PART 1

INTRODUCTION

Information and communication technology (ICT) encompasses all activities related

to data, software, hardware, people and procedures (see table 1). ICT is the technology used
to handle communication processes such as telecommunications, broadcast media,
audiovisual processing and transmission systems. Information technology includes all aspects
of information processing, engineering, and processing, as well as the use of aids to aid in
information processing.

Computerized
systems are being employed
at an unprecedented
rate in practically all
disciplines, from medicine and space exploration to education and the financial and
manufacturing sectors. Many different types of complex systems are now being used and
developed as a result of rising demand from a variety of different areas. Historically, there
were two eras before the information age - the industrial and agricultural eras - but it is the
twenty-first century that has brought us this information age.

The courier service continues to evolve, and technology likewise continues to play a vital role
in this evolutionary process. In the past, people used animals to deliver items; today, some
companies use trucks that don't even require any drivers. You can expect more changes like
that happening over the next decade but for now, many ways technology is leaving its imprint
on the industry.

THE USE OF INFORMATION TECHNOLOGY IN COURIER SERVICE

Information technology is used by the courier services industry in a wide variety of

ways. Over the past decade, we have seen a wealth of improvement in services, performance,
and choices. Many courier services have moved into delivering more bulky types of
packages. The parcel sector is still thriving because of technology, though. More businesses
and entrepreneurs are now choosing to use courier services to deliver items bought online.

The advancement of information technology in the past few decades has greatly
increased the competitiveness of businesses and economies around the world. It helps
integrate all internal parts of the company into a business transaction to improve service
quality as well as productivity. The use of ICT in courier services can also help to grow
rapidly in a short time as merchants can make promotions by advertising their products
through the facilities available in courier service applications such as those on social sites
such as Facebook and Twitter quickly and effectively without the need to incur huge costs.
The courier service application can be updated at any time if there is new information about
the business that wants to be communicated to customers in particular.

INFORMATION TECHNOLOGY SUPPORT FOR COURIER SERVICE IN

MALAYSIA

The Malaysian courier services market continues to attract new investment from
international and domestic investors. Participation by J & T Express (M) Sdn Bhd in the
service industry will change the industrial landscape in 2019. The key lies in providing
specialized services to customers, such as personalized service choices. These require the use
of the most up-to-date delivery solutions and a commitment to improving operational
processes. It’s can be justify as below example:

Delivery Tracking

A real-time GPS tracker makes monitoring vehicles and cargo much easier. Tracking
and monitoring vehicles and their cargo is easier with a courier service app because it's web-
based. It can also help with recording data and more. This makes business more efficient and
results in an increase in productivity. If you buy something online today, you can check the
progress of your delivery in real time on your smartphone. In the past, customers would have
to insert a tracking code and receive news only once the package had been scanned. Now,
customers can use GPS tracking to get more accurate information about where their package
is.

Delivery Times

With today's jam-packed schedules, finding time to wait for a delivery is incredibly
difficult. The delivery environment is changing as a result of the support of information
technology, with speedier deliveries becoming the norm. Due to the large number of
deliveries that must be made on any given day, as well as the increased need for matching
client timetables, courier services have stepped up their game or risk losing business to
competitors. When dealing with multiple destinations, information technology is a useful tool
to build the most time-efficient route. However, couriers may save time and money by using
a route planner application to find the best path depending on the number of destinations and
their locations. Information technology makes it easier for couriers to get to all of their
destinations quickly and avoid making their customers wait all day.

In general, information technology able to support in the reduction of mistakes, the

saving of time and money, and the development of more efficient and consistent corporate
operations. These more efficient businesses are frequently more productive and lucrative.

Furthermore, having access to accurate real-time data and information allows for clear
communication with customers, thereby boosting the quality of service, support, and
customer happiness.

DOWNSIDE OF INFORMATION TECHNOLOGY IN COURIER SERVICES

A courier service is one of the business activities that uses a system or application to
ensure that the ordered goods are delivered quickly, quickly and correctly. In Malaysia,
Internet business activities are becoming more popular and gaining popularity nowadays,
making courier services increase in line with the country's development and economic
progress. Courier services are not only for large companies; there are also small companies. It
also provides employment opportunities, either full-time or part-time. This shows that the
courier service is getting a warm response that is giving benefits to merchants, especially e-
commerce. This is not the only thing that can happen when people use high-tech information
systems or applications today.

Disruption of Internet Connectivity

The massive amount of traffic on the official website is unable to manage millions of
people at the same time while they are visiting the website to monitor their different
packages, and as a result, the website is not accessible. Finally, the website may be
unavailable at some periods, making it impossible to follow shipments with accurate
information.

Inadequate Technology

It is extremely difficult for courier service firms to incorporate new technologies and
access capabilities that might help them reduce shipping delays when they are using outdated
software or outdated hardware, which causes significant challenges. Using cloud-based
software and the appropriate gear, courier businesses may make it simpler to stay connected
while also generating revenue from real-time data.

DISCUSSION ON EXAMPLE OF COURIER SERVICE APPLICATION

In general, postal and courier services are services that are allocated to the task of
transporting papers, goods, and other objects from one location to another as fast and
effectively as possible. The following steps are involved in the delivery of postal and courier
services: collecting mail at the collection centre, sorting the mail based on location and
delivery destination, moving the mail to ensure timely delivery of mail, and distributing the
mail to the delivery destination. The integration of information and communication
technology (ICT) into the delivery of postal and courier services has the potential to
significantly improve the efficiency of the mail delivery process, ensuring that the proper
mail is delivered to the correct client on time.

Example 1: EASYPARCEL

EasyParcel is a web-based parcel consolidation and E-commerce delivery system that

allows customers to arrange delivery services with ease. Established in June 2014, EasyParcel
was formed with a mission to provide a simplified shipping platform where businesses could
book consignments for delivery at prices they couldn't achieve themselves. The platform
allowed users to book delivery services from a number of well-known courier companies in
Malaysia at a low price. Their ethos is to keep the small business mentality and treat each
customer with the time and care they deserve. Below is the process of EasyParcel (see )

Why EasyParcel

As a part-time entrepreneur who works from home to supplement my income, I am

always seeking the most efficient approach (in terms of cost, time, and energy) to conduct a
business activity in addition to working, studying, and caring for children. Below are the
three reasons why I chose the EasyParcel system to help me.

i. With EasyParcel, I no longer have to queue at post offices or go to the post

office to order items to be couriered. Customers can choose their favourite courier to ship
their goods, and they can self-service with just a few clicks on an electronic device. The
system will automatically generate air shipping bill numbers, shipping labels, and one-click
retrieval of your address. So I was able to pay attention to the task without having to move
from work simply to deliver the items ordered by the customer.

ii. The EasyParcel mobile app tracks all your shipments from over 90 courier
services, such as Pos Laju, J & T Express, Pgeon, and many more. The best part is that your
search results will be automatically saved on the history tab. For example, if I know the

7

parcel's whereabouts at any point in time after handing it over to the courier, I can contact
EasyParcel support for immediate assistance.

iii. By having QuickSend in the EasyParcel system, it is the easiest and fastest
way to import orders from Facebook, Instagram, WeChat, WhatsApp, and LINE for booking
deliveries. Customers can make purchases via personal messages and chats, and we do not
need to key in orders one-by-one. It really helps me to administrate the delivery bookings.

Benefits of EasyParcel

EasyParcel became my choice because:

i. Custom Tracking Short Message Service (SMS): We know that running an e-

commerce business can be a lot of work but how do you make it work? Automating daily
workflows can have a real impact on productivity and customer relationship management.
Custom Tracking SMS might change the game plans and enhance the expertise of your daily
task management. It also increases efficiency by integrating automated workflows into your
e-Commerce business. EasyParcel's most popular feature is custom SMS tracking. I may send
essential messages to customers using Custom Tracking SMS, such as new product
promotions, product launches, or whatever messages are transmitted to persuade buyers to
return to buy my sales products. I may also make use of pre-existing information like
Tracking No, Tracking URL, Sender's Name, and so on. With the help of our tracking SMS, I
have saved my precious time to attend family dinners, friends' gatherings, enjoy a movie, or
even earn more sleep time. Make a high-end experience for customers and give them your
own coupon code to keep them coming back for more.

ii. Bulk Upload: This tool ensures the information passed between businesses and
EasyParcel is consistent and therefore as accurate as possible. It's also important for my
business's reputation that I get parcels out as quickly and accurately as possible, so I use the
EasyParcel XLS upload tool to make sure that parcels are processed quickly and accurately
every time. Bulk Upload is a feature that lets you quickly and easily enter a lot of orders from
your customers at the same time. Easily upload sales data to the EasyParcel system by
entering the delivery details into the XLS template (Microsoft Excel or Open Office). A lot of
time and effort are saved by this. It's one of the things that makes my life easier.

An Internet-connected computer, laptop, or smartphone with a Google Spreadsheet or

Microsoft Excel at least and Wi-Fi access as well as a printer are necessary in order to use the
EasyParcel application on your device.

Example II: DELYVANOW

Delyva was founded in 2019 with the goal of making distribution more accessible to
businesses of all sizes. Among them is a micro entrepreneur who runs a home-based business.
DelyvaNow is a smart delivery management software that helps e-commerce and q-
commerce firms save time and money on deliveries, retain more consumers, and grow more
quickly. Our DelyvaNow technology connects e-commerce and q-commerce firms to instant
delivery and express couriers, allowing receivers to follow deliveries in real-time and picking
the best courier for each purchase.

Meanwhile, DelyvaX is a SaaS-based delivery management platform that helps e-

commerce, q-commerce, and delivery service providers manage delivery using their own
riders or drivers, as well as integrate with third-party courier providers of their choice. It was
formed by the creators of Matdespatch, a same-day delivery startup. It is on a mission to
democratize delivery for businesses of all sizes, with more than 18 on-demand and fast
courier partners. Delyva is an online platform available for all Malaysian and overseas
mailing matters. The platform also focuses on merchants who want to save on posting costs
while helping them upgrade their business systems. The Delyva system is free for
registration, and the use of selective top-up plans has been introduced so that traders can
adjust their budgets.

Why DelyvaNow

I chose DelyvaNow because it can help me save time by picking a courier service or
express delivery company that has the best reputation for making sure that every package gets
to its destination in one piece.

i. DelyvaNow provides a delivery service that guarantees fast, safe, and reliable
delivery. It only took me an hour or less to choose a destination in the Klang Valley, Johor
Bahru, or Penang. Compared to other delivery service providers, we cover a longer delivery
distance than others.

ii. With DelyvaNow, the power of choosing a courier and an express courier is
now in the hands of consumers. The app also allows me to send items to loved ones anytime.
For example, daily food orders, flower deliveries, household items, kitchen items, and more
can be sent without contact (contactless delivery) to customers. In the era of the COVID-19
pandemic, standard operating procedures are in force very strictly.

iii. DelyvaNow provides express courier delivery and instant delivery options, as
well as tracking status notifications given via email, SMS, or computer or smartphone. Users
can also enjoy various special discounts, even if they make a minimum delivery, additional
insurance coverage for items worth RM200 and above, and many other benefits. The app also
lets you quickly print labels on A4 or A5 paper or A6 stickers, figure out how much each
parcel will cost with express courier and online delivery services, and set up parcel pick-up
and delivery times.

Benefits of DelyvaNow

The DelyvaNow system is a flexible delivery booking platform that suits my needs. It
benefits me in terms of time savings and delivery costs.

i. The DelyvaNow system makes it easy for me to access multiple fast and on-
demand delivery services through a single platform. The system works to streamline shipping
management so I can focus on selling items and growing the business. It helps strengthen e-
commerce as a growing place of social commerce and makes online business more efficient.

10
CBCT

ii. Another key benefit of using the DelyvaNow system is that I can follow
shipments directly as an e-commerce customer. This integration ultimately improves the user
experience. In Malaysia, the DelyvaNow system includes on-demand delivery partners in
more than 20 cities. This made it easy for me to expand the business to new places where on-
demand delivery services were already available.

It's my opinion that DelyvaNow is an online platform that helps e-commerce

businesses save money and time on delivery while also keeping more customers and growing
more quickly, all at the same time. Similar to the EasyParcel programme, the DelyvaNow
application requires the use of a computer, laptop, or smartphone, as well as Internet or Wifi
access, and a printer to function properly.

CONCLUSION

A company's ability to manage activities and services both internally and externally is
becoming increasingly crucial as the economy and numerous sectors continue to expand and
advance at a rapid pace. Modern communication technology enables businesses to
communicate with consumers, managers, and workers in a more timely and effective manner.
With high-speed internet connections available today, it is easier than ever to design a more
efficient professional landscape, which includes the manufacturing industry and courier
services.

It is very important to think very carefully about the information technology that will be used
on the courier service app in order to make sure that the items that people order arrive on time
and in the right place.
