Description of task / activity / area

An evening of immersive entertainment; drinks and games all devoted to the 1980s cult British film,
The Shining. We will recreate the feel of the film, allowing the customer to have a rich but safely
managed and tightly organised experience.
We will do this by transforming the Darkroom by the use of lighting, sound, props and actors. There will
be a dedicated member of staff at each focal point within the room to ensure safety measures are being
met and the event runs smoothly.
LIGHTING: We will use in-house lighting with addition of lighting gels only and a small number of
additional uplighters on the floor in areas where cabling to the same does not present a trip hazard.
However we do hope to use battery charged lighting. The lights will be placed in secure areas for
example behind the sofa, where no one can fall over them.
DJ: The DJ will be located in the assigned DJ booth with potentially a second DJ to shift share. They will
assign their maximum sound volume to the sound desk in accordance with the requirements of the
Darkroom and LCC regulations - with regular monitoring by the events team.
PROPS:
We will be using the Ping-Pong table already sited in the darkroom. The Ping-Pong table will be placed
away from the stairs to avoid any hazardous situations.
A door sited in the corner of the room will be painted to mirror the door in the film and which will be
safely sanded down; customers will have an opportunity to have photographs taken through the hole in
the door by our team photographer. This will be supervised throughout by one of our team members.
Adjacent to the DJ booth will be an actor at a desk using a typewriter (as Jack in the film). His script
rejects are regularly pulled from the typewriter and consigned to the waste bin to his side. This area will
be cornered off just for him to perform safely.
In the cove area will be our assigned games room where we will have games such as twister, beer-pong
and card games are available for attendees to play. In this area we will create a slightly darker feel to the
rest of the room. A small portable bathtub in the corner will be filled with red and black balloons to

create the sense of being a part of the film. Again, this area will be supervised and monitored by a team
member throughout the evening. In the games area were going to have the CDs on the walls for
decorative purposes, there is no hazard of people hurting themselves as they will be places securely on
the walls, by either using white tac or double sided tape. We will do a tester of what works best and
does not leave any damage.
A sweet stall will offer themed confectionary and popcorn (in line with allergy & health and safety
considerations) will located in a corner near the bar area to attract attention without causing congestion.
Balloons to be hung from rigging at a height not to cause a disturbance to customers. Also to not be
places near any form of lighting.
ACTORS: We are hoping to utilise 10 actors in costume from the film, who will be moving around the bar
area to both create additional atmosphere and provide opportunities for attendee interaction. There will
be a few actors placed at the bar to lead customers through the room, with a small narration of the film
or key aspects, as a form of tour guide to further enhance their experience.
PROJECTION:
Existing hung video projector will be used to project a running DVD of the movie onto the assigned wall
of the bar (DVD to be supplied by events team). Two smaller LCD projectors served by laptops will be
utilised to project additional still images from the film onto sidewalls in PowerPoint loops throughout
the evening. They will be positioned within dedicated plinths or on stands in room corners or alongside
props displays with power cabling to nearest 13amp sockets taped down/hidden so as not to present
trip hazards of any kind. Laptops will be sourced by the team (Details on plan provided)
ENTRANCE:
The Darkroom entrance will be made black with the use of sticky and non permanent wallpaper to
create a darker atmosphere, the wallpaper will be sampled by us at another destination and if we find
that it leaves marks, it will not be used in the darkroom. There will also be uplighters positioned safely
and securely on the floor pushed against the wall with red gels; wires will all be taped down and covered
to avoid trip hazards as well as being placed away from walking paths. This will be supervised throughout
the whole event. There will also be lightweight frames with key scenes put on the walls, if frames prove
to heavy, we will stick the pictures alone.

1. Any wires being used will be correctly laid down and out of the way to avoid tripping.
2. Any spillage to be cleaned straightaway and a wet floor sign to be put up.
3. All fire exits left clear and clearly marked. Location of fire extinguishers and meeting point to
be known by all members off staff.
4. Security on premises at all times.
5.Public transport and taxi numbers home available to all customers.
6. Manual handling procedures to be followed when transporting goods to and from the
venue.
7. Volume limit set by venue and not to be exceeded.
8. 10 First aid requirements for the event have been assessed taking into account the
number of persons expected, and the activities taking place and registered first aiders will be
on site for the duration of the event.

Additional Control Measures Required
1.Member of staff on site placed throughout the building to facilitate and safely lead customers
to the bar/exit.

2. Staff will closely monitor for slip and trip hazards. Any external wires will be taped down and
marked off.
3. Any fabrics or props utilized to be non-flammable. Indicate to customers fire exits on arrival.
4. Alcohol can be refused to a customer if they appear to be too drunk and a threat to
themselves or others.
5. Staff members to be outside when the night is over to direct people to public transport stops
and alert them to lower noise level requirements within the vicinity of the university
6. Staff and security to direct customers on exits and get the away and off the streets as quick as
possible.
7. List of ingredients will be provided at the sweet stall for allergy reference.
8. If any additional security is required they will be hired before the night.
9. We will not sell tickets above the maximum capacity of the venue. We are aiming to sell a
maximum of 120 tickets.
10. All props hung from ceiling will be away from lights and a sensible height.
