Memorandum of Understanding for Paid Internships

This Memorandum of Understanding is entered into this Choose an item., day of Choose an
item., 2017, between the Trustees of the California State University on behalf of California State
University Stanislaus, referred to as, “UNIVERSITY” and, ________________________________
referred to as “ORGANIZATION” sets forth the provisions of understanding between
UNIVERSITY, STUDENT, and ORGANIZATION, as the employer to participation in a paid
internship.

I. Statement of Purpose
A. The UNIVERSITY’s mission and values strongly endorse partnerships with the
community that advances the quality of life and the educational, intellectual, artistic,
civic, cultural and economic aspirations for all those living or working in our
neighboring communities. The UNIVERSITY promotes student placements in applied
settings as a valued part of a student’s education process.

B. The ORGANIZATION may state its mission in its bylaws and/or articles of
incorporation.

C. The UNIVERSITY and the ORGANIZATION recognize the opportunity for positive
learning experiences and mutual benefit for each, and for enrolled students (referred to
as STUDENT(S)). The UNIVERSITY supports the goals and objectives of the
ORGANIZATION.

II. Responsibilities of the UNIVERSITY


A. UNIVERSITY will assign STUDENT(S) to the ORGANIZATION from various
academic programs. This MOU is intended to be comprehensive and its terms cover
one or more students from various academic programs. University’s faculty will
assume responsibility for coordinating the course and will serve as liaison between the
UNIVERSITY and the ORGANIZATION.
1. Training and reflection with UNIVERSITY academic designee will:
a. Assure that STUDENTS are eligible for the course and verify the
registration of the student in the appropriate University coursework.
b. Review job description of the ORGANIZATION to determine
appropriateness of responsibilities for the STUDENT.
c. Internship hours will be documented.
2. Supervision and Accountability.
Faculty will work closely with the ORGANIZATION, and STUDENT(S) to meet
the expectations and priorities of the ORGANIZATION.
a. Faculty shall coordinate with ORGANIZATION during work experience
as necessary to monitor student.
b. Review STUDENT and ORGANIZATION progress reports and final
evaluation for consideration of awarding academic credit.
3. Academic credit.
The applicable Student Agreement (e.g., paid internship) will define the
guidelines for the final determination of academic credit. Awarding of academic
credit will adhere to the UNIVERSITY’s Credit Hour Policy.

III. Responsibilities of Organization


A. The ORGANIZATION will:
1. Position Description.
Provide a written position description as an attachment to the applicable Student
Learning Agreement (e.g., paid internship), for each placement offered. The
position description will include the following five headings and supporting
information: a) duties and responsibilities, b) skills and specifications, c)
education and qualifications, d) wage, and e) reporting relationship of the
particular placement.
2. Interview, evaluate and select students as employees of ORGANIZATION.
3. Work Schedule
Assign STUDENT(S) work experience schedules reasonably and fairly, including
weekends and shifts.
4. Training and Orientation.
ORGANIZATION Site Supervisor or his/her designee will provide specific
orientation and training needed by STUDENT(S) defining their role and
responsibilities prior to their working with clients or providing service to the
ORGANIZATION. Necessary training can be provided through collaboration
among the ORGANIZATION, the UNIVERSITY, and faculty member.
5. Work Space.
Assign STUDENT(S) to work location and ensure that they are always working
under the supervision of designated ORGANIZATION supervisor. Provide
interns with the necessary resources and support needed to fulfill assigned role
to work effectively and efficiently. Such resources may include, but not limited
to: office space, computer access and relevant ORGANIZATION databases, office
supplies necessary to complete assigned work tasks, in-service trainings and
professional development opportunities that are available to STUDENT(S).
6. Site Supervision.
The Site Supervisor will meet with the STUDENT as per the applicable Student
Learning Agreement (e.g., paid internship) and update him/her on projects and
to provide support. All program staff will support the STUDENT as they
interact with him/her and provide guidance and advice as necessary and
appropriate. A secondary site supervisor will be responsible for the STUDENT
in the absence of primary supervision.
a. The ORGANIZATION’s director or his/her designee will meet with the
representative of the University as needed throughout the academic term.
b. The ORGANIZATION director and the Responsible Campus Office or
faculty member at the UNIVERSITY shall meet as appropriate in order to

facilitate the most mutually beneficial experience for all parties involved,
or at the request of any of the parties involved.
7. If requested by UNIVERSITY, assist interns in the fulfillment of individual plans
for professional development. Such assistance will include, but not be limited to,
the identification of specific goals and activities to be completed during paid
internship the provision of time, resources and opportunities to complete
assigned activities, and opportunities to participate in the broad spectrum of
assigned position.
8. Evaluation.
a. Evaluate STUDENT(S) performance and discuss the performance
appraisal with the STUDENT(S), and UNIVERSITY faculty supervisor.
b. The ORGANIZATION site supervisor or designee will complete an
evaluation regarding the quality of service that each STUDENT(S)
provided to the site, and as agreed upon in the applicable Student
Learning Agreement (e.g., paid internship) and relevant to the position
description provided to the student.
c. Communicate with UNIVERSITY to discuss issues, challenges, and
suggestions for the effective and efficient administration of the
partnership.
9. Work Termination.
The ORGANIZATION has the right, after consultation with designated
UNIVERSITY faculty coordinator, to discontinue any student who, in the
ORGANIZATION’s judgment, is not performing satisfactorily while an
employee of the ORGANIZATION.

IV. Responsibility of Student(s)


A. The STUDENT(S) will:
1. Be a regular employee of the ORGANIZATION and follow all of the policies of
the ORGANIZATION as well as the objectives and requirements of the
UNIVERSITY academic department and course in which STUDENT is enrolled.
2. Work on a schedule arranged by the ORGANIZATION, always under the
supervision of the designated supervisor of the ORGANIZATION.
3. Complete a Student Learning Agreement that details learning objectives,
identifies the goals, activities and competencies to be addressed in consultation
with the University faculty and appropriate ORGANIZATION representative.
4. Participate in all relevant interviews, orientation meetings and trainings required
by the ORGANIZATION and stated in Section III. A. 4. Training and Orientation
of this document.
5. Model appropriate, professional behavior when working with clients and when
on the ORGANIZATION’s site(s).
6. Meet with UNIVERSITY faculty supervisor as needed to discuss paid internship
progress.

7. Consult with the ORGANIZATION supervisor or appropriate ORGANIZATION
representative as needed on a regular basis to determine progress, concerns, and
challenges arising during the paid internship work experience.
8. Complete all academic assignments and track work experience as designated by
faculty supervisor for review and evaluation.
9. Communicate with UNIVERSITY faculty supervisor regarding any issues,
challenges or suggestions in concerning the paid internship.
10. Support ORGANIZATION events that are part of the student learning
experience as required by faculty member.
11. Meet the goals of the ORGANIZATION program and the academic course in
which the STUDENT(S) are enrolled.
12. Participate in the performance evaluation with appropriate ORGANIZATION
representative at completion of work experience.

V. Length of Agreement Term


A. Initial Term. The UNIVERSITY and ORGANIZATION have reached this initial

B. Renewal Process. This agreement shall be renewed automatically for additional periods
of one (1) year thereafter, beginning Click here to enter a date., up to a total of four (4)
additional years, based on STUDENT feedback, ORGANIZATION evaluation, and
faculty desire to continue this relationship for the purpose of student learning under the
conditions that:
1. The UNIVERSITY and ORGANIZATION continue to be committed to actively
supporting the appropriate goals of the other.

2. The STUDENT(S) work is academically meaningful and helps to provide support


to the ORGANIZATION.

3. The relationship is consistent with the goals of the ORGANIZATION,


UNIVERSITY, STUDENT, and Academic Department(s).

4. Termination.
This Agreement may be terminated at any time by the written agreement or
upon 30 days’ advance written notice by one party to the other, PROVIDED,
HOWEVER, that in no event shall termination take effect with respect to
currently enrolled students, who shall be permitted to complete their training for
any semester in which termination would otherwise occur.

The UNIVERSITY does not assume any liability for action taken by the student as an employee
of ORGANIZATION during the paid internship work experience assignment.
