ONLINE PROBLEM-BASED LEARNING SESSION

STANDARD OPERATING PROCEDURES

SOP 1: DETERMINING STUDENT’S CAPACITY TO JOIN VIDEOCONFERENCING

 A list of the e-mail addresses of all students of all year levels participating in PBL sessions is
to be forwarded to a member of the Informatics committee by the College Secretary or the
President of each batch
 The e-mail addresses of each students should be verified correct prior to forwarding to the
Informatics Committee (IC)
 The IC shall send an e-mail to all students to verify the addresses of the students. The
students shall confirm to their class presidents the receipt of the e-mail. Those who were not
able to receive an e-mail from a member of the IC shall notify their class president. The same
notification will be forwarded to the IC with the correct e-mail address.
 The content of the e-mail to be sent to the students will include the following details:
o The identity of the IC member sending the e-mail
o That the purpose of the e-mail is for verification that the e-mail is indeed the
student’s e-mail and is correct
o That they are to reply to the e-mail if they foresee any technical difficulty that will
limit their PBL participation via videoconferencing
 IC will notify the faculty of the students’ capacity to participate in PBL videoconferencing.

SOP 2: GROUPING

 The College Secretary shall create the PBL groupings and their assigned preceptor via the
college’s faculty FB messenger chat group
 The faculty shall acknowledge the receipt of her/his assigned group by replying in the said
chat group

SOP 3: DISTRIBUTION OF CASES

 The complete set of ALL the scenarios of the module shall be forwarded to the faculty by the
College Secretary via e-mail and will be posted on the faculty FB messenger chat group.
 All preceptors shall confirm their receipt of the full complement of the module scenarios via
the faculty FB messenger chat or through e-mail. Failure to respond shall prompt active
follow up of the faculty’s response as to his / her receipt of the documents and the need for
re-sending.

SOP 4: CHOOSING AN ONLINE PLATFORM

 PBL preceptors are free to choose any of the 2 videoconferencing platforms for their PBL
groups:
o Zoom
 Prerequisites for zoom access is a Zoom Pro account for the host
 All participants should also download a zoom app in their smartphones,
tablets or personal computers
 The host shall set the date and time of the PBL session via the zoom app at
least a day prior
 The invitation details which include the meeting ID and meeting password
shall be sent to the members of the PBL group at least a day prior
 To increase zoom security, the following protocols are highly encouraged
 A new meeting ID and password shall be randomly generated for
every PBL session
 Enable the waiting room and disable “Enable join before the host”
option
 Click “Only authenticated users can join”
 Members of the PBL group shall use their full names to identify
themselves in the zoom video conference session and not aliases
 Members of the PBL group should have their videos on
 Make sure to “leave the meeting” at the end of the session
 A separate chat group via other online platforms or apps (e.g. viber, FB
messenger) should be created for purposes of announcements and posting
of learning issues generated.
o Facebook messenger
 Prerequisites for an FB messenger videoconferencing access is a facebook
account and an FB messenger account
 To be able to have a group conference, a chat group should be created
which is composed of the preceptor and the PBL students who are part of
the PBL group.
 The host shall make a video call to the PBL chat group, wherein members of
the PBL group should respond to the video call for the videoconference to
commence
 The preceptor shall make his/her online platform of choice known to the student members
of the PBL group

SOP 5: PRIOR TO THE PBL SESSION

 The IC shall inform preceptors of the internet connectivity status and capacity of the
students to participate in PBL videoconference so that the preceptors can design a different
activity for those who cannot participate in videoconferencing
 The members of the PBL group (the preceptor and the students) shall inquire regularly from
their local electric company and internet service provider any scheduled service
interruptions for necessary adjustments in PBL schedules
 The members of the PBL group (the preceptor and the students) shall determine the time of
day when internet connectivity is at its best for PBL scheduling (preferably office hours)
 Members of the PBL group shall identify an area in their homes that are free from
distractions, background noise, and stimulates learning
 Students should remind their preceptor a day prior of the scheduled session and make sure
that technical needs are working

SOP 6: DURING THE PBL SESSION

 Decorum in a video conference is the similar to that as an actual classroom. Hence, students
and preceptors should present themselves as if they are in a face to face classroom
encounter. The preceptor shall state his / her ground rules for the rest of the module.
 The moderator shall create a system of recognizing and queuing members who would like to
speak.
 Be mindful of facial expressions and body language during the video conference
 Enunciate words clearly and give straight to the point answers as audio transmission in video
conferences can have some distortions
 It is recommended to minimize the use of video streaming / animations during video
conferences as these require high internet connectivity and data consumption. Such
activities can cause lags in the video conference.
 Audio and video recording of PBL video conference sessions without the consent of all
members of the group and the preceptors is not allowed.

SOP 7: AFTER THE PBL SESSION

 At the end of each session, learning issues generated and pending tasks should be posted by
the moderator to the PBL group’s chat room.
 Settle the date and time of the next PBL session
 Pls make a screenshot of the videoconference for attendance purposes to be sent to the
MSU COM Faculty FB messenger
 Make sure that everybody has left the meeting after the session
o For zoom users, make sure to leave the meeting or the host can leave the meeting
for everyone
o For FB messenger users, make sure that the call has ended
 Submission of tasks can be submitted to the preceptor via e-mail or posted in PBL group’s
chatroom.
