Interview 1 – Performance Review (with HR)
• Mahfuz: Hi Freddy, please sit down.
• Freddy: Hello. Thank you.
• Mahfuz: I’m sure you’re aware of the reason why we are meeting
today, correct?
• Freddy: Yes.
• Mahfuz: Just to be clear and to put it on record, we are meeting today
to discuss your performance review.
• Mahfuz: How are you feeling today?
• Freddy: [Free to answer]
Interview 1 – Performance Review (with HR)
• Mahfuz: Awesome! I just want you to relax and take today’s session easy.
• Freddy: OK. Will do, thank you.
• Mahfuz: So, let’s start by What accomplishments this quarter are you most proud of?
• Freddy: For this quarter, there have been a couple of projects that I’m quite proud of;
first being the completion of our FASB Phase 1 project and secondly the publishing of
our FASB manual.
• Mahfuz: From these two projects, which goals did you meet and which goals fell
short?
• Freddy: For the FASB Phase 1 project, I was able to meet quality targets as well as
compliance parameters. On the other hand, I fell short on timeline, where we
overshot our completion phase by 2 months and we also went 38% overbudget in
order to meet the quality and compliance criteria.
Interview 1 – Performance Review (with HR)
• Mahfuz: Why do you think these setbacks happened and do you think it could be
improved in future?
• Freddy: I believe it all boils down to time management, or lack thereof. It can definitely
be improved in future. I will endeavor to be better at time management in future
projects.
• Mahfuz: Do you feel your strengths are maximized here?
• Freddy: Yes, I do. I am confident that I am good at what I do, managing our contractors,
procurement as well as logistics.
• Mahfuz: Highlighting on what you just mentioned, procurement and logistics. I have
several reports mentioning that there has been several delays in responding to clients’
and suppliers’ emails, resulting in cancelled orders and much higher reorders. Can you
explain this a little to me.
• Freddy: Yes. I am not particularly alert or on-time in responding to emails. This may have
been the cause. I will work on my respond time to clients and suppliers in future

• Mahfuz: So, I see that time management is an occurring topic for you. I have also gone over your
timecard, and I can see that on average in the past 3 months, you tend to arrive the office around 40
minutes late and there are several occasions where you have been over 2 hours late. Can you tell me why
this is so?
• Freddy: My wife has been critically sick and due to that we had to move back to my parent’s house in
Seremban. It takes me on average 80minutes to get to work and around 95minutes to get to site. There
are days when my father is not able to send my children to school, so I have to send them, and this is
when it takes me longer to get to work.
• Mahfuz: I’m sorry to hear that your wife is sick. I’m glad that you have a support system that you are able
to rely on. What are some changes that you can make and how can I help you achieve them?
• Freddy: I think if I’m able to arrange for a van pickup for my children, I won’t need to worry about sending
them to school. I will also try to leave home half an hour earlier to avoid heavy traffic into KL town.
• Mahfuz: I think these are good efforts to take on. I hope that you’ll be able to make the changes and be
able to arrive work on time in future. It is my responsibility to highlight to you that in your employment
contract, Section 5.2(D) that you are required to start work at 8.30am and finish work at 5.30 pm. Under
this clause, should you not comply more than 3 times, an automatic 1st warning will be issued to you.
Please take this conversation as your 1st recorded warning. Should you have any further issue in this
matter, please do not hesitate to talk to me or your immediate manager. I think we will end this session
here for today. Thank you Freddy.
• Freddy: Thank you Sir. I will work on my travel arrangements in order to come in on time.
Interview 2 – Performance Meeting (with
Manager)
• Shaiful: Morning Freddy, please come in.
• Freddy: Good morning Sir. Thank you.
• Shaiful: Freddy, I would like to talk to you in regards to the time you reach office and when you leave for home. I
understand that you’ve had a similar conversation with HR last month on this matter. Can I know what is your
current situation now?
• Freddy: Yes, I had this conversation with HR last month during my performance review. Since then, I have been
able to manage my kids school logistics by hiring a van service. Unfortunately, I have not been able to adjust my
travel departure time from home. I tried it several times, and I managed to reach early, but there are days that I
have to manage my wife’s medical condition and this results in me leaving a little later and this causes me to get
caught up in traffic.
• Shaiful: I’m sorry to hear that you are facing this problem. Unfortunately, this has not just effected your
timecard, but it has also effected your performance at work. I see that you are less focused and less organized.
The company has several solutions that you can tap into; we have an in-house councilor that you can chat with
and we have an assistance package that might be able to assist you a little in this time of transition. I am
however obligated to serve you your second official warning on this matter and HR has requested you to attend
a time management course. You are required to fully attend and finish this 20hour course. It can be taken online
at your convenience. You have 2 weeks to complete this course, after which you will have a review session with
HR.
• Freddy: I apologize for this and for my decline in performance. I will strive to complete the time management

• Mahfuz: Hi Freddy, good to see you again. Please sit down.
• Freddy: Hi Sir, thank you.
• Mahfuz: So Freddy, lets get straight to the point today. You met your
manager last couple of weeks in regard to your time management
issues, correct?
• Freddy: Yes, Sir.
• Mahfuz: I believe your manager mentioned that you were required to
complete the 20hour time management course before this meeting?
• Freddy: Yes, Sir, he did.
Interview 3 – Termination Interview (with
HR)
• Mahfuz: I can see that you were only able to complete 8hours of the course.
May I know why you were not able to complete the remainder of the course?
• Freddy: I wasn’t able to complete the course as there were a couple of
activities in the first part of the course that I wasn’t able to complete.
• Mahfuz: Do you think, given more time, you would have been able to
complete the course?
• Freddy: Yes, I think I would have benefitted with more time, maybe around
another 2 weeks.
• Mahfuz: Alright, noted. For you information, why the deadline is set at
2weeks is because if you are given any longer to complete the course, you
would not receive the full impact of the course.
Interview 3 – Termination Interview (with
HR)
• Mahfuz: Unfortunately Freddy, by not completing the course in the given time and seeing that up till
today, you are still not able to come to work on time, this meeting will serve as your official 3rd warning.
This comes with your automatic termination of employment and today will be your last day with us.
• On behalf of the company, I would like to thank you for all your help, efforts and contribution. I believe
that you are good at what you do and that you will be an asset to the next company you join, but
unfortunately at this moment in time, we are not the most suitable fit for you due to your current
circumstances.
• I have three documents for you today; first is a cheque for your salary up till today, second is your
confirmation of receiving and accepting this termination and third is a severance package to assist you in
your time of transition till you get to your new place. Please take your time to read through them and sign
them when your ready.
• As we are parting on good terms, we wish you the best of luck in your future endeavors and we will be
happy to supply you with a letter of recommendation.
• Freddy: I would like to thank the company for being very patient and kind to me and my situation. I have
learnt a lot while being here and I appreciate it very much. I will read through the documents, sign it and
return it to you by the end of the day. Thank you.
