OD PROJECT PROPOSAL 2

Introduction

In collaboration with Triumph Public High Schools: Corporate and Business Offices

under the supervision of Mrs. Frances Berrones-Johnson, our graduate team, Team 4, seek to

study this organization in order to gain insights into its operations with an expectation of finding

areas that they identify as needing to grow and be able to provide support. Our team will be an

external resource for Mrs. Johnson and her team as we bring an academic perspective to studying

their organization. We hope to gain experience as a team in change diagnosis and learn from our

client how they have approached change in the past, and at the same time support changes for the

future. Included in this document are our team members’ contact, our expected deadlines we will

be following, and the process we will be following to keep everyone on the same page.

Why Our team has chosen to work with Triumph Public High Schools because
of their strong commitment to serving at-risk students. With nine high
schools spread across the state of Texas, the main decentralized office
has a challenge of collaborating with one another and each school from a
distance. We believe our OD consulting can assist them to find helpful
practices in communication and virtual teams that create a strong
collaboration together despite the distance between each program. As
they seek to add new locations in other cities, these good practices will
be crucial to the success of our client.

How To start on our project we have scheduled and completed an initial

meeting with Superintendent Frances Berrones-Johnson. During the
meeting the team had the opportunity to introduce themselves, explained
our project process and asked questions to the Superintendent based on
change management, OD and organizational status.

In order to gather more data, supporting staff will be interviewed and

will participate in a survey that will provide the team information on
what areas of opportunities the organization. All team members will
individually and as a group, analyze all data collected and develop an
action plan for Triumph Public Schools.

Ideas for data We plan to use a convergent mixed methods approach in collecting data
collection and from Triumph Public High Schools, partially due to our time constraints.
intervention (as We plan to interview the administrator team virtually using Zoom. We
currently also plan to survey the support staff at the San Antonio Corporate Office
envisioned, expect and McAllen Business Office. We will use Triumph’s website and seek
these to evolve) data already acquired internally from the organization. Through data
collection and interviews we, as a team, are looking for areas of
recommendation that we can share with our client that can be supportive
for the continued growth of their organization as we apply what we are
learning from our course study in Organizational Development.

Scope of Work

The Aggie Consulting Group (EHRD 625 Group 4) has the pleasure of working with the

Triumph Public High Schools at a Corporate and Business Offices level during the Organization

Development project in the Fall 2021 Semester. As a graduate student group, we have conducted

an initial interview with the organization’s Superintendent/CEO, Frances Berrones-Johnson, to

go over her vision and goals for this project. We also covered questions about change

management, the organization’s background, development, and her expectations of the Aggie

Consulting Group. With her direction, the group will interview seven high-level executives and

will survey 13 support personnel, in order to gather more information about the organization’s

strengths and opportunities.

OD PROJECT PROPOSAL 6

Once the group has completed all interviews and surveys, all team members will have the

opportunity to analyze the data, find areas of opportunity and strengths, as well as theme

subjects. On December 12, 2021, the consulting group will be providing the client with a final

report and a presentation that will cover all findings and areas of improvement the group

recommends based on the analysis completed. Recommendations will be focused on

organization development and areas the whole organization can improve on in order to continue

to be successful.

Stakeholders for Intervention

In order for our team to stay within our desired scope and uphold confidentiality with

Triumph Public High Schools under Mrs. Johnson’s direction, our team has decided to work

exclusively within the Corporate and Business Offices only, as opposed to reaching out to the

Triumph schools themselves.

Practitioner Role

The client who is our primary contact is Frances Berrones-Johnson, who is the

superintendent/CEO of Triumph Public High Schools located in San Antonio, TX. She is

responsible for overseeing operations within the Corporate and Business Offices. In order to

request changes to our Confidentiality and Consulting Agreement, the client and/or graduate

team need to submit a change request and give reasoning for the change. Also, mutual consent by

both parties is needed in order to make a change.

Consulting Agreement

Ground Rules and Contract Modifications

As information is being gathered from Mrs. Johnson and her staff, it is imperative that

their privacy is maintained and that they are aware that everything shared with our team is only

to be used for our academic purposes and to benefit their organization. We will practice full

confidentiality in how we handle the information entrusted to us. As we work together with

Triumph, we will continue to make it clear that we plan to use the information, whether in Zoom

calls, emails, surveys or interviews only in working with each other and to share with our

professor, Dr. Michael Beyerlein. As we perform surveys and interviews, we will protect the

identities of the staff of Triumph. This will help to provide security for them. In order to

collaborate within our team, information will be stored on a shared Google Drive that is only

available to our team members.

If changes are needed to the proposed agreement between our client and our team, we

will discuss these changes among our team members until we reach an agreement. Then we will

communicate the changes with Mrs. Johnson in a timely manner. We will wait for consent from

our client before moving forward with the agreed upon changes. If our client has any concerns

throughout the process, please contact us or if necessary reach out to our professor, Dr. Beyerlein

(beyerlein@tamu.edu).

Mutual Expectations

The graduate team will deliver findings and offer recommendations for the organizational

intervention in the form of a project proposal, final report, and presentation to both the client and

graduate team’s professor. Our team is acting as organizational development consultants in order

to develop our skills in diagnosing change and delivering effective interventions. The detailed
OD PROJECT PROPOSAL 8

outline of our graduate team’s anticipated schedule for future communication and deliverables is

outlined in Table 1.1. The primary contact for our team will notify all parties involved should

there be any delays in the schedule. The interview and survey questions will be reviewed by all

team members and our instructor, Dr. Beyerlein, before submitting to the client to verify validity

and relevance.

Time and Resources

With our graduate team acting as a group of organizational development consultants for

educational purposes, there will be no fees associated with consultation services nor any

compensation offered to the client. Any parties involved may request modifications of the

Consultation Agreement to: Samantha Gonzales or Elisa Lopez. Our graduate team will uphold

the Aggie Honor Code throughout the duration of this consulting agreement.
