10 OIL SAMPLING COLLECTION PROCEDURE
20 Inspect sample collection equipment which should include: Clean sample bottles, Suction pump, Plastic
tubing, Labels for sample bottles and Suitable packaging/flight case for returning samples to analysis
laboratory.
30 Sample bottles and hoses should be new. Suction pump must be clean and free from old oil.
40 NOTE: Inform operations staff of intended route and review operating conditions associated with the
main equipment items, which should be operating at normal temperature so that representative
samples can be acquired and obtain the required work permits.
41 Before sampling oil:
- Make sure the machine is hot ( was running or just shut dawn).
- Record the run hours.
50 Visit each machine in turn, collect sample as required from the recognised labelled collection point.
Care must be taken to avoid any contamination of the sample, as errors may be introduced into the
analysis results.
60 Samples may be collected from sampling valves, where provided. Where sample valves are not fitted
samples may be collected directly from the equipment oil tank or sump using the supplied suction pump
70 For samples obtained from sample valves proceed to step 180.
80 For samples drawn from the equipment oil tank or sump using the suction pump proceed to step 210.
90 Drain approximately one litre of oil into a suitable container for subsequent disposal. This is performed
to ensure that the sample contains oil in circulation and not stagnant oil, which may be contained in the
pipework leading to the sample valve.
100 Use valve to collect the sample directly into the supplied bottles. Fill the bottle to approximately 75% of
its capacity. Care must be taken to avoid any contamination of the sample, as errors may be introduced
into the analysis results.
110 Visually inspect the sample to assess if the system contains any obvious defects. Ensure that
disturbed sample points are correctly closed after collection.
Proceed to Step 270.
120 Where sample valves are not fitted the supplied suction pump is used for sample collection. Sample
points may make use of filler caps or dipstick entry points .
130 The sample should be drawn from about 25 mm below the surface of the tank. Care should be taken to
avoid the tube fouling the running gear of the unit being sampled.
140 NOTE: Where the possibility exists of the sampling tube becoming fouled with running gear then the
machine should be stopped and the oil sampled immediately after the machine is stopped.

150 Cut a new piece of tube of an appropriate length to allow the sample to be taken. NOTE: Tube must be
long enough to take sample from 25mm below oil surface.
160 The oil should be drawn directly into the bottle until it is 75% full. Care should be taken not to overfill the
bottle as this will risk contaminating the pump. Should the pump become contaminated then it should
be returned to the laboratory for cleaning.
170 Check the sample bottle to ensure it contains oil and not water from the tank bottom. Visually inspect
the sample to assess if the system contains any obvious defects.
180 Ensure sample bottle is clearly labelled with Platform, Equipment Tag, date and oil type using the labels
provided.
190 Check oil level of unit sampled and replenish as necessary with specified grade of oil.
200 Dispose of used oil following appropriate site procedures.
210 Ensure that sample container caps are secure. Place all samples in approved packaging/flight case
and deliver to logistics system for prompt shipment to analysis laboratory.
220 NOTE: Use manifest details for Oil Analysis Laboratory as supplied with the Oil Sampling Kit.
230 Close out work permits issued for sample collection.
