Documented Procedure for Safety Rewards & Recognition Program

1. Purpose:

The Safety Rewards & Recognition Program is designed to acknowledge and reward
employees who demonstrate exceptional safety practices, contribute to a culture of safety, and
actively participate in maintaining a safe and healthy work environment. The program aims to
reinforce safe behavior and promote a proactive safety culture across the organization.

2. Scope:

This procedure applies to all employees, contractors, and visitors at the organization or client
site. It is applicable to all safety-related activities, including but not limited to accident-free work
periods, safety suggestions, participation in safety initiatives, and adherence to safety protocols.

3. Objectives:

 To encourage safe behavior: Motivate employees to consistently follow safety protocols


and procedures.
 To reward exceptional contributions: Recognize and reward employees who
demonstrate proactive behavior in improving safety standards.
 To foster a safety-first culture: Create an environment where safety is a shared
responsibility, and every individual contributes to workplace safety.
 To reduce workplace incidents: Minimize accidents and injuries through positive
reinforcement of safe behaviors.

4. Responsibilities:

 Safety Manager/Committee:
o Design and oversee the rewards and recognition program.
o Ensure the program aligns with organizational safety goals.
o Track and evaluate safety performance.
o Approve reward criteria and reward distribution.
 Supervisors and Managers:
o Nominate employees for safety rewards based on their actions and contributions
to safety.
o Ensure employees are aware of the program and criteria.
o Participate in the evaluation of safety performance.
 Employees:
o Adhere to all safety guidelines and encourage safe behavior in their peers.
o Participate in safety programs and initiatives.

5. Criteria for Awards and Recognition:

The following behaviors and achievements will be considered for rewards and recognition:

 Accident-Free Performance:
o Employees who have maintained an accident-free work record for a designated
period (e.g., 6 months, 1 year) will be eligible for recognition.
 Safety Innovations or Suggestions:
o Employees who suggest improvements in safety procedures, contribute to safety
programs, or identify and mitigate hazards proactively.
 Active Participation in Safety Initiatives:
o Employees who participate in safety events, training sessions, or safety awareness
programs (e.g., toolbox talks, safety days, etc.).
 Outstanding Safety Leadership:
o Employees who consistently promote safety and lead by example, either in a
formal or informal leadership role.
 Safety Milestones:
o Teams or individuals who achieve significant safety milestones (e.g., exceeding
safety targets, preventing major accidents, or reducing injury rates).

6. Types of Rewards and Recognition:

Rewards and recognition will vary based on the level of achievement and could include:

 Monetary Rewards:
o Cash Bonuses or gift cards for exceptional safety behavior.
 Non-Monetary Rewards:
o Certificates of Achievement and safety recognition plaques.
o Gift Vouchers (e.g., for restaurants, stores, etc.).
o Preferred Parking for individuals or teams with outstanding safety records.
o Safety Star awards (e.g., an employee of the month/year for safety).
 Public Recognition:
o Recognition at safety meetings, town halls, or via internal newsletters and emails.
o Safety Wall of Fame: Display employee names or photos on a “Safety Wall of
Fame” for their safety achievements.
 Additional Benefits:
o Extra Time Off (Paid Leave) as an award for safety performance.
o Team Outings or Celebrations for groups or teams that meet specific safety
goals.

7. Frequency of Rewards and Recognition:

The program will operate on both short-term and long-term cycles:


 Monthly Recognition:
o Acknowledge employees or teams with monthly safety achievements through
small rewards or recognition at meetings.
 Quarterly Awards:
o Larger rewards, such as gift cards or bonuses, will be given for quarterly safety
milestones or achievements.
 Annual Awards:
o The company will hold an Annual Safety Award Ceremony where the most
outstanding safety performers of the year are celebrated, and large-scale rewards
(e.g., vacations, large bonuses, or public recognition) are presented.

8. Nomination Process:

 Employee Nomination: Employees can be nominated for the program by their peers,
supervisors, or self-nomination.
 Supervisor’s Role: Supervisors must submit nominations for employees who
demonstrate exemplary safety behavior or achievements. Nominations should be
submitted at the end of each month or quarter.
 Safety Committee Review: The Safety Manager or Safety Committee will review all
nominations, verify eligibility, and ensure consistency with program criteria.
 Award Selection: Based on the evaluations, the committee will select awardees for
recognition. Selections will be communicated to employees and rewarded in a timely
manner.

9. Documentation and Record-Keeping:

A record of all nominations, awardees, and rewards distributed will be maintained to track
program progress and ensure transparency. This includes:

 A log of nominations and reasons for selection.


 A file of all reward distribution and associated certificates or documentation.

10. Program Evaluation and Feedback:

The Safety Rewards & Recognition Program will be reviewed annually to ensure it meets its
objectives and is effective in encouraging safe behavior. Feedback will be gathered from
employees to understand their views on the program and identify areas for improvement.

 Surveys and Feedback Forms: Employees will be encouraged to complete feedback


forms about the rewards program and suggest areas for improvement.
 Program Effectiveness Metrics: The program’s effectiveness will be evaluated based
on:
o Reduction in workplace incidents and accidents.
o Increased participation in safety training and programs.
o Employee satisfaction and engagement in the program.
11. Continuous Improvement:

The Safety Rewards & Recognition Program will evolve based on the feedback, safety
performance data, and changes in industry safety standards. Any updates to the program, such as
new award types or criteria, will be communicated clearly to all employees.
