đã được đính kèm trong email.)
Attached you will find… (Bạn sẽ tìm thấy…được đính kèm trong email này.)
I am sending you…as an attachment. (Tôi đã đính kèm…)
Can you please sign and return the attached contract by next Friday? (Xin vui lòng ký
và gửi lại bản hợp đồng đính kèm trước thứ 6 tuần sau (với cách này, bạn sẽ có thể dùng
kèm thêm động từ.)
 Kết thúc email
Cuối cùng, để tỏ rõ thiện chí, bạn không nên kết thúc email thương mại bằng một lời
chào đơn giản. Thay vào đó, hãy giữ liên lạc với người nhận theo các cách như:
Should you need any further information, please do not hesitate to contact me. (Nếu có
bất kỳ vấn đề gì, xin đừng ngần ngại liên hệ với tôi.)
I trust the above detail resolves your queries. Please feel free to contact us if we can be
of further assistance. (Tôi hy vọng email này đã giải đáp thắc mắc của bạn. Nếu chúng

Thank you very much for your letter which arrived a few days ago. It was lovely to hear

I think the restaurant which you told me in the letter is very interesting. I also like to eat
out and I usually go to a restaurant for dinner with my family twice a month. Our
favorite restaurant is a traditional restaurant in Hang Bong street. It is not big but it is
always busy. There are only a few tables in the restaurant and on each table is a vase
with lovely flowers. There are plants in the room corners. I usually order the traditional
dishes and eat them with rice. For example, fish cooked with sauce, spring roll,...and
vegetable and so on. The food is delicious so we enjoy it very much. The service is also

didn't do homework and we felt so guilty with her. Then we studied English hard to fix

It is so wet here. I am writing to tell you about the weather in my country. In my
country, it is in spring with high humidity. My country is a tropical monsoon climate.
Broadly speaking, the weather in Vietnam is featured by two monsoon seasons the
southwest monsoon from April to September and the northeast monsoon from October
to late March or early April. Moreover, the northeast monsoon effects bring lower
temperatures to my city, Hanoi and all days in Hanoi is in rain. In fact, I am fed up with

Thanks for your letter so much. My family moved to this house 3 weeks ago. My
husband is going to arrange a small party to welcome to our new house this week. We
will be happy if you come. And about our new house, This is a three floors house with a
neat little garden. I will plant some flowers in this garden to make the house more
beautifully. All members of family want to live in a house near nature, thus we decide
to choose this house. It is not bigger but I like because of its simple beauty. There are 1
sitting room, 4 bedrooms, 3 bathrooms and 1 kitchen in the house. My room is already
lovely room in the 2nd floor. I like it so much and next weekend if you come, I will
show you some little interest of my room. My husband want it to be a beautiful house
full of joy and wonder so he chose pink to paint it. Do you like pink, Oanh? And best of
all, it will never get dirty so we do not have to spend time just to clean up the mess. In
our house, there is not very a lot of furniture but I think that everything is harmonious
with other things. My husband want to decorate it more before the party and I will help

Exercise 8: About the last film you saw and whether you enjoyed it.

I want. You can't believe that last week I had a wonderful visit to Vincom tower where I
saw Titanic in 3D. It was such an interesting experience that I could see that film in 3D.
Everything seemed to real. I was also moved by the content of the film. It is an epic

Titanic. Leonardo Dicaprio and Kate Winslet stars in this film as members of different
social classes who fall in love abroad the ship during its ill – fated maiden voyage.
It's a little bit silly when I cried a lots in the end of film, because the female actor was
dead. It's worth watching so you should see film soon. Let me know your feeling when

Exercise 9: Tell me how you keep fit and healthy.

I was very happy after receiving your letter. Thanks for your praise. Are you putting on
weight? Don't worry. I will help you not only to lose weight but also to have a fit and
healthy body. I think the first you had better avoid foods high in fats like cookies,
fries,.. You also try to limit amount of animal protein consume. I really little eat meat. I
eat a lot of vegetables, fresh fruit which are full of fiber and vitamin and drink enough
water daily.
The second effective measure is to do exercise frequently. You can walk or jog in the
morning or afternoon everyday. Moreover, playing sports is also very good for health,
especially it is very efficient to lose weight. In addition, you can join some clubs for
examples as dance sport or aerobic clubs. If you want to have a fit and healthy body,
you should have regular daily routine. I think losing weight will be difficult if you use
suitable measures. I hope that these experience are helpful for you.

Exercise 9: I know you've just come back from holiday. Tell me about the holiday

How are you? Thanks for your letter. I am so happy because you always miss and think
of me. I have just come back home from Hue. In this trip, I went to by train because it is
cheap and safe . That was a really interesting trip. Hue is known for its beautiful
imperial architecture and wonderful natural beauty, especially the length of history of
Nguyen dynasty. I think that Hue is the only city in Vietnam that still has restored
historic beauties with of walls, places, and royal tombs. Everything in Hue city make
me impressed and surprised. Perfume rives is very poetic and peaceful. It always make
me feel comfortable and relaxing. In this trip, my father and I were on a boat in this
river to listen to hue songs every night. The melody of Hue songs is always very

special. I love Hue songs very much. The trips lasted 2 days. In the first day, we went to
visit Tu Duc tombs. It is a large and bulky structure. We spent all day to discover this
historical Structure. There are a lot of famous tomb in Hue but because os limited time
we only visited Tu Duc tombs. The following day, we came to Thien Mu pagoda. This
pagoda was built in the 14th century and is placed on Ha Khe hillock area near the
perfume river. It is also known as Linh Mu pagoda. This is one of the most beautiful
and acient architectural structures for reverence in Hue. After that, we went around the
city by cyclo and enjoined some special food of hue. I had a lot of memories in this trip
and I hope I will have more times to visit Hue in the future. And you? Have you ever

Dear Linh,
Thanks for your letter. I'm glad to know that you and your family are always healthy
and happy. Now I feel healthier and more comfortable, too. I think that is the result of
doing exercise frequently. These days, I usually jog around the park near my house
every afternoon. Most of time, I work in the office. It will be not good to sit a fixed
place. Thus I determined to do exercise more frequently to keep the body healthy and
the sport which choose is jogging.
I enjoy jogging a lot because jogging helps me to be fitter and more enduring. I think
jogging gives us a lot of benefits not only for body but for mind. It is the most efficient
way of achieving fitness through exercise and burns more calories because it is a high
impact exercise. Jogging is also very good for your heart, improves the muscle tone and
strength, and relieves stress, beside also deal with heart disease.
I usually spend 2 hours to jog every afternoon with my friends. We often make
appointment each other at Thong Nhat Park to do exercise together. It is much happier
than doing alone.

on satellite digital television like K+. It often lasts about 45 minutes. In this program,
stories of the life of many animals in the world are told in a very lively way. For
example, people can watch films about monkeys, snakes, tigers, insects, birds, sea
turtles, sharks,the world under water and even the penguins and the polar bears in the
far North & Sound Poles, etc. It's really interesting and fascinating. I absolutely admire
the filmmakers, cameramen and their co -workers about what they did to bring us

white shark chasing prey or a King cobra snake – the world's longest venomous snake

situation. I think Vietnamese filmmakers can't ever do the same thing as they do. While

I'm very happy when I received your letter. I'm writing this letter to tell you about my
daily life. It seems my life is always very full of activities and obligations so I never
have much time for myself. During the week I'm very busy. On weekdays, I usually
have to get up at half past six even though I would really prefer to sleep much later.
After I get up I perform my morning routine of washing my face, brushing my teeth,
etc. I usually have breakfast at quarter to seven in the morning. After getting dressed, I
drive to my office and my workday starts at eight o'clock with plenty of work to deal
with. Sometimes, it causes my stress but I love my job as a civil engineer. I have lunch
at 12 o'clock, after that I take a nap in a hour to refresh my mind. I continue working
until 5pm. I get home at 6 o'clock and playing football is my favorite sport after work. It
helps me healthy and keep fit. I have dinner with my parent at 8 o'clock . I like
watching TV or reading book after dinner. If I go out to meet my friends or have dinner,
etc, I will come home by 11 p.m because my parent don't allow me to come home late.

I'm very interested in Comedy films. As you know, There are many forms of expression
inside of everybody; however the most common form is laughter. The sound of laughter
can be heard all around the worlds every second, it helps us relieve stress and makes us
feel better about ourselves. Comedy films play such an important role in helping us
laugh. There are many forms of films out there today. In spite of the recent incline in
action and horror films today, comedy films has always been my number one choice
because it gives people an opportunity to look at humor in life, it usually has a
pointless, useless moral that we can relate to, and it allows you to look at things in a
new light and possibly expand your horizon to become a more optimistic person. All
comedies always have one essential ingredient to make it a great comedy, humor. All
comedies give people an opportunity to look at humor in life and laugh at it. Comedies
usually show a hilarious scene for people to enjoy and laugh at. Many scenes which has
a outburst of crazy and ridiculous moments will not usually happen in our daily life, but
its fun to enjoy . I often watch comedies when I get upset, have stress because, laughing
help me relax và bring balance back to me. My favorite actors and actress are Xuan
Hinh, Hoai Linh, Cam Van, Van Dung, etc. I can't help laughing when I watch their
comedies or hilarious sitcoms . It's really fun and very helpful to relieve stress. That's
the reason why I love watching comedy films.

party I went last week. That was my best friend birthday party.
Huong is my close friend. She turned 25 recently and her parents held a birthday party
for her. I was one of those invited. The party began at about three in the afternoon.
There were about twenty guests gathered in her house. We were all dressed in our best
clothes. Everyone, especially Huong was very happy. We gave our presents to her and
she happily opened them. It must really be exciting to receive all those presents. After
that her mother served us soft drinks and delicious titbits. We then played some games
like "Musical Chairs" and "Treasure Hunt". The winners were given prizes. At about
four-thirty her father brought out the birthday cake. It was beautifully decorated with
pink and white ice cream. 25 colorful candles sat in the middle of the cake. We all sang
"Happy Birthday" to Huong after which she blew out the candles and cut the cake.
Everyone clapped out hands eagerly. We helped ourselves to slices of the delicious
cake. Then we continued our games.

Finally at about six in the evening the party came to an end. We were all tired but
happy. I helped Huong and her parent clean up the mess we made. After that I walked

vegetables and flowers. Next to the garden there is a small yard where my children
often play after school.There are 3 floors and four main rooms in my house: a living
room, a dining rooms, two bedrooms. Besides, we have a kitchen, a bathroom and a
toilet. I like the living room was painted in light green. In this room, we have a tea
table, a sofa, a television and there are a couple of oil paintings on the wall. After
dinner, our family often spend time together talking to each other or watching our
favorite TV program. I love my house. Every day, when I come back home from work,
I have a warm feeling of being together with my whole family. Last week, I decided to
buy a new shelf and a sofa at a furniture shop. They were delivered to my house
yesterday. I put the shelf next to the table on the left. The bright color of the shelf goes
well with the color of the wall behind it. I put the sofa in the right corner of the bed to
sit on when I want to watch TV or read books. Although it is quite far from my house to
office, I still like it because it's very quiet and comfortable. I really like my new house!
