Group-9
ARC-Clubs

Senior Batch

Junior Batch
Aim of the Project

• The overall aim of undertaking this project was:

• To be able to understand and apply various concepts learnt in the
valuable course of IKMS.

• To understand the functioning, challenges, methodologies and

protocols behind the functioning of the club, in the online mode.

• To explore various knowledge sources-capture and interpret them

and thereby drawing meaningful inferences.
Overview

 The project started, by identifying the sources through which we could collect or
capture the information.
  The information alone is not enough and therefore to achieve the wisdom through
knowledge we had to employ techniques to interpret this information.
 Finally as per the knowledge we acquired we were able to list out certain necessary
changes that would help in building  an effective system

 The entire process utilized the important tools like concept map, knowledge map,
frames for capturing and codifying the knowledge
Sources of Data and its relevance

 The entire K-team, here ARC, relies completely on Data and information exchange. It’s
important that there is K-transfer rather than K-hoarding.
 Data is required for
• Organising of an event, E.g Webinar,
• Contacting the right Alumni and other set of people there is a K Network that is being
followed.
• Managing the Database

 The Explicit sources of data includes ‘The Yearbook’ and ‘The Constitution’ The
implicit or the tacit knowledge relies with the experts such as the coordinator or the
present members.
Capturing Knowledge

 We have used mainly two tools for capturing this knowledge,

through which the collection and interpretation of knowledge
happens. The tools we have used are :

 Multiple Expert interviews

1.  Prof Neetu Yadav, Faculty Advisor, ARC
2. Navaneethakrishnan & Team ARC (2019-21)

 Concept Map

Prof Neetu Yadav-Faculty Advisor

•Insights gained:
1.Not much has changed, looking it as an opportunity
2.Usually aim for lecture series, webinars or knowledgeable events
3.Personally look for benefits to DOM and students while going through a proposal
4.Asking student preference and looking for trend
5.Club has responsibility in increasing the visibility
•Challenges
1.Level of engagement is less
2.Lot of work is to be done in increasing the visibility

•Insights gained:
• The internal processes
• Approaching Neetu Ma’am for contacting alumni
• Mass mailing and social media (linkedin)
• Yearbook
•Challenges
1.Limited engagement with BITSAA
2.Mechanisms for ad-hoc glitches
3.Data sensitivity of Alumni

Knowledge Codification

 Visual representation is the best way to interpret the information

 The Knowledge thus gained is being transformed or codified in a
manner that it could be utilized by the upcoming users.
 The two tools being used for the process are:

1. The K-Map: The K- Map is being designed to show how an event in

these unprecedented times is being organised
2. The K frame: It is highly applicative and specific, formed for
organising an online Alumni Meet

The Knowledge Frame
Possible Prototypes from the Inferences

 Mechanism for social media reach out to alumni

 Enterprise resource management for event logistics specific toARC.

 Streamlining application connecting the student and faculty ARC

 Inference engine to make decisions on cost-benefit for contacting Alumni using AI

 Yearbook generator based on events throughout the year

 Storyboarding to streamline process and operations management
