CHAPTER 2

ON-THE-JOB TRAINING POLICY AND PROCEDURES

The document contains the general policy and guidelines for the Bachelor of
Science in Computer Engineering’s undergraduate practicum program in partial
fulfillment of the requirements in the subject CpE 100: Engineering Internship Training.
The information herewith will take effect mid 2019 of S.Y 2018-2019.

Requirements of the Program

1. The practicum program is a requirement for the completion of the B.S. Computer
Engineering Program. CpE 100 is offered only to fourth year standing students
who have completed at least 75% of the total number of units for the program.
2. The faculty handling CpE 100 shall be assigned as coordinator/advisor.
3. The CCSICT shall provide students with the list of companies that are willing and
capable of accepting on the job trainees. However, students shall have the option
to choose a company not included in the list of companies provided that the said
companies is willing to accept OJT and it passed the requirements for a host
company.
4. A student must meet the required minimum exposure of 240 hours.
5. At the end of the practicum proper, a student must submit a final report with the
required attachments.
Procedures and Guidelines

A. Cpe 100: Computer Engineering Internship Program


1. Fourth Year standing student targeting to graduate at the next academic year
must enroll the subject CpE 100: Computer Engineering Internship during the
summer/midyear.
2. The CCSICT shall provide a list of host companies where the students
enrolled in CpE 100 can choose to have their internship/training. As
mentioned in the previous section, students can take off from companies not
included in the list. However, a pre -qualification processes shall be done by
the faculty coordinator prior to the acceptance of the host company. The
approved company shall then be included the official list of companies.
3. The student shall contact the company and ask if there are still available slots
for an on the job training. If the company agrees, the following information
should be obtained.
I. Name of the contact person including designation
II. Complete name of the company address.
III. Various documents needed to be submitted and when can be
submitted
4. The students shall write an Application Letter (See Appendix 1 for sample
Application letter) addressed to the company. An Endorsement Letter
(Appendix 2) from the adviser should be attached.

5. The students shall submit the Application Letter and required documents to
the company and shall wait for acceptance. The students shall be responsible for
following up on their application to the company.

6. Upon acceptance, obtain a Letter of Acceptance from the company. The


students shall also ask the company representative/assigned supervisor to sign
three (3) of the filled-out work plan form (Appendix 3). The work plan form shall
indicate the task or Job as the time schedule of the student’s trainee in the
company. The students shall negotiate with the host company regarding the time
schedule and work load favorable to both parties.
7. The students shall give a copy of the letter of acceptance, work plan and the
training waiver (Appendix 4) to his/her adviser. If the adviser agrees with the
schedule and work load given to the student, he too shall indicate in conformity
by signing the work plan.

8. Item 3 to 7 must be completed by students enrolled in CpE 100 to obtain a


passing grade in the subject.

9. The OJT faculty coordinator shall provide on orientation before the


deployment of student to host company.
Duties and Responsibilities

Student/Trainee

a. An admitted student/trainee shall abide by the rules set forth by the


institution/company/office where he/she is undergoing on-the-job training.

b. The students /trainee should always observe discipline and right conduct.

c. The student/trainee should wear the appropriate dress code.

d. S/he should not engage in gambling, illicit activities, drinking intoxicating


beverages and related activities while at work or within the
institution/company/office premises.

e. The student trainee is expected to submit reports and requirements on time.

f. The students/trainee should observe punctuality and attendance in reporting to


his/her assigned training area. S/he should accomplish the attendance recording
sheet noted by the training supervisor.

The Isabela State University

a. ISU shall formulate the on-the-job training and guidelines on the selection,
placement, monitoring, and assessment of student/trainee.
b. ISU shall assign regular faculty member, tenured and academically
qualified as faculty practicum coordinate responsible for all aspects of the
student internship programs including program implementation,
monitoring, and evaluation.
c. ISU shall select the partner institution/company/office and ensure
acceptability training design and venue in order to protect the
students/trainee’s interest
d. ISU shall develop in collaboration with the duly selected partner
institution/company/office a Training Plan, which will form part of the
agreement, for the student trainee/intern specifying goals and objectives,
knowledge, skills and competencies that the student trainee should
acquire in each training area, assignments and schedule of activities,
among others.
e. ISU shall also monitor and evaluate performance of student/trainee jointly
with the partner institution/company/office based on the agreed training
plan.
f. ISU shall monitor the student/trainee and immediately attend to his/her
complaints by coordinating with the partners institution/company/office,
CHED and other concerned government authorities if necessary.
g. ISU shall also conduct initial visit/inspection of their training partner
organization to ensure safety of students.
Faculty Practicum Coordinator

a. The Faculty Coordinator shall be responsible for all aspects of the student
internship programs including program implementation, monitoring and
evaluation.
b. The faculty Practicum Coordinator is expected to conduct an initial site
visit to ensure that the training facility is safe and conductive for the
student/trainee.
c. The Faculty Practicum Coordinator is expected to review, orient, interpret
and clarify to the student/trainee the objectives of the on-the-job training
program.
d. It is the responsibility of the Faculty Practicum Coordinator to do a regular
monitoring of the student/trainee under him/her to check on their overall
Performance and discuss with the On-Site Supervisor to further improve
the OJT program. This will ensure immediate resolution of
student/trainee’s concerns, if there is, as well as provide an opportunity to
evaluate the OJT program and follow up on the progress of the
student/trainee.
e. S/He is also be available for consultation with the student/trainee and
provide coaching and counseling assistance, if needed.
f. S/He is also responsible in evaluation the student/trainee’s reports, self-
evaluation and will give the final grading taking into consideration the
evaluation of the On-Site Supervisor.
Host Company

a. Assign an immediate supervisor who will monitor the attendance and


performance of the student/trainee for the duration of the training in coordination
with the adviser of the student;
b. Ensure through the immediate supervisor or through the Human Resource
Department that the student shall handle work load which are related to the
student’s course (in this case, related to computer engineering).
c. Ensures a safe working environment for the student undergoing practicum;
d. Evaluate the student’s performance, and submit the signed and sealed
evaluation form directly to the adviser.
e. Inform the CCSIT through the adviser any other matters related to the student’s
practicum program in the company.
f. Issue certificate of completion upon completion of the on-the-job training
program.
