[Revised] OT Monitors’ Guide to Online Clinical Supervision

A. DECKING & SCHEDULING


1. Refer to intern’s specific training calendar and coordinate with Tele-ATL on the number of referrals
that you may be needing for contact/scheduling.
2. When contacting patients for scheduling, kindly request if they may be available on (specific date/s
and time) and preferred online conferencing tool (Zoom/ Viber/ Google Meet). Kindly explain that
they shall be accommodated for 04 sessions (02 sessions per week). Patient confirmation on given
schedule(s) is required.
3. Due to unpredictability of scheduling, you may opt to initially fill-in the first 02 weeks of training
schedule for the meantime. Continuously coordinate with the Tele-ATL should you wish to already
fill-in the later timeslots by requesting for a specific no. of referrals for contact.

NOTE: Prior to the first day of interns’ rotation, as per April Training Calendar, kindly contact 02
patients for “Paired Evaluation with CS”. Kindly check on their respective schedule (day and time)
on the interns’ training calendars.

With coordination with the Tele-ATL, kindly request for 03 patients for treatment to be utilized for
“Treatment Observation”. View the interns’ training calendars for reference.

B. FEEDBACK & SUPERVISION


1. For the first month:
 1st week: Direct Feedback
 2nd week: Direct Feedback
 3rd and 4th week: Grading Period, Conduct of Clinical Exams, Delivery of Case Presentations

2. For the second month:


 1st week: Direct Feedback
 2nd week: Indirect Feedback, Minimal Feedback
 3rd and 4th week: Grading Period, Conduct of Clinical Exams, Delivery of Case Presentations

C. ACCURACY OF ONLINE FOR


1. Prepare a physical (hard) copy of the interns’ online FORs to “match” with the online FOR set on
Google Sheets. This shall prevent the interns from cheating their way through accomplishing their
patient documents/requirements.
 A standard FOR document will be provided to the OT Monitor to produce his/her own
physical copy of the FOR. It is upon the OT Monitor’s discretion to create changes to the
formatting to suit his/her liking or convenience.

D. FORWARDING OF INTERNS’ FINAL PT. DOCUMENTS TO THE MEDICAL RECORDS SECTION


1. On the Monday (or first day) of the OT Monitor’s on-site duty, he/she shall print out the finalized
version of patient documents completed by the interns from the previous week (Initial Evaluation,
Re-evaluation) which should have been uploaded in the “To Medical Records” Google Drive folder.
2. Kindly secure that the intern has affixed his/her e-signature along with OT Monitor’s signature/e-
signature prior to relaying the documents to the MRS.
3. Proceed to performing the guidelines on the relay of patient documents to MRS (eg. visibly writing
the case number on the top portion of the document, placing the document on its respective
basket, etc.)

F. ACCOMPLISHING WEEKLY ENDORSEMENT


1. The weekly endorsement shall be prepared and sent to the next OT Monitor ideally on the
Friday/Saturday of the week. It shall contain the patient details and treatment recommendations of
the patients to be carried over for the next week.
2. Other details for the endorsement shall also be included: remarks on the performance of interns
and level of supervision to be provided/ status of contact or scheduling of patients/ interns’
pending papers for revision or finalization/ etc.
