GUIDELINES – ASSIGNMENT 3 (MEETING)

(GROUP PROJECT)

Weightage: 25%

Issue:
Casa Sofea Hotel is one of the most popular 5-star hotels in the region. Many local and
foreign tourists have made Casa Sofea Hotel their second home during the holidays.
However, for the past couple of months, business has been rather bad, with significant
reduction in the occupancy rate.

Instructions: You are required to fulfil task A and B below in order to complete the meeting
project.

Task A:
You have received a report on the drop in occupancy rates lately. You would like to address
the problem collectively with the top management. Therefore, you have called for this
meeting to hear from all departmental managers and further discuss the short-term and long-
term plans to overcome the problem.

Suggested roles:

1. The Chairperson will lead the meeting session.

 2. The Sales/Marketing Manager will present the latest statistics on sales.
3. The Customer Service Manager will present complaints received from customers
4. Managers from Human Resource, Marketing, Housekeeping, Food and Beverage
Departments will have to discuss ways on how they can work together to address the
issue.

Task B:
You are required to write the meeting minutes using the following meeting conventions:
 Opening address (confirmation of attendance)
 Main agenda
 Other matters
 Closing remarks

Reminder:
 All group members should be able to contribute in completing the tasks above.
 Group leader is responsible to ensure group participation as well as keeping track of
the progress of tasks.
 Each group is required to record the live meeting session and share the video link
(via google drive) with your lecturer for future reference.
