1. SENDER’S ADDRESS

• Typically, the sender's address is included in the


letterhead.
• When a letterhead is not used, the sender's
address is placed at the top of the letter 1-2 lines
above the date line.
• The sender's name and title are NOT included
because they are written in the letter's closing
(signature line).

4. SALUTATION

• The salutation should be the personal title and last


name or family name of the recipient followed by
a colon.
• When gender is unknown better to use the
recipient’s full name.
• Example:
• Dear Chris Simmons:
• (if you do not know Chris’ gender)
5. BODY OF THE LETTER

•1st paragraph- friendly opening followed by


statement of main point.
•A justification of importance of main point in
2nd paragraph.
•Use next paragraphs to continue justification,
background information and supporting
details.
•Closing paragraph- restatement of purpose of
letter and requests for action.
6. CLOSING OR COMPLIMENTARY CLOSE

•Usually, same vertical position as


date line.
•Only the first word is capitalized
•Leave 4 spaces for the signature.
•If the salutation is followed by a
colon, a comma follows the closing.
7. ENCLOSURE

•If any document is enclosed with


the letter, like a resume, this is
indicated by typing the word
“Enclosure or Enc.” 1-2 lines below
the closing. (Full Block Format)
•Another way, type Enclosure or
Enc. below the Typist’s initials
•8. Typist initials:
•The typist initials indicate who
typed the letter. If you are the
person who typed the letter,
then omit the typist initials.
