MEMORANDUM OF AGREEMENT:

HPAIR Partnership Clubs

Purpose:
The purpose of HPAIR Partnership Clubs is to expand and further the collaboration between
HPAIR Organizing Committee and delegate organizations around the world. As part of its
mission to facilitate discussion of the most important economic, political, and social issues
relevant to the Asia-Pacific region, HPAIR is dedicated to establishing a global network of
HPAIR partners to promote international dialogue and collaboration. These organizations foster
intellectual exchange by holding their own seminars, workshops and conferences. HPAIR
partnership clubs will also serve as a local HPAIR network, as HPAIR alumni can look to their
local partnership clubs to stay involved in the HPAIR community. Finally, these clubs also help
their members with fundraising searches to assist conference attendance costs.

Partnership Club Benefits:


- Preferential consideration during the application process with guaranteed interviews for
all members and automatic admission for club leadership at the Asia Conference (limited
to 3 leaders)
- Discounts on registration fees: A 10% discount will be applied to each registration fee if
at least 20 delegates from a single partnership club register.
- Priority consideration in Asia conference hosting bid processes
- Official status as a Partnership Club of HPAIR and designation of said status on HPAIR
website
- Will be able to directly provide suggestions and input into shaping future HPAIR
conferences
- At the discretion of the HPAIR executive staff, clubs may be granted the opportunity to
present club projects at HPAIR conferences and display promotional material

Partnership Club Tasks and Responsibilities:


Organization and Logistics
- Partnership Clubs must be formally established, include a leadership structure, a
minimum of 15 members, and be represented by a faculty advisor
- Stay in contact with the Harvard Organizing Committee: at least one email update per
month
- Maintenance of a running website with member information and group's activities
updated at least every 6 months

Outreach
- Recommendation Process for potential HPAIR Delegates:
- Each partnership club is required to recommend at least 20 delegates to each
conference. The process will be as follows: The partnership club will identify
high-potential delegates. They will reach out to them and recommend them to
apply, CC’ing marcomm-help@hpair.org. These recommendations must be sent
out at least 2 weeks before the Regular Application deadline. During the
application process, the delegate must mark that they were recommended by
the partnership club.
- Establish processes for students to fundraise/obtain sponsorships to offset the cost of
attending conferences
- Organize resources for possible fundraising avenues and make easily available
on website.
- Each partnership club is required to host:
- At least ONE information session for each conference. During this session,
please collect the contact information of all attendees and email them to
marcomm-help@hpair.org so we may keep them in the loop regarding future
conferences.

Internal Events
- Each partnership club is required to host at least one open event regarding topics of
interest to HPAIR. This might include:
- One seminar-style event, on a topic regarding Asian and International Relations.
If you would like help on possible topics, or speakers to reach out to, let us know
and we will do our best to support you.
- One case competition-style event, on a case study similar to one that could be
seen at HPAIR. If you would like to use past materials, reach out to us and we
will provide them.
- A small amount of funding can be given to help cover printing costs and other
associated costs.

Alumni Events
- Starting this year, each Partnership club is required to host at least ONE HPAIR alumni
event per calendar year. The structure of this event can be fairly open-ended: for
example, a casual networking night for all HPAIR alumni in the region. However, it must
be open to all HPAIR alumni in the region, and must be publicized on the partnership
club’s website. Before the event happens, please notify us of the event details so we
may publicize it to alumni in the region.

By signing this Memorandum of Agreement, your organization agrees to fulfill the


responsibilities of a Partnership Club. This contract must be renewed by November 1 of each
year. If your organization does not complete all of these terms, HPAIR reserves the right to
revoke Partnership Club status and all the associated benefits.

stronger and more inclusive organization through the years ahead.
