DIGITAL ID CARD PROPOSAL
Introduction
Introduction ID Card is an essential material for all student in the campus. ID card is very
important for any activity of student. Especially at the high level of education ID is must needed
for students and any community of campus. So the traditional ID card is not comfortable and
digitalized. The according to our research this research would help to solve the problems by
replacing the way of manual system into computerized or digitalized system. Tepi campus
student DIN and registrar have many activities that connected with ID; Such as, student
registration, for clinic, at cafe etc. The system has employees like to enter in the campus, to get
library, at clinic and so many and digital to give service for their student.

In general, the campus uses manual system. Therefore, the research try to reduce this problem
and enable the campus system to have very fast service to their student and to become fully
automated system by designing web based service system for tepi campus student

Background
Mizan-Tepi University is one of the Universities in Ethiopia which is found in south nation,
nationalities and peoples region. It is located at Mizan-Teferi, where the main campus is, and
Tepi town 565kms & 578kms respectively at southwest of Addis Ababa, in the deep and unique
natural and anthropogenic diversity. The University started teaching and learning in 2006 by
sharing building for University administration offices from Mizan Agriculture technical and
vocational college by admitting few regular students in college of social science and humanities
at Mizan Campus. Starting from 2006 this university has no digital ID card. This means for many
years it follows traditional and backward system this has many influence on learning system. The
lacking of digitalized system in university system has backed or making the university strategy
backwardness then other developed university. It follows the pepper system but it follows the
great impact on the community of university. All works are manual this means this university
cannot develop as much. The cafe system are dene by many workers or teackers. Not only this
the security also depend on manual work or he have to view the id of all student one by one
when they enter to the cumpas. As technology campus the tepi cumpas has no previews work
about digitalized of ID and mill card system. This means up to todays all system about ID and
mill card system is done manually this can make many problem on university. The previews
problem or backward problems that come by lacking of digitalized of system are below. But not
all problems as much we try to explain the problems. Same discrimination based on fake ID are
done at previews such as tiff the students cloths , mobile laptop and any needed material of
students all such problems are lack of digital id that show the correct information of student. The
ID of students are not updated by time if it is pepper. And also if student get other lost ID they
can use it us reverse this is so big difficult. In cafeteria system also many problems by lacking of
digitalized of MILL card at previews of background of mizan tepi university such as students can
eat more than 1 this means if many students eat more than one the rest students cannot get food

3
b/c cafeteria can get shortage of food. All of above problems are what mizan tepi university get
at previews years or background history of it by lacking of digitalized ID and mill card. The
system also Change the existing manual system into computerized one. It mainly focused on the
issue of special students support such as economically supported student in the university. It
helps the office to give its information widely to the community of the university.

Statement of problem
Mizan-Tepi University has many problems regarding paper ID card based and cumbersome
systems. Lack Digital ID card is considered to be one of the most difficult problems faced by
university today. Briefly defined, given a number of student and other community of campus ,
the goal is to prevent the losing of ID card and reduce the waste of time, reduce the manual work
,and also prevent discrimination based on fake ID while satisfying all of the university
constraints and optimizing the utilization of existing facilities effectively and efficiently. students
have to cards now in the campus there are ID card and mil-card so the function of this two card is
different where mil card is used for cafeteria system only but the ID card is used for the rest any
activities in the campus the complexity of this process will not only give a headache to the one
who is responsible for this service but doing this on paper based system make the situation more
exasperate. This will make the activities of students process less accurate and often create
conflicting service which have a big negative impact on the teaching- learning process also to
live in the campus. Even if the registrar computerize and available for online then someone who
need to know about one students can gate full information and receive true information but it
have to read the document of student by going to registrar or department of students. the digital
card can access by reading the face of students or finger print only with out any labor but the
traditional ID card is fully worked by manual.

Objective of the Research

General objective
Increase awareness of MTU community about using digital ID. And The general objective is to
develop digital card system for MTU.

Specific objective
We can achieve the general objective by fulfilling the specific objective listed below

 To identify the problem of the current system.

 To analysis the identified problem
 To design the system in reader of this research mind as well as some methodology.
 Put a way how to Implement the problem
 How to deploy or install the system
 How to maintain the system To develop the user manual

4
Scope of the Research
This part will discuss in detail the high level functionality of the system offers or the major task
the system has to do in order to insure whether the research meet the intended objective or not at
the completion of the research, it helps us to set a parameter or boundaries for the research. To
verify its effectiveness and accuracy in sample selection we are developing this system for
Mizan-Tepi University College of Computing and Informatics depending on the result we will
scale to other departments through the university.

Method and methodology

 Literature Review: Conduct a comprehensive review of academic literature, industry
reports, and policy documents on digital ID systems, focusing on technological
advancements, societal implications, and regulatory frameworks.
 Case Studies: Analyze case studies of successful and unsuccessful digital ID
implementations in various countries and sectors, examining key factors contributing to
their outcomes.
 Surveys and Interviews: Administer surveys and conduct interviews with stakeholders,
including government officials, industry experts, civil society organizations, and end-
users, to gather insights on their experiences, challenges, and perspectives regarding
digital ID.
 Comparative Analysis: Compare different digital ID models and approaches from around
the world, identifying best practices and lessons learned.
 Ethical Review: Ensure compliance with ethical guidelines and principles throughout the
research process, particularly regarding data collection, analysis, and dissemination.

Data Collection Methods

Data collection methodologies are methods used to collect different data from different data
sources (documents, users and organizations etc.) The following are the data collection
methods used for requirement elicitation

Primary data source Interview:

We used interview as one of the major data collection method. During interview our team got
different necessary information from the department head, security man, students. Document
Analysis: we have analyzed different documents of the research from the department head
and the concerned body. Direct observation: as part of any activities process and as a student
we have gone through the digital card process.

Secondary data source

Internet: Internet aids us to see the available sample on the internet and to download different
types of tutorials which help us in doing the research.

5
System development tools
To develop the new system if the team identified programming languages and database
Management software as tools to be use it is simplify the research and try to make a best way for
develop this research to project. Feasibility Analysis This analysis helps the organization in
determining whether they should proceed with a research or not.

Technical feasibility
According to feasibility analysis procedure the technical feasibility of the system is Analyzed
and the technical requirements such as software facilities, procedure, inputs Are identified which
are used to accomplish user requirements in software within Allocated time and budget. For this
our team ascertains the resources and technology that can be added to accomplish our task. So
we conclude that the system is technically feasible for the following reasons.

The team that builds this system must be skilled and experienced in developing the system The
needed resources like software’s to develop the system are available. The needed working place
is available.

Economic feasibility
Economic analysis is most frequently used for evaluation of the effectiveness of the system.
More commonly known as cost/benefit analysis the procedure is to determine the benefit and
saving that are expected from a system and compare them with costs, Decisions is made to
design and implement the system. It involves the cost incurred on the system development team,
estimated cost of hardware and software, cost of performing feasibility study and so on. Since
the university is well equipped with the

Operational feasibility
Operational feasibility is mainly concerned with issues like whether the system will be used if it
is developed and implemented. Whether there will be resistance from Users that will affect the
possible application benefits? The essential questions that help in testing the operational
feasibility of a system are following.

Does management support the research?

The department head have strong Commitment to implement the research because they know
how tiresome and difficult the process of scheduling is. They provide necessary information and
resource to the research, all these shows that their willingness to the success of the new system

Are the users not happy with current business or system practices?
Will it reduce the time (operation) considerably?

If yes, then they will welcome the change and the new system. The ultimate user of this system is
the registrar and student DN , since it is his/her duty to perform this task. So anything that will
reduce the time and resource and also enhance the current system will be definitely acceptable by
the user.

6
Have the users been involved in the planning and development of the research?

Early involvement reduces the probability of resistance towards the new system. So we have
consulted many concerned parties including the head department about the proposed system and
they all showed their support and acceptance.

Schedule feasibility
Schedule feasibility is process of assessing the degree to which the potential time frame and
completion dates for all major activates with in a research meet. Concerning the research
schedule, it will be based on strict timing. So it must be delivered within the time bound given
over the Gantt chart below. Our intention is to finalize it, hopefully implement it and start
operation in the real environment before the end of this academic year. And while we try to
achieve all the objective and milestone, the task may not be completed during the stated schedule
due to many risks and obstacles. We will try to avoid the problems as much as we can and finish
our research as scheduled. The system will be above 80 percent feasible to be delivered on time
if all the risks are avoided.
