ZBOP Board Meeting Minutes

November 3, 2014
7 pm
ZCHS Main Cafeteria
Meeting called to order at 7:05 pm by Tom Landrum, Band Director.
Present: Erica Revercomb, Kerry Dienhart, Tom Landrum, Chris Smithhisler, Mary Jean Vorwald, Jody
Campbell and Rodney Miller.
Old Business
The minutes of the last meeting will be distributed for approval via email and then posted on the ZBOP
website
Treasurer Report Kerry Dienhart
Lisa Burr sent Kerry an email about some old, gently used tuxes and dresses for the Orchestra that
are no longer needed. Chris volunteered to follow-up with Lisa Burr about possibly selling these
on Craigs List.
Operation Football Tailgate made about $892.
Dale Kennedy contacted Kerry for information regarding our taxes. The tax forms are due Nov. 15.
Kerry sent late payment invoices to those that have not made payments for band or orchestra.
ZBOP received a donation from RCI for $2500 to be used for instruments.
ZBOP also received a $200 donation for celebrations. This money will probably go towards the
Marching Band Awards Banquet.
Orchestra Update Tom Landrum and Chris Smithhisler for Suzanne Lyons
Crossover event was a success!
The Orchestra at Maplelawn event was cancelled because of weather. We will try this event again
this summer. Would like to do an Americana themeAmerican music and apple pie.
The Chamber Orchestra will travel to Ball State University to participate in an event hosted by the
American String Teachers Association.
Susan voiced thru Tom her support of the Endowment group and work they are doing.
Susan and Tom will again be doing the Butter Braid student account fundraiser. The Butter Braids
will be delivered during finals week.
Chris and Ann Adams attended a Holiday Concert planning meeting. A Signup Genius has been
created and sent out to all band and orchestra parents asking for help. Tom and Suzan will
announce that on the performance evenings students should park at door 41 or door 23 to leave
front parking for patrons. Chris will talk with Rachel to make sure that doors 41 and 23 will be
unlocked. Tickets go on sale Monday, November 10 at 9 am. It is reserved seating again this year.
Chris and Ann are working on a senior band and orchestra photo for the yearbook. ZBOP felt that
Thursday, Dec. 4 immediately following the concert was a great idea. We could talk to Mrs. Berge
about taking the photo.
Marching Band Updates Tom Landrum
Marching Band season is over and was a success!
Tom gave a sincere thank you to all parents for the help throughout the season!
Working on finding a location for the Marching Band Awards Banquet. Thinking about Nov. 24.
Will call some churches to secure a location.
Boiler Brass will play with the Pep Band on January 23.

The Wind Ensemble and Symphonic Band will collaborate at the Veterans Day program on Nov.
11.
The Marching Band will be in the Christmas in the Village parade on Nov. 29.
A family moving from Zionsville has donated a golf cart to the band.

Fundraising Chairman Update Jodi Campbell


Schwans has been extended through Thanksgiving. Thank you to Diana Heiss!
ZBOP Presents looking for donations; many emails have been sent with no response. Jodi is
making a flyer and will be going in person to area businesses for donations.
Need contract for Masterworks6 and Willoughby Sprig so we can begin marketing this event. Tom
will work on getting that.
Winter Guard Competition Jeff King has 54 groups signed up for the event on Jan. 24. Nothing
needed from us at this time.
PAC Concessions no update
Script Nothing new. Keith typically contacts us the first of the month with a statement.
Mikes Car Wash Approved for February. Jodi has ordered 1000 coupons.
Trivia Night Rodney Miller
December 6th is our date
Our projected profit is $6,000 to $7,000
8 people at a table - $160 per table Rodney will think about what to do with pairs that sign up.
Groups can decorate their table in a theme if they would like
Looking to design an 11x17 poster for marketing. Erica and Chris recommended a high school
student to design.
Kerry asked if we could use our cash back money to buy three $100 gift cards. The board
overwhelmingly agreed to do this.
New Business
Endowment Discussion
Mary Jane joined us. Checking account is set up. They held a garage sale to gather startup funds.
They are looking at hosting Second City in August as their first fundraiser.
She offered her list of friendly ZBOP alumni for advertising some of our events.
The Boone County Community Foundation has a matching opportunity at .50 on the dollar. As
soon as they know more they will let us know.
Kerry asked if we should consider donating some of our savings money to this. Or getting a CD or
larger interest bearing option for our savings money.
Rodney suggested that we need to come up with some guidelines for distribution of the money
once we have reached the level for using the interest.
Other New Business
Erica reported that the Discover Indy Books are closing tomorrow. 34 students participated.
Meeting adjourned at 8:30 pm. Motion made by Kerry and seconded by Rodney.
Next meeting is Tuesday, December 2 at 7:00 pm in ZCHS Main Cafeteria
