Job Description Office Junior Post holder: Supervisor: Main responsibilities: Reception greeting clients; answering telephone calls and dealing with general enquiries from callers into the office Collect post from the post office each morning Taking post and files between the two offices Carrying out hand deliveries to local companies/firms around Emsworth Collect Wills/Deeds for storage from the Probate team and put them onto database. Store in Strongroom. Also maintaining the index card system and ensuring this ties up with the information kept on database. Collecting and delivering archived file bundles to fee-earners when requested Photocopying files, documents as requested Closing files by checking that balances are nil on system. Printing off closure forms and putting files away in storage. Ensuring that Reception is in a neat and tidy state for meetings Preparing refreshments as required. Folding and enveloping signed correspondence, franking/stamping in time for delivery to the Post Office and the DX Assisting the Accounts Department with administrative tasks (i.e. data input etc.) when requested Taking cheques to the bank Purchasing office supplies and sundries as necessary Liaising with the firms ICT supplier, logging calls and reviewing work undertaken Reporting any faults with machinery to relevant organisation Filing General typing Any other duties which may from time to time be reasonably requested Key Skills: Very organised Friendly and helpful Flexible and able to prioritise a changing to do list Detail oriented and accurate

Trustworthy and reliable Self-motivated Articulate and a good communicator Proficient in using a computer (especially Word, Excel and MS Office) Able to work in a team
