3.0 CONTENT

3.1 INTRODUCTION

3.1.1 Event Background

A webinar is a seminar that is organized online using video conference platform.


For this event, we were using Google Meet as a medium to launch this webinar.
This webinar entitled Webinar: Knowledge Sharing in The Tourism Industry that
was organized on 22nd January 2021 at 2.30 p.m. We have invited 3 speakers to
share their knowledge and experience in the tourism industry. We were guided
by Sir Yaziz bin Kasim who is our lecturer for the course Tour Planning and
Guiding (HTT353). In this webinar, we have 20 students that act as committees
and 70 participants of students and lecturers from UiTM Sarawak, UiTM Melaka,
UiTM Penang, and UiTM Sabah.

3.1.2 Roles and Responsibilities

As an assistant secretary, my responsibility is to assist the main secretary,


Bermas Anak Damit, to complete her tasks. Such tasks are, drafting the project
proposal and post-mortem report, minute meetings, documentation, and
etcetera.

3.2 TASKS

3.2.1 Before event

As an assistant secretary, I helped the main secretary to complete the proposal


of the event. We filled in event purpose and objectives, implementation of
program and more. Other than that, I also helped the Public Relations
Committee, Ezura Syuhadah Binti Suut, that acted as one of the moderators
during the webinar. I helped the moderator to draft her scripts for the day of the
event.

3.2.2 During event

3.2.3 After event

After the event, I am responsible to help the main secretary, Bermas Anak Damit,
to draft a post-mortem report on our event which is Webinar: Knowledge
Sharing in The Tourism Industry. Other than that, I helped Qurratu’Aini Binti
Mohd Ibrahim to draft her greetings and appreciation words on the email for
sending certificates to the guest speakers and participants.

3.3 EVALUATION

3.3.1 Achievement of The Event

i. Knowledge sharing
In this event, our guest speakers have shared their knowledge and experiences in
the tourism industry. The information shared was very useful to us students who
are going for industrial training in the next semester.
ii. Improve the relationship between campuses
We have built a diplomatic relationship with other campuses of the same faculty,
Faculty of Hotel and Tourism Management. We have attended webinars that
were organized by other campuses of the same faculty. By doing this, we get to
know some of the students and lecturers from different campuses

3.3.2 Areas Of Improvement

1. Lack of Event
i. Lack of teamwork in committees
As I have seen, in certain committees that have 3 to 4 person in it, have
low teamwork among them. Sometimes, they do not even respond when
asked or ignored some inquiries. Also, some crews did not do their tasks
properly as expected until the last minute. This has caused last-minute
changes before the event.
ii. Difficulties in getting guest speakers
Due to Covid-19 and busy schedule we were having a hard time getting
two of our guest speakers for the day that we want. The reason was that
some of them already has a matter to attend and not replying to our
inquiries. Other than that, we did not know a lot of people who can be
our potential speakers.

2. Future Improvement
i. Be responsible
As a team of committee, all students have to take responsibility and
commits to each tasks. Each committee have to complete their tasks on
the due dates provided by the project leader so that the details of the
event can be finalized. We have to avoid last minutes tasks that could
risks the event.
ii. Improve networking
Networking is very important when the time comes especially in events
that require speakers to give talks. We may need to know a lot of people
that has experience and knowledge such as seniors, lecturers, and
industry players. This is because we may need them as reference in the
future.

4.0 CONCLUSION

In conclusion, we have learned a lot of new things in organizing such event. Although it
seems that it does not require a lot of physical connection and logistics, but digital and
informational technologies are very much needed to make the event successful. Teamworks
and communication are also very important to make things work.
