Job Title: Human Resources Administrative Assistant


Job Summary: Performs administrative support to the Human Resources Director and the Human Resources
department. Duties include those described for administrative assistant, but support the entire Human Resources
department, both full and part time employees.
Essential Job Functions:
~ Receives and files documents, letters, personnel information and other items using the organizations filing system
with 100% accuracy, alphabetically to allow quick access.
~ Types letters, memos, reports, etc. upon office personnel request using Microsoft Word and ensures
professionalism and using proper formatting.
~ Ability to manage a multi-phone line system with proper phone etiquette and properly redirect calls after
identifying requests.
~ Monitor and field questions about employee time cards and payroll and assist in resolving issues.
~ Identify the calendar and schedule for the Human Resources Director with the ability to view and schedule
appointments and resolve scheduling conflicts.
~ Knowledge of personnel policies and procedures to be able to field inquiries from the public and employees.
~ Knowledge of personnel change forms and documents and ability to properly file these requests.
~ Ability to perform administrative duties and mail distribution upon request for the department.

Knowledge, Skills and Abilities:


~ Knowledge of the organizations filing system and procedures.
~ Ability to file and retrieve files (100% accuracy).
~ Typing (50 WPM, 100% accuracy).
~ Excellent writing skills (sentence structure, punctuation, grammar).
~ Knowledge of the organizations formatting requirements.
~ Phone skills and etiquette.
~ Computer Skills (Microsoft Office; Word, Excel and Outlook).
~ Knowledge of managing a calendar and scheduling.
~ Ability to multi-task and prioritize responsibilities.

Education: Bachelors Degree, 1 to 2 years experience.


Work Environment: Traditional office setting. May be required to lift up to 25 pounds. Potential sitting for long
periods of time.
Equipment and Tools: Computer, Phone System, Filing System, Microsoft Office
