Cost of poor communication


Summary:
The process of communication is very important for business, industry
and government No one knows exactly how much poor communication costs
business, industry and government each year, but estimates suggest billions. Us
alone costs around 4 billion annually due to inefficient emails, poor worded,
careless reading, hustle presentations, careless reading of instructions are some
of the reasons for inevitable costs. The losses obtained by these poor
communications cannot be identified easily like losses occurred by bridge collapse
or flood. In more personal terms, the losses are measured in wasted time, work,
money, and ultimately, professional recognition. In extreme cases, losses can be
measured in property damage, injuries, and even deaths.
There are three cases which show how poor communications can have real world
costs and consequences.
Case 1: One garbled memo – 26 baffled phone calls
In this case the goal was to reduce the overtime by Joanne who supervised 36
professionals in 6 cities but the process of communicating is exigency and
purpose was completely different from what she wants to say and there was no
proper planning she didn’t make it clear as every one cannot understand as many
of the staff members call to her office for clarification
Case2: The instruction manual the scared customers away
In this case even though the automation Sagatec Software Inc. has built the high
quality and user friendly data base and accounting for business and industry. The
word processing program was accurately documented by the senior program
designer to supervise writing the instruction manual. Even though the data base is
efficient but due to the complicated user manual makes decrease in sales. Then
Sagatec clearly written training guide and told them how to find commands
quickly the rewrite costs $350,000, year lead in the market
Case3: The promising chemist who buried his results
In this case there was no proper appreciation for the hard work done by the
Bruce. He is a research chemist for a major petro chemical company. He started
writing a report of new compounds that he had synthesized for oil refining by
products. Buried at the end of the report was a casual speculation that one of the
compounds might be a particularly effective insecticide. After six months of
company research, it come to know Bruce’s report and his toxicity tests. A few
hours of further testing confirmed that one of Bruce’s compounds was the safe
and it is the economical insecticide they had been looking.

Identification of Facts:
 Joanne try to explain about the cost cutting in the single memo to
all her professionals but she failed to convey the information
properly
 Joanne written to 36 professionals among them 26 professionals
called back to her office about the memo
 The communication was not proper she should be more focused
on it.
 Sagatec software Inc. designed a high quality, user friendly,
efficient data base and accounting programs for business and
industry
 They decided to enter into word-processing market they make the
senior program designer to make the user manual for the data
base
 Due to the complicated user manual the new word processing
program plummeted
 The Sagatec software company again changed the user manual.
 Bruce is a research chemist for the major petro chemical company
he done a report on new compounds but his research is buried at
the end of the report
 The company didn’t applause the Bruce for his hard work towards
the research
Problem identification:
 Cost effects for the business, industry and government due to
poor communication
 There is loss of time, work, money and ultimately professional
recognition
 Miss communication may bring lot of problems
 Joanne not able to covey clearly about the cutting the cost of time
as Joanne received 26 calls out of 36 members
 Due to this communication error she lost her personal recognition
 Sagatec software company developed a data base but due to their
complicated user manual made customers scared
 Due to that company lose demand in the market
 They also lost time, money, work for creating new user manual
 Coming to case3 there is no proper communication with the
Bruce, as buried the research done by him
 They didn’t even applause Bruce for his hard work done for the
research.

Questions and solutions


1. Define the rhetorical situation: Who is communicating to whom
about what, how, and why? What was the goal of the
communication in each case?

 In the 1st case the Joanne is talking to her staff of 36 professionals

3. Explain what costs/losses were incurred by this problem.

 Joanne tried to inform the staff about cut the cost of


unnecessary overtime with one sentence memo but the
professionals cannot understand what she said so they
again contacted her office for correct information so that
there is waste of time, work etc.
 In the 2nd case Sagatec software Inc. developed the
efficiently, user friendly database to overcome the
competitors but coming to user manual they make it bit
complicated the customers became scared to use that so
the sales decreased. The company rewrites the user manual
by making it easy for this it took nearly $3,50,000 and lost
the demand in the market.
 In the 3rd case there is lack of good organization as Bruce
done the research they didn’t took it seriously after that
company again invested money and found what previously
Bruce founded here there is waste of work, time, money
etc.
4. Identify possible solutions or strategies that would have prevented
the problem, and what benefits would be derived from
implementing solutions or preventing the problem.

The process of communication should be in a proper channel that


everyone should understand if there is no proper communication there
is proper work and can expect effective work with effective cost and
time and effective communications can be achieved by following these
points
 Lack of attention to tone.
 Avoiding the difficult conversation.
 Holding back what's on your mind.
 Reacting instead of responding.

And also being in the organization we should give importance


to everyone and should appreciate their hard work towards the
research. So that they will work more efficiently.
