Responsibilities:

(a) Procurement:
Oversee, supervise and manage all functions and activities in procurement department.
Prepare bid documents and ensure they are forwarded to the contracting committee for approval
Develop, implement, monitor and review procurement plans.
Ensure procurement records are accurate, up to date and in compliance with procurement policies and
procedures.
Develop and standardize procedures for receipt and use of office supplies.
Follow and enforce organization procurement policies and procedures
Review, compare analyze, and approve products and services to be procurement
Manage inventories and maintain accurate purchase and pricing records.
Maintain and update suppliers’ information such as qualifications, delivery times, product ranges, etc,
Maintaining good supplier relations and negotiating contracts
Research and evaluate prospective suppliers.
Handle the selection of appropriate suppliers and contractors to promote good procurement practice with due
regard to sustainability, ethical purchasing standards and costing.

(d) Asset Management.


Ensure that all the assets are encrypted upon receipt and recorded in the asset register before issued out,
ensure that the assets are issued out upon the approval of the Budget holder and Accounting officer. Keeping
the asset register up to date, truck the assets from the last user and ensure they are in good conditions,
reconciling the asset register bi-annually.

(e) Administration.
Managing the office front desk, Receiving visitors, and managing all official communication to guarantee
efficient support to the respective projects. Organize both internal and external meetings by coordinating all
the related logistics to ensure the smooth and successful occurrence of the meetings, Managing office supplies
to ensure that they are readily available when needed and are efficiently used. Supervising the people hired to
do the cleaning services.

Received and dispatched cargo from Free and Bonded warehouse, coordinated with URA Bond in charge for the

charge, supported the warehouse manager in preparation of monthly reports, ensured the clients cargo is not

workers on a daily basis at the warehouse, ensured the warehouse is kept clean and the pathways are not
blocked at all times, ensured the warehouse equipment like the fire extinguishers, forklifts, trollies and pallets

not offloaded at the premises including directing them at final destinations where the cargo is to be offloaded.
