Assessment Task
As a follow-up of Assessment 2, compile a 2000-word Business Process Improvement (BPI) report
applying tools and techniques learnt throughout the subject and your own research. You are
required to analyse, evaluate and recommend business process improvements to close the gap
between the AS-IS and TO-BE process state.

Please refer to the Instructions for details on how to complete this task.

Context
Process improvement involves the business practice of identifying, analysing and improving existing
business processes to optimise performance, meet best practice standards or to simply improve
quality and the user experience for customers and end users. It can also be a part of various
approaches such as business process management (BPM), business process improvement (BPI),
business process re-engineering and continual improvement process (CIP). Regardless of the
approach, process improvement shares the same goal, which is to minimise errors, reduce waste,
improve productivity and streamline efficiency.

There are several different methodologies designed to help organizations to implement process
improvement. Despite their common goal, each methodology suits a different need. Some focus on
lean process improvement techniques while others focus on creating an organisational culture
conducive for process improvement. There are also methodologies that help companies visually map
out process workflows.

Instructions

1. Case study
• Read the Project Case Study from Assessment 2. This case study will form the basis for your
Business Process Improvement (BPI) and justification report.
• Assume that you are the process analyst for this project outlined in the case study.
• Though all students receive the same case study, it is expected that you will think about the
information provided from your own perspective, as an up-and-coming process analyst, in
order to recommend an approach to close the gap between AS-IS and TO-BE states.
This requires you to think critically and to use your own criteria for analysis to recommend
an improvement methodology that best suits the process and to justify your thinking and
recommendations.

2. Review content of Module 5.1, 5.2 and 6.1.

3. Research the different methodologies that could apply to the process.

4. Write a 2000-word Business Process Improvement report to provide recommendations of best


practices (use examples if required) and justifications.
• Use a minimum of six (6) references (academic literature and industry publications). Please
consider the case study as a seventh reference.
• The report should be written as if you are presenting it to the process owner that oversees
the process.

5. Structure of the report


The report must include the following headings and sections:

List the report topics using decimal notation. It must include main headings and subheadings
with corresponding page numbers and use a format that makes the hierarchy of topics clear.

Evaluation of Business Process Improvement (Approximately 500 words)


• Briefly describe your understanding of the difference between AS-IS and TO-BE states, the
importance of business process improvement methodologies and how they can be applied
within the organisation.
• Provide a brief explanation of the importance of BPI within the organisation.
• Describe the potential benefits that BPI could offer to the process from the business case.
Support your briefing with research and relevant examples.

Process gap evaluation between AS-IS and TO-BE (Approximately 200 words)
• Provide a brief analysis between the gap from AS-IS and TO-BE state.
• Develop a list of actions required to close the gap.

Establishment and justification of proposed BPI Methods and Artefacts (Approximately 700
words)
• Describe your recommended BPI methods and artefacts.
• Determine the recommended steps to close the gap between AS-IS and TO-BE using the
proposed BPI methods and artefacts.
• Consider the pillars of people and process of BPM in this section and any change
management required to embed the methods and artefacts.
• Support your recommendation with analysis with research and relevant examples from the
business case.

Process automation opportunities (Approximately 400 words)


• Identify the potential process automation opportunities to improve the process.
• Support your analysis with research and relevant examples.

Conclusion (Approximately 100 words)


Restate the purpose of your report, the key issues you investigated, and the importance of BPI
within any organisation based on your research and analysis.
