BOARD RESOLUTION 02-2022

MINUTES OF MEETING OF THE BOARD OF DIRECTORS OF SOUTHPOINT


SUBDIVISION HOMEOWNERS’ ASSOCIATION INC (SSHAI) ON JANUARY 08, 2022

A RESOLUTION OUTLINING FORTHCOMING POLICIES AND ENUMERATING SHORT-


TERM AND LONG-TERM PROJECTS

WHEREAS, on January 08, 2022, the Board of Directors held their first meeting at the Subdivision’s
Clubhouse. All five (5) members were present with Honorable Roger Caayupan presiding. Meeting was
called to order by SSHAI President, Honorable Roger Caayupan at 10:00 AM and adjourned at 3:20 PM.

WHEREAS, the following agenda were presented for discussion and decision.

1.Repair, replacement Installation of Solar LED lights


2. Replacement of RFID enabled Gate Booms
3. Refurbishment, repair and or replacement of CCTV system for all gates
4. Purchase of additional Tractor mower, and other ground maintenance equipment
5. Clean up, reopening of Swimming Pools
6. Re engagement, 2nd Phase of FILWATER water supply improvement
7. Residential and Commercial frontage improvement
8. Construction of Boundary Fence along Palawan Street parallel to SLEX
9. Rubber painting and improvement of Basketball court
10. Purchase of Generator and electrification of designated evacuation site for disaster resiliency
11. Board of Director’s assignments
12. Organizational structure for ADMIN Staff
13. Review of scale, medical benefits, and use of Personal Protective Equipment (PPEs)
14. Formation of committees:
15. Medical insurance for Maintenance, Security and Office Employees
16. Increase of Salary for 5 Admin Staff

NOW THEREFORE, BE IT RESOLVED, that the following contents / subject matters were agreed by
all members of the board

Short term Projects

1. Repair, replacement Installation of 250 Solar LED lights (80 watts) along main avenue and intersections
2. Replacement of RFID enabled Gate Booms for Sta Rosa (G1) and Cabuyao (G2) gates
3. Refurbishment, repair and or replacement of CCTV monitoring system for all 3 gates
4. Purchase of additional Tractor mower, grass cutters, leaf blowers and cutting implement
5. Clean up, reopening of Swimming Pools (dependent on IATF guidelines)

Long term Infrastructure Projects

6. Re engagement second Phase of FILWATER waterline improvement


7. Residential and Commercial frontage re design and improvement
8. Construction of Boundary Fence along Palawan street parallel to SLEX
9. Rubber painting and improvement of Basketball court

Process Improvement and Committee formation

A. An authority Matrix has been defined amongst member of BODs detailing which department will be
assigned and headed by members of the BOD

B. Definition of Roles and responsibility and organizational structure for all ADMIN Staff to promote clarity of
work and accountability amongst staff will be undertaken

C. Review, recommend, and implement changes regarding pay scale, Medical benefits, and use Personal
Protective Equipment (PPEs) to enhance productivity, engagement and safety among our staff

D. Formation of the following committees: Grievance and complaints, Internal Audit, Disciplinary, Water
improvement, and By- Laws revision

We, the undersigned, hereby certify that the members of the Board of Directors SOUTHPOINT
SUBDIVISION HOMEOWNERS ASSOCIATION, comprised of five (5) duly elected members, regularly
called, convened with proper due notice and held a regular monthly meeting this 8 th day of January 2022 at
Southpoint Subdivision, Banay-Banay, City of Cabuyao, Laguna. All five (5) members were present,
unanimously agreed that the foregoing resolution was duly adopted and said resolution has been recorded in
the Book of Minutes and is now in full force and effect.
