ABSTRACT

This report is a completion of three months report of industrial attachment I had at CHACHA
ICTB CENTER. It summarises work done, problems encountered and also include
suggestions and recommendations as to the problems faced. It also contains highlights of
specific task performed.

This report is dedicated to my family, thanking them for believing and trusting me and also to
my lecturers for the moral support they gave me throughout my academic life in the college.

ACKNOWLEDGEMENT
I thank almighty God for providing me with good health, patience and perseverance
throughout my period of attachment at CHACHA ICT CENTRE. I extend my hand of
gratitude to the institution of CHACHA ICT CENTRE for giving the opportunity to carry out
my field attachment in the centre. I appreciate all the departments heads for their cooperation,
determination and willingness to disseminate information in full. I also appreciate my school
Kitale Polytechnic and the department of Information Technology

I also appreciate the field attachment Supervisor’s Mr. Adam Chipanga and George
Wanyoike for their cooperation, supervision and follow up to ensure everything is in order
every time. Finally, I want to appreciate my Mum and Dad and everyone who made this
successful as far as my finding is concerned.

EXECATIVE SUMMARY
This report gives the overview of attachment I did for a period pf three months at CHACHA
ICT CENTRE. The main purpose of this report is to reflect on what I learnt during this
attachment period. This report shows the practical skills, problem solving techniques,
decision making and knowledge I acquired during the period of attachment.

The report will also show the challenges I faced and their recommendations and conclusion.

CHAPTER 1
INTRODUCTION OF THE ORGANIZATION
CHACHA ICT CENTRE is geographically situated in Makueni county 200metres from
Nairobi -Mombasa Highway and the main functions of the ICT institution are:

I. It carries out general cyber activities.


II. It carries out computer studies for both certificate and diploma students.
III. The institution also trains computer technicians’

To empower the society through technology and innovation, and promote knowledge
information and technology response to farmers

CHACHA Vision
Excellence in technology and know how in order to transform live hoods of the entire society.

MAIN FUNCTIONS OF THE INSTITUTION


1) The school department Carries out teaching in computer studies and
technology both certificate and diploma level.
2) The business department carries out general cyber activities.
3) The institution has technicians who do computer repair and maintenance.

CHAPTER 2

2.1 SUMMARY OF DUTIES


I would briefly take a summary of the duly description of the types of duties carried out there.
I therefore present out that from my first siting at the place these were my major duties as clarified.
At first, I took the responsibility in the customer handling and reception office.
 Installation of operating system both in desktop and laptops
 Documentation of reports before printing.
 Type setting and printing of documents.
 Scanning and sending documents through the Email.

2.2. department of school of computing


I managed to handle different students taught them and guided them on handling and interacting with
different computer applications.

2.3 FINANCE OFFICE


Printing document using flash disk arranging boxes of the revenue in the cash office I tried to consult
how they work and their activities such as filling of payment voucher and arranging them in the
shelves and preparing of payment voucher attached with payment schedule for lunches/receipt memos
etc.

2.4 MECHANICS AND REPAIR


In this department I managed to interact with the concerned personnel who guided me on how to
interact with both software and hardware problems on machines.

CHAPTER 3

3.1 Description of Activities


Accounts Department
In accounts department I learned accounts in an organisation what it entails of e.g.

 Books used in accounts.


i. Cash book
ii. Bank payment voucher
iii. Surrender book
iv. Impress
v. Cheque book etc...

I also learned about financial report and how to prepare them. This is a financial record of all
the transaction of money done within a financial year of the organisation. I also learned about
accounts and payment records i.e.. How to record any payment and received cash and how
money flows within the institution and from outside coming in and vice versa.

3.2 Supplies and Procurement


In this department I learned a lot things concerning procurement and supplies and that entails
of it e.g.

i. Purchase planning
ii. Standard determination
iii. Specification development
iv. Supplier research
v. Price negotiation

CHAPTER 4.0
ICT Department
SECTION 1
I helped Chacha school of computing students to carry out their studies in computer
applications and internet networking

Some of the problems I encountered with the students are.

Most of the students had problems in handling problems using Microsoft publisher and
Microsoft excel.

Some students were unable to transfer files from the computer to their flash disks.

SECTION 2
One of the staff’s desktop had failed to function due to failure of the CPU having a battery.
With the managers supervision I had to open the CPU and fix a new battery in it and the
computer started to run as usual.

At the customer handling and reception office I had to typeset documents, print them and
bind them using both tape binding and spiral binding.

During this period, I encountered problems of interacting and handling customers who were
unable to communicate in both English and Kiswahili.

I also had the best opportunity to do publishing and designing wedding cards and receipts and
had the best opportunity to print them. During the process of cutting these cards using paper
cutter I found out that cutting requires a lot of keenness.

At this department I managed to interact with the Laminating machine and learnt on how to
use it since customers had documents which required lamination.

SECTION 3

During this attachment period at Chacha ICT centre I managed to install operating system in
one of the client’s laptop under guidance and supervision of Mr. Adam Chipanga.

He also managed to guide me on how to connect and interact with internet and how
networking works. I managed to group computers with common communications in the
institution which made me to realize that this was one of the networking topologies called
(LAN).

We were also assigned the task of installing laser jet printer and scanner to ensure that it
perfectly works.

CHAPTER 5
5.1 WORK EXPERIENCE
The main activity which I did revolved around ICT i.e., computer applications, basic software
maintenance, internet and networking basics electronic device management e.g. computers & phones,
and one point which I learned is that an ICT officer has to be well conversant with all major and
minor field of any organisation or institution, because ICT is applicable in all areas

5.2 NATURE OF WORK IN VARIOUS OTHER DEPARTMENTS


5.2.1 SCHOOL OF COMPUTING
In this department I interacted with students handling basic computer applications on Microsoft word,
excel, PowerPoint, publisher access and internet.

5.3 METHOD OF STUDY


During the period of my industrial attachment, I can add that I found the confidence needed and what
it takes to deal with the various methods of ICT undertaken generally in the ICT sector

5.4 PRACTICAL WORK


I was also given a lot of assignment by staff members under permission of the supervisor to learn
activities through practical work under ICT like inspection of local network, preparation of internal
memo and software maintenance as well as hardware maintenance.

5.5 OBSERVATION
The industrial attachment gave me the opportunity to observe how task and problem are being
handled in the ICT department and sector in general

5.6 MANAGEMENT SKILLS


Under my main section I was able to manage well to ensure that all the windows activation was done
on time, window updates were done, any network malfunctions were delt with and last but not list
making sure all computers in the organisations were running without any complications.

5.7 LINK BETWEEN THEORITICAL AND PRACTICAL WORK
During the industrial attachment I was able to clearly see the relationship between theoretical work
and practical work learnt during my industrial attachment period whereby I do things practically as I
gain knowledge to suite in the current world according to my profession.

CHAPTER 6
6.1 SELF EVALUATION IN VIEW OF WORK EXPERIENCE
During my induction period in ICT to Chacha ICT centre I was given instruction by the Deputy
institution manager who was my supervisor gave me rules and regulations that governing the
organization and I managed to follow and also maintained a positive relationship with all staff within
departments. Due to good relationship with all the staff in the organization I had a privileged to get all
services that I required from my industrial attachment, I do believe that I did my best during
attachment.

CHAPTER 7
7.1 Problems and Challenges Faced
During the period of my attachment, I faced some challenges, and they are;

I. Lack of fair which made me walk for over 5km every day which was tiresome,
II. Language barrier since some of the society customers were not conversant with
Kiswahili language or English

7.2 Skills and Knowledge Acquired


During my period of attachment, I acquired some skills and knowledge in in my field and
also other areas; these are some of them;

i. I’ve learned how to succefully install different types of printers e.g. ink jet, laser
jet.
ii. I’ve learned about the legal procedure taken in an organisation or institution
during any financial transaction
iii. I’ve learned about wi-fi access point and how to connect it
iv. I’ve learned how to successfully connect routers
v. I’ve acquired the know-how on how to install an operating system
vi. I’ve learned how to interact with people, customers and handle students.

7.3 Recommendations
Based on my experience working in Chacha ICT centre, they are excellent in handling the
attachee, there services to clients are good and also to the organisation staff they are more
hospitable.

And to my learning institution (KITALE POLYTECHNIC), keep it up with the marvellous


work you are doing which is to help young people establish themselves in the society with
knowledge.
