Victorious Momentous Event Management is a company that offers various event-


related services and goods at a reasonable price. This organization works for an
outstanding event outcome while striving to gratify and exceed the perceptions of each

Mr. Jhan T. Padigos, our event proprietor and director, founded Victorious
Momentous Event Management Company on February 1, 2021. He decided to start an
event management company on that day because he considered celebrating his additional
year by investing all his money to start a company. In this aspect, he could celebrate his
additional year while reaching his victorious moment in his life. However, the event
management company launch was almost hindered by several problems and challenges,
including the Covid-19 Pandemic. Nonetheless, he was able to start the event
management company and provide products and services to clients even though there are
still Covid-19 Pandemic policies in the City. Fortunately, the year 2021 was the year that
community quarantine protocols of the Covid-19 Pandemic have amended.

All Mr. Padigos focus is for people to be able to celebrate their victorious


moments the way they desire, even amid a pandemic, he wanted to provide the clients
with the most successful experiences possible. With this, the company's target market is
middle-class couples or individuals who wants to experience the grandest and the most
lavish moments at a reasonable cost, he aimed to help people in planning their
victorious occasions. He wanted to provide them with the finest possible outcome and
make a huge impact and influence on the clientele. All of his experiences and hardships

became his motivation to continue what he initiated, and the event management firm is
still in operation, striving to be recognized as one of the most successful event

performer of some events he attended and he just admire how the event sector runs in the

The launching day of the event management company, which is on February 1, 2021 was
the birthday of the owner of the event management company. The owner wants to invest his
money in a right way rather than celebrating his birthday. With the support of his family,
friends, few people who believed in him and his Professor Dr. Clareziel B. Ladringan, he
instantly decided to set foot in the business industry. Although he had a lot of struggles and
challenges just to form the Victorious Momentous Event Management Company including
his little savings are not enough to establish the business. However, he tried his luck many
ways just to reach his desire goals of putting all his money in a right and just way. He tried
to borrow money from the bank, loans there and everywhere, but the most challenging part
of it was it was launched during the peak of Covid-19 Pandemic. He challenged himself to
introduce his event business in Covid-19 era. Luckily, the year 2021 was the start of lifting
all the restrictions and protocols of the government. Nonetheless, all his sacrifices and
struggles were paid the way he envisioned it. Mr. Jhan Dale T. Padigos, who graduated as
Bachelor of Science in Tourism Management, wants to have a business that only him and his
regular staff or event team takes the total control and manage it, together with some factors
such as; to have easy tax reporting, especially low startup money or costs. The event
company was just only instant and unexpected business, he also doesn’t want stress with
handling plenty of partnerships and regular human resources. However, he considered his
supplier as his partnerships but only an on-call basis.

day, it continues to fulfill and help people to reach their desired moments in their special

B.) HANDLING COMPLAINTS

Problem and challenges will always occur especially in executing the event management. If
a problem occurs or if the client was not satisfied or does not meet his/her perception in the event,
the event company will handle it to prevent unsatisfactory reputation of the event management
company. Therefore, the event management company will seek and provide plans to prevent it.
There are 5 rules in handling complaints of customers.
 Have a strategic plan - Have a clear, flexible welcoming and open policy on complaints. A
complaint is a gift came from the clients/customer because it is where the event company see
what areas or processes will need improvement.
 Train each event team member in handling complaints- Give them confidence to tackle the
difficulties and complaints of clients, and let them plan out response or actions to it. It is one
of the strategies if the event director cannot face the client or has an urgent meeting.
 Properly disseminate tasks and instructions – This will prevent problem and complaints from
occurring.
 Ensure that you can process all complaints from all sources - There are 4 main ways to
complain – in person, by telephone, by mail, by email/internet. Your organization/event team
must be able to handle all of these efficiently.
 Give complaining enough priority and authority – Event team members should be aware that
complaints are a top priority for the event operation, and anyone who deals with them must
have sufficient authority to resolve them completely.
 Set up processes to log and analyze all complaints and share with everyone – the event
company will learn a lot about problems with internal processes, training, specific
employees/managers, and product for free, it can also help the event company find the areas
that needs improvement.

PROCESSES AND ACTIONS


 Thank the customer for complaining and listen carefully - Say sorry for the problem that has
happened. This is not an admission of guilt and it does demonstrate respect for the customer.

 Listen Carefully and put yourself in his/her situation - Person who are handling complaints
must have active listening and must focus on the context of the client’s complaints to
provide and execute response and solutions. This will instantly give the event company an
advantage, as the event team not only will have more empathy with the customer, but also
the event team know the business better than them and so can hopefully see the solution
quicker.
 Understand the client and start with the view that the customer has a valid point - It is true
that there are some professional complainers, but they are in the minority. If event company

are a local base, the event team probably know them anyway. Accepting the customer may
well have a point can trigger ideas for an acceptable resolution.

 Show empathy – Provide anything you can offer like water, a chair to sit and a room for
private conversation to a customer for them to stay calm, and resolve problems privately.
This will also let the clients know that you sincerely care for them.

 Get all the facts first or seek for evidences - Let the customer give all information. This will
help the event company fully understand the situation and, if the customer is emotional, this
will give them time to calm down. Don’t offer the complainant a gift straight away. It’s very
tempting to give the customer a gift, or vouchers. In many cases it is good service, but too
often it is done instead of solving the problem, which can lead to more complaints about the
same thing because it hasn’t been fixed.

 Correct the mistakes or resolve the problem – Provide achievable and possible response to
the complaints by being objective and professional. Make sure that your responses are align
on the problem and quick.

 Learn from every complaint – This will give the event company the time to change and
innovate the processes and ways of executing the services. It is where the event company
learn and see problems of the event processes and needs for improvements. Fix the process:
Train event team in the issue and eliminate the fault. Wherever possible let the complaining
customer know that they have helped you resolve a problem. They’ll come back again and
again and will probably spread the word.

 Minimize reasons for complaints – Assess areas that needs development and quickly
innovate achievable response. Do frequent assessment in the event processes, scan and
understand evaluation forms.

 Always respond - In person complainers hopefully always get dealt with, but make sure that
everyone who complains on the telephone, by letter, or by E-mail gets a rapid and
appropriate response.

 Listen to your event team – Always seek for suggestions and other opinions because some of
them might help the function or the execution of the services you have and it will also
prevent challenges or complaints to occur. They nearly always care about your company and
doing a good job and are much closer to the customers than you are. Ask their views
regularly and make changes when they are sensible. Make sure their complaints are handled
too.

 Lead by example – As the event director, you should be the role model in your event team
because this will affect their performance if your management is good and fair. It’s not that
your staff don’t listen to what you say, it’s that they do listen, so make sure that you are
always setting the right example and giving complaints your personal priority. Reward good
complaints handling.

VII. SAFETY PRACTICES AND PROTOCOLS

This section emphasizes the safety protocols and procedures of the event, as well as
the safety practices for stakeholders, partnerships and organizing team.

A. General hygiene and safety practices

1. Personal Hygiene and Safety for Organizing Team

 Wear an appropriate and well-lifted face mask if required (during event, common
areas, wherever and whatever in contact with guests and/or co-workers.
 Wash hands with soap and clean water.
 Maintain high standard of personal hygiene.
 Change uniform if necessary and use appropriate clothes for the event, including
gloves, footwear and appropriate mask for handling foods and beverages (both guests
and organizing team.)

 Others:

 If staff have symptoms of Covid-19 or positive for the virus, they should not come to
work. If the situation occurs while at work, the organizing member must not continue
to work and isolate themselves in accordance with the local health regulations.
 Employers or Event Director or Manager must provide health equipment, including
body temperature screening machine to mitigate the spreading of the virus. In
addition, they must assess symptoms of staff prior to entering the facility, and
consider rapid tests for suspected cases or as a routine procedure.

2. Sanitation Facilities for Employees

 Handwashing stations or hand sanitizers in multiple locations.


 Use touch-free stations, where possible.
 Make sure restrooms are well stocked with soap and drying materials.
 Provide readily available additional face masks for guests and organizing team,
and face shield if necessary, for organizing team.

3. Safety and Hygiene Planning and communication

 Event Director and/or Manager must look for safety signs and reminders in the event
venue.
 Post signs and reminders at the entrance and in strategic places that also considers the
persons with special needs.

4. Cancellation.

refund. If the Client cancels less than 14 days prior to the Wedding Day, the Client will not be entitled to a refund.

By Planner. The Planner may cancel this Contract at any time. If the Planner cancels, the Planner must provide a
suitable, replacement planner, subject to the Client’s approval, which shall be obtained in writing. In the
alternative, the Planner shall refund all monies previously paid by the Client, including any non-refundable
deposits. In the event the Planner finds a suitable replacement planner, the Planner shall forward all monies
previously paid by the Client to the replacement planner, less any monies the replacement planner agrees have
been earned by the Planner for services performed until the date of cancellation.

5. Planner Limitation of Liability. The Planner will endeavor to find top suppliers and/or service providers.
However, the Planner does not guarantee any suppliers’ and/or service providers’ performance and/or
product. The Planner will not be responsible for any supplier and/or service provider performance and/or
product. In the event the Client changes the date of the wedding, the Planner will make every effort to
accommodate, but the Planner’s availability is not guaranteed for any other date than the date stated
above.
6. Dispute Resolution and Legal Fees. In the event of a dispute arising out of this Contract that cannot be
resolved by mutual agreement, the Parties agree to engage in mediation. If the matter cannot be resolved
through mediation, and legal action ensues, the successful Party will be entitled to its legal fees, including,
but not limited to its attorneys’ fees.
7. Severability. In the event any provision of this Contract is deemed invalid or unenforceable, in whole or in
part, that part shall be severed from the remainder of the Contract and all other provisions will continue in
full force and effect as valid and enforceable. 
8. Legal and Binding Agreement. This Contract is legal and binding between the Parties as stated above.
This Contract may be entered into and is legal and binding both in the United States and throughout
Europe. The Parties each represent that they have the authority to enter into this Contract.
9. Governing Law and Jurisdiction. The Parties agree that this Contract shall be governed by the State and/or
Country in which the wedding will occur.
10. Entire Agreement. The Parties acknowledge and agree that this Contract represents the entire agreement
between the Parties. In the event that the Parties desire to change, add, or otherwise modify any terms,
they shall do so in writing to be signed by both parties.
11. Acts of God. If an act of God, such as a fire, flood, earthquake or other natural calamity shall cause you to
cancel your wedding; The company will require payment only for the time actually spent planning your
wedding.

damages or claims that may arise in connection with Supplier’s presence at the

Contract for the Venue

This contract is for the rental of a venue that is made on this day, _________, by and
between __________, hereafter referred to as the Owner, and _________________, hereafter
referred to as the Renter.

Whereas, the Renter desires to temporarily rent, occupy, and make use of the Owner’s

Whereas, the Owner agrees to such rental, occupation, and use in consideration of certain

associates, guests, invitees, contractors, and all other persons whatsoever who

enter the venue during the rental period, whether or not such persons did so with
Renter’s knowledge or consent.
7. In the event, that Renter fails to pay the balance due within the time period agreed
upon in this contract, interest shall accrue upon the unpaid balance at the rate of X
% per year until its paid. The Renter shall also be liable to the owner for any legal
fees, court, costs, and other expenses associated within the collection.
8. Renter will be liable for any physical damages, legal actions, and/or loss of
reputation or business opportunities that the Owner may incur as a consequence of
the actions of the Renter or any of the Renter’s guests while the Renter in control
of the venue, and shall indemnify and hold harmless the Owner against any legal
actions which may arise from Renter’s use of the venue.
9. Any disputes arising under this contract shall be adjudicated in the Owner’s local
jurisdiction.
