Operations in the workplace. This unit covers the knowledge, skills and attitudes
needed in Inputting data into the computer.

This learning material is not only your learning kit but also your trusted partner to
develop such skill. So enjoy and have fun!

This self – learning kit requires you to go through series of learning activities such
as understanding key concepts, performing and accomplishing activities and assessments
in order to complete each learning outcome.

Remember, you must:


 Finish all activities in this learning kit in ONE (1) WEEK
 Get instruction from your teacher regarding the use of this learning kit.
 Read and analyze all information and key concepts
 Perform all activities and assessment designed for you. Use separate sheet of
paper or a notebook for your answers. Check your activities using the answer
keys located at the last part of the learning kit.

Discussions and Examples

Lesson 1 Ergonomics in using Computer

Ergonomics is the science of using the limitations of human body in relation


to the work activities. It is studying the limitations of the human body to build a workplace
area comfortable for the worker. For using computer, it is knowing the limitation of the our
body to organize a work environment that fits to the us, the computer users.
Proper Position in using Monitor
1. The monitor should be positioned directly in front of you so that the head and the
body are facing the same direction.
2. The monitor should be perpendicular to the desk or could be tilted upward so that
the user is just facing directly the monitor. DO NOT TILT THE SCREEN
DOWNWARDS.
3. The top of the screen of the monitor should be at eye level
4. The distance between the user and the monitor should be between 18 to 26 inches.

Proper Position in using Mouse
1. Position the mouse right beside the keyboard and do not place it in different level
and distance as the keyboard.
2. When holding the mouse, the hand should be pointed straight and not bended to any
sides. Do not move the mouse too far because this will cause to bend the wrist.

Lesson 2 Types of Application Software
Application software are programs installed in a computer system that help the user
to perform several task. A student who has a laptop, researching an assignment is using
Google Chrome. Google Chrome ,which is an example of an internet browser, is an
example of application software. When you encode your assignment using Microsoft Word
or edit a photo using Adobe Photoshop, you are actually using application software. In the
industry, there are six types of application software. They are Word Processor,
Spreadsheets, Presentations, Database, Organizer, and Specialized Programs.
Word Processor. These are programs
used to create, edit, format, modify, prepare
documents with the purpose of producing
printable materials. Examples are Microsoft
Word, Apple’s Page, WordPerfect, Writer by
OpenOffice .org
Spreadsheets. These are programs that
display rows and columns of cell and
frequently used in financial and accounting. Figure 4. The Microsoft Word Workspace
These programs are used in calculating
numbers. Examples are Microsoft Excel,
Apple’s Number, Calc (OpenOffice.org),
Quattro Pro, Google Spreadsheets.
Presentation. These are programs that
allow the users to create slides show to
communicate message, to educate people,
sell products and present information to
others. Examples are Microsoft PowerPoint, Figure 5. The Microsoft Excel Workspace
Apple’s Keynote, Impress (OpenOffice.org
and Google Slides
Database. These are programs that allow
the users to collect and organize
information so that they can be easily
managed, updated and accessed by the
user. The most common example is
Microsoft Access
Organizer. These programs allow the

Its basic functions are to remind you of ones
birthday, to list your friends’ contact
information, remind you of a scheduled
meeting. The most common example is
Microsoft Outlook.
Specialized Programs. These are
programs that focus on specific
environment and application such as
graphics, video, audio, internet browsing,
multimedia and animation, and desktop

Lesson 3 Data Processing: Entering Data using Microsoft Word

Microsoft Word is the most widely used application software of students. It can be
used in encoding assignments, researchers and other curricular activities. The settings
that will be discussed below is the basic procedures in setting up document and working
with your text. It is also the setting that will be used in your performance test. Please be
reminded that some procedures below are applicable only to MS Word 2013 versions and
up. However, most of the procedures are still applicable to MS Word 2007 and 2010.
Opening Microsoft Word
1. On your desktop, look for the icon of
Microsoft Word.
2. Double-click the icon. The MS Word
will start. You will see the window
shown in Figure 8.
3. Click the Blank Document thumbnail
It is the first among the image of
paper shown un the upper row.

4. Once you clicked the blank
document, the MS Word Workspace
will appear. See image below.

Setting - Up the Document
1. Click No Spacing in the
Style Options.
2. On the topmost part of
your screen. You will see
tabs. Look and click the
Layout Tab. Figure 10. The No Spacing Style
3. Under the Layout Tab.
Look for the Page Setup.
In the Page Setup, click
the icon for Size. See
Figure 11.

5. After setting the page
size, click the Margins

Encoding / Entering Your Data


1. In encoding text in your document, you
must follow the proper positioning of
your fingers on the keyboard.
2. If the text you are encoding is from a
manuscript, place the manuscript in front
of you, preferably near the monitor of
your computer so that you will not have
to bend your head or move your eyes
too much.
3. If the texts are from other file or

Editing / Formatting your text
1. In editing / formatting your text, you must select the text that you want to edit. To
highlight the text, click on the document where you want to start the selection.
2. Click and drag your mouse until all the text you want select is highlighted.
3. Then select commands to format / edit your text. Figure 14 shows the menus for
formatting and editing the font.

Lesson 4 Types of Storage Devices

Storage device is any apparatus for recording computer data in a permanent or semi
-permanent form.
Types of Storage Devices
1. Compact Disc (CD) - also called optical disc is a
nonmagnetic, polished metal disk used to store digital
information. The disc is read by the CD- ROM. The usual
capacity is up t0 700 megabyte.
2. Digital Versatile Disc (DVD) - an optical disc technology Figure 15. Compact Disc

one-layered disk, which is enough for a 133-minute
movie.
3. Flash Drive - is a plug-and-play portable storage device Figure 16. DVD
that uses flash memory and is lightweight enough to
attach to a key chain. Its capacity is ranging from 1
gigabyte to 2 terabyte
4. Hard Disk Drive (HDD) - is the main, and usually largest, Figure 17. Flash Drive
data storage device in a computer. The operating system,
software titles and most other files are stored in the hard
disk drive. The storage capacity range from 100 gigabyte
up to 15 terabyte.
5. External Hard Disk Drive - it is the same with a typical

6. Cloud - is the most recent storage technology that allows
you to store data online in a server called cloud.
Individually, a user can use up to 5 terabyte storage

Activity 4

Create bookmarks that show the different types of storage devices. One bookmark
should contain one type of storage device. Follow the specifications below.
1. Use any kind of paper or cardboard. You are encouraged to use old cardboards.
2. The size of the bookmark should be 1 ½ inches (width) and 5 inches (height).
3. On your bookmark, draw the actual appearance of the storage device. Below the
drawing, write the function or description of the storage device.
4. You may add information if you can research more.
5. Color your drawing. Make a small circle hole on the center top part of your
bookmark.
6. Write your name at the back of the bookmark.

Lesson 5 Saving your Document

Saving a document is very important to make sure that your file is recorded in your
computer system. When your file is saved in your computer, you can retrieve again the file
anytime.
