SPECIFIC ACTIVITIES
• Under the supervision of the Program Manager, and as a member of the SR office team,
participate in planning, implementing and financial reporting on Global Fund Round-9 project
activities.
• Develop financial forecasts in line with approved budget by the Global Fund and in
accordance with the activities to be undertaken in line with the approved work plan for
forthcoming quarters and submit to Program Manager for review and approval;
• Ensure compliance of Donor guidelines / contract requirements and laws of the land;
• Update on a regular and timely basis the Program Manager on finance related issues;
• Review, analyze, and recommend appropriate action on financial reports prepared
• Preparation/ review of quarterly financial statements and compilation of annual financial
statements in accordance with legal framework, including Statutory/ Donor/ IFRS/ ICAP/
regulationsapplicable to NGO/NPO;
• Submit financial statements to Program Manager for approval;
• Submission of approved quarterly reports along with financial statements to the specified
authorities;
• Update/recommend improvements in procedures and systems in light with
recommendations of the Internal Audit Officer / SPO / Board/ GF;
• Approval of payments for procurement as per approved procurement plan;

Responsibilities of Admin & Finance Assistant (AFA)


1. Administration
1 (a) Procurement and supplies of consumables
(Consumables: syringes, medicines, ASD supplies, social supplies)
AFA will daily check and countersign the following stocks of supplies:
 Stocks in store and on stock register
 Stocks issued to ORWs, medical Assistant
1 (b) Petty Cash: AFA will ensure that all the purchases are purchased on compatible market

1(d) Logistics Support
• All vehicles will have maintained log books and vehicle maintenance and repair record
which will have the following elements:
• Date; time; reason/nature of journey/destination; KMs. Traveled; initials of passenger or by
driver for non-staff/guests/visitors; name of traveler/s
• AFA will daily check the logbook and countersign daily.
• He will promptly report any discrepancies in the log books to site manager
• AFA will maintain and keep the fleet cards in his possession and will have the overall
responsibility for proper use of these cards. Misuse will be reported immediately in writing to
the site manager

THE PROJECT The Global Fund for AIDS, TB and Malaria (GFATM) has approved
Grant for Pakistan which will be implemented by National AIDS Control Program
(NACP) and Nai Zindagi Trust (NZT) as Principal Recipients (PRs). Nai Zindagi is one
of the main Recipients of this project, required to implement activities under
objective 1 - Scale up comprehensive HIV prevention and harm reduction services
to 34,000 IDUs, 8,600 spouses and partners of IDUs in selected districts of Sindh,
KPK, Balochistan and Punjab Provinces since 2012
