1 Introduction
NOTE: The display screens that appear in this document and the data values within them are for
representational purposes only and may vary slightly from what appears on each display.

The Certegra® Applications and Workstation Accessories operation manual provides instructional information on
optional applications and accessories available for the Certegra® Workstation. Except where specifically identified,
the functionality of each application and accessory applies to all supported injector systems.

NOTE: Each application and accessory may be sold separately or optionally turned on. Not all
applications and accessories are available in all markets. Contact a local product representative
for Bayer for more information or check country-specific operating instructions.

NOTE: Screen images in this manual are for illustration purposes only. Actual screens may vary.

1.1 Certegra® Workstation


The Certegra Workstation provides a platform that enables the management of contrast-enhanced injection
information from devices from Bayer as well as the exchange of this information to other devices within the
imaging suite. The system is designed as a scalable platform that hosts multiple licensed applications.

NOTE: Operating specifications, options, accessories, and feature availability may vary by country. Check
with a local product representative for Bayer and country-specific operating instructions.

1.1.1 Workstation Cybersecurity


When Informatics is enabled, the Certegra Workstation hard drive can contain Protected Health Information (PHI).
The security and privacy of this information must be safeguarded by all individuals interacting with the device. Prior
to disposing of the workstation, this information must be removed from the hard drive inside the system. Contact
Bayer or a local authorized dealer for further information. Refer to the back cover of this manual for contact
information.

1.2 PACS, Speech Recognition (SR) Systems, and RIS


PACS, Speech Recognition (SR) Systems, RIS, and other licensable features send information from the injector to
hospital information systems and can update other hospital systems with documentation about the injection when
licensed and enabled. This information includes, but is not limited to: patient, study, injection amount, contrast
name, contrast concentration, and more. The data available for interface is flexible and determined in discussion
with the customer.
These features are enabled via a technical setup performed by Service or an authorized designate. These features do
not have any user interaction or interface on the injector.

3 Informatics Panel
The Informatics Panel is the left-hand section of the Certegra Workstation user interface and enables the
interaction with the licensed applications and management of informatics. The Informatics Panel manages
information important to injection procedure. Key groups of information managed through the Informatics Panel
include patient information, procedure information, fluid information, procedure notes, and events information.

3.1 Data Flow


The following steps describe the data flow of a typical injection procedure when the Informatics Panel is used in
conjunction with the Certegra Workstation:
1. Prepare the imaging procedure on the modality and prepare the injector.
2. Enter information in the Patient and Procedure tabs.
3. Enter information in the Fluid A and Fluid B tabs.
4. Enter information in the Notes tab.
5. Initiate the injection and the scan.
6. Certegra Workstation captures injector system data as the injection occurs.
7. When the injection completes, the injection information is automatically matched to the patient,
procedure, fluid, and notes information and stored in the Certegra database.

3.2 Managing Patient Information

3.2.1 Add or Edit Patient Information for Next Injection


Prior to the injection, add the patient information to the injection record by using the Patient tab of the Informatics
Panel.
1. Select the Patient area of the Informatics Panel (Figure 3 - 1: Informatics Panel - Patient Information).

2. The Patient tab displays. Enter information into all relevant fields:
a. Patient’s ID, Last Name, First Name
i. Select ID, Last Name, or First Name field (Figure 3 - 2: Patient Tab - Patient ID, Last Name, First
Name Entry).

ii. Enter data with the alphanumeric keyboard.
iii. Press Enter to accept changes made to a patient’s ID, last name, or first name, or press Cancel to
ignore changes made.
b. Patient’s Date of Birth
i. Select the DOB field (Figure 3 - 3: Patient Tab - Date Selection).

ii. Above the numeric keyboard, select the Month, Day, or Year fields.
iii. Enter the month, day, or year data with the numeric keyboard.
iv. Press Enter to accept changes made to a patient’s date of birth, or press Cancel to ignore changes
made.
c. Patient’s Weight and Height
i. Select the Weight or Height field (Figure 3 - 4: Patient Tab - Weight Selection).

ii. Enter the appropriate data with the numeric keypad.
iii. Press Enter to accept changes made to a patient’s weight or height, or press Cancel to ignore
changes made.
d. Patient’s Gender
i. Select the Gender field (Figure 3 - 5: Patient Tab - Gender Selection).

ii. Select the value from the Gender list. When the value is selected, the Gender field is updated, and
the list disappears.
iii. To clear the current gender, press Clear. To ignore changes made to a patient’s gender, press Can-
cel.
3. Press OK to accept all changes made to patient information, or press Cancel to ignore all changes made to
patient information.

3.2.2 Clear All Patient Information for Next Injection


Prior to the injection, clear patient information from the injection record by using the Patient Tab of the Informatics
Panel.

1. Select the Patient Information area from the Informatics Panel.


2. Press Clear All.
3. A message displays. Press Yes to confirm, or press No to return to the Patient tab.
4. Press OK to save changes made.

3.2.3 Cancel Edits to Patient Information for Next Injection


On the Patient Information tab, cancel any edits to the patient information for the next injection by selecting
Cancel. The changes being made are canceled, and the system returns to the Home screen.

3.3 Managing Procedure Information

3.3.1 Add or Edit Procedure Information for Next Injection


Prior to the injection, add procedure information to the injection record by using the Procedure tab of the
Informatics Panel.
1. Select the Procedure area from the Informatics Panel (Figure 3 - 6: Informatics Panel - Procedure).

2. The Procedure tab displays. Enter information into all relevant fields:
a. Technologist ID
i. Select Technologist ID field (Figure 3 - 7: Procedure Tab - Technologist ID Entry).

ii. Enter technologist ID with the alphanumeric keyboard.
iii. Press Enter to save changes made, or press Cancel to ignore changes made.
b. Injection Site
i. Select Injection Site field (Figure 3 - 8: Procedure Tab - Injection Site Selection).

ii. Select the value from the Injection Site list. When the value is selected, the Injection Site field
updates, and the list disappears.

NOTE: If the correct injection site does not show, but arrows appear, press the Up or Down arrow to show
additional entries. If the Injection Site is not in the entire list, refer to 5.3.4 - Hide or Show a Value
in a User-Created List to show additional entries in the Injection Site list.

iii. Press Clear to clear the existing value, or press Cancel to ignore changes made.
c. Accession Number and Study Description
i. Select Accession Number or Study Description field (Figure 3 - 9: Procedure Tab - Accession Num-
ber/Study Description Entry).

ii. Enter data with the alphanumeric keyboard.
iii. Press Enter to save changes made to the accession number or the study description, or press Can-
cel to ignore changes made.
d. Catheter Gauge
i. Select Catheter Gauge field (Figure 3 - 10: Procedure Tab - Catheter Gauge Selection).

ii. Select the value from the Catheter Gauge list. When the value is selected, the Catheter Gauge field
updates, and the list disappears.

NOTE: If the correct catheter gauge does not appear on the Catheter Gauge list, but arrows appear, press
the Up or Down arrow to show additional entries. If the Catheter Gauge is not in the entire list,
refer to 5.3.4 - Hide or Show a Value in a User-Created List to show additional entries in the
Catheter Gauge list.

iii. Press Clear to clear the existing value, or press Cancel to ignore changes made.
3. Press OK to save all changes made to procedure information, or press Cancel to ignore all changes made.

Prior to the injection, clear procedure information from the injection record by using the Procedure tab of the
Informatics Panel.
1. Select the Procedure area from the Informatics Panel.
2. Press Clear All.

4. Press OK to save changes made.

3.3.3 Cancel Edits to Procedure Information for Next Injection


On the Procedure tab, cancel any edits to the procedure information for the next injection by selecting Cancel. The
changes being made are canceled, and the system returns to the Home screen.

3.3.4 Load Defaults into Procedure Information for Next Injection

NOTE: To configure default procedure information, refer to 5.2 - Configuring Informatics Panel Defaults.

Prior to the injection, load default procedure information into an injection record by using the Procedure tab of the
Informatics Panel.
1. Select the Procedure area from the Informatics Panel.
2. The Procedure tab displays. Press Load Defaults (Figure 3 - 11: Procedure Tab - Load Defaults).

3. Press OK to save changes made.

3.4 Managing Fluid Information

3.4.1 Add or Edit Fluid Information for Next Injection (Fluid A or Fluid B)
Prior to the injection, add patient information to an injection record by using the Fluids area of the Informatics
Panel.
1. Select the Fluid area from the Informatics Panel (Figure 3 - 12: Informatics Panel - Fluids).

2. The Fluid A tab displays (Figure 3 - 13: Fluid A Tab).

NOTE: Select Fluid B to open the Fluid B tab.

3. Enter information into all relevant fields:
a. Source Type: Fluid A
i. Select the Source Type field (Figure 3 - 14: Fluid Source A Selection).

ii. Select the value from the Fluid Source list. When the value is selected, the Fluid Source field
updates, and the list disappears.

4 Modality Worklist
The Modality Worklist is an application that enables the use of the department's Modality Worklist server to identify
and select the patient and study for the next contrast injection procedure, and to automatically populate the
patient and procedure information sections in the Informatics Panel. When the application accesses the
department's Modality Worklist server, a set of patient and study records are pulled into the Certegra Workstation's
system to create an internal Patient Worklist.

NOTE: Due to different integrations with the Informatics Panel, the Modality Worklist may not be
applicable to all systems.

4.1 Select a Patient

4.1.1 Setup the Patient and Study Information for a Contrast Injection
To set up the patient and study information for a contrast injection using the Modality Worklist feature on the
Certegra Workstation:
1. Select Patient Worklist from the Certegra Workstation home screen (Figure 4 - 1: Patient Worklist).

2. An active call is made to the facility’s Modality Worklist server. The resulting entries display on the Patient
Worklist screen (Figure 4 - 2: Patient Worklist Main Screen).

3. Identify the appropriate patient and study for the next contrast-enhanced study.
4. Select the patient by pressing any of the elements associated with the patient entry row in the Patient
Worklist. This confirms the patient and study selection for the next injection procedure, returns the system
to the Certegra Workstation home screen, and populates the Patient and Procedure tabs with the
appropriate information.

4.1.2 Anonymous Patient Entry for a Contrast Injection


Use the Anonymous Patient button to enter a pre-determined patient name as a placeholder when patient
information is not available. Pressing the Anonymous Patient button populates the first and last name fields with
pre-determined values (for example, “John Doe”) and clears other specific fields.

NOTE: To configure Anonymous Patient values, refer to 10.10.1 - Enable and Configure Anonymous
Patient.

To enter an anonymous patient for an injection:

NOTE: Anonymous patient can also be selected after the injection using Data Confirmation. Refer to
6.3.3.1 Update Patient Worklist Selection Using Anonymous Patient for more information.

1. Select Patient Worklist from the Certegra Workstation home screen.


2. An active call is made to the facility’s Modality Worklist server. The resulting entries display on the Patient
Worklist screen.

4.2 Update the Patient Worklist from the Modality Worklist Server
Open the Patient Worklist by selecting Patient Worklist from the Certegra Workstation home screen. An active call
is made to the department's Modality Worklist server, and the resulting entries display on the Patient Worklist
screen.
To update the Patient Worklist at any time while on the Patient Worklist main screen, press Update (Figure 4 - 4:
Update Patient Worklist).

4.3 Find a Patient in the Patient Worklist


To open the Patient Worklist, select Patient Worklist from the Certegra Workstation home screen. An active call is
made to the department's Modality Worklist server, and the resulting entries display on the Patient Worklist screen.

4.3.1 Sort the Patient Worklist (Applicable to All of the Patient Worklist Column Headers)

NOTE: Each Patient Worklist column headers can be sorted.

1. Press the applicable header.


2. A caret appears next to the header name.
3. Press the header again to sort in descending order.
4. Press the header twice to sort in ascending order.

4.3.2 Scroll through the Patient Worklist


Use the scroll bar on the right side of the Patient Worklist to scroll through the Worklist.
Q Selecting the up or down arrow symbols moves the Worklist one entry at a time.
Q Selecting and dragging the scroll bar slider up or down moves the list up or down until the slider is no
longer touched.
Q Pressing and releasing the scroll bar above or below the scroll bar slider moves one page's work of entries
up or down.
Q Pressing and holding the scroll bar above or below the scroll bar slider moves one page’s worth of entries
up or down until the slider reaches the touched point.

4.3.3 Create a Filter on the Worklist


To create a filter on the Patient Worklist:
1. On the Patient Worklist main screen, press Filter (Figure 4 - 5: Patient Worklist Filter).

returns all entries that start with the typed characters.

6 Data Confirmation
Use the Data Confirmation feature to review, edit, and confirm Informatics exam data post-injection to ensure the
correct information is captured as part of the patient’s electronic record and (if configured) sent to external systems.

NOTE: MEDRAD® MRXperion Users Only: This feature must be enabled for the Test Inject and KVO
volumes to be recorded, in addition to the Informatics exam data and injection data.

6.1 Enabling Data Confirmation


To enable Data Confirmation, configure the Data Confirmation button to On from Informatics Setup. Refer to 5.1 -
Setup Overview for more information. By default, Data Confirmation is not enabled.

6.2 Data Confirmation Screen


If Data Confirmation is enabled, the Injection Completed Screen displays with the Review Data button when an
injection is completed (Figure 6 - 1: Injection Completed Screen - Review Data).

Use the Fluid A button in Data Confirmation to retrieve contrast data for the completed injection. The Fluid A button

6.3.3.1 Update Patient Worklist Selection Using Anonymous Patient


Use the Anonymous Patient button to enter a pre-determined patient name as a placeholder when patient informa-
tion is not available. Pressing the Anonymous Patient button populates the first and last name fields with pre-
determined values (for example, “John Doe”) and clears other specific fields.

NOTE: To configure Anonymous Patient values, refer to 10.10.1 - Enable and Configure Anonymous
Patient.

To enter an anonymous patient for an injection:

Certegra Manager is a feature of the Certegra platform that manages data management applications and accessory
configurations.

7.1 Certegra Manager Login


Login to the Certegra Manager to access any of the features listed in Table 7 - 2: - Certegra Manager Features and
Functions.

NOTE: Access to the Certegra Manager is restricted to authorized users. A valid username and password
must be entered to log in. Once logged in, all functions in Certegra Manager are accessible.

1. Open a supported web browser on a computer that is on the same network as the Certegra Workstation.
2. Open the Certegra Manager URL.

NOTE: If necessary, contact Service or a local designated contact for the URL.

Use Mandatory Fields to require patient, procedure, fluid, and/or notes information to be entered for each injection
record.

NOTE: Enabling Mandatory Fields enables Informatics Panel and Data Confirmation. Disabling
Mandatory Fields does not disable either feature. For more information on Informatics Panel, refer
to 3 - Informatics Panel. For more information on Data Confirmation, refer to 6 - Data
Confirmation.

8.1 Configuration and Setup

8.1.1 Login
Mandatory field parameters are managed under Mandatory Fields. Login to the Certegra Manager to access
Mandatory Fields, listed under System Configurations. If already logged into Certegra Manager, skip to step 2.

NOTE: Leaving mandatory fields empty does not prevent the injector from arming or the injection from
starting and completing.

9 Multiple Accession Number


Use Multiple Accession Number to assign more than one accession number to an injection.

NOTE: Enabling Multiple Accession Number enables Informatics Panel and Data Confirmation. Disabling
Multiple Accession Number does not disable either feature.

9.1 Licensing
A license is required to enable the Multiple Accession Number feature. Contact Bayer for more information.

9.2 Enable
Login to the Certegra Manager to enable Multiple Accession Number, listed under System Configurations.
1. Login to Certegra Manager. Refer to 7.1 - Certegra Manager Login for instructions.
2. Select System Configuration.
3. Select Multiple Accession Number.
4. Select the check box next to Enable Multiple Accession Number.

9.3 Select Accession Numbers


Multiple accession numbers can be selected before starting or after completing the injection. The following steps
apply to both scenarios.

9.3.1 Select Accession Numbers Using Patient Worklist


1. Select Patient Worklist from the Certegra Workstation home screen or the Data Confirmation screen.
2. An active call is made to the facility’s Modality Worklist server. The resulting entries display on the Patient
Worklist screen.
3. Select the appropriate patient.
4. If more than one accession number is associated with the patient, the Multiple Accession Number screen
displays with the accession numbers assigned to the patient (Figure 9 - 1: Multiple Accession Number).

5. Select the applicable accession number(s), and press OK.

6. If one or more accession numbers are selected, the number of accession numbers assigned to the injection
displays in parenthesis under the procedure.

9.3.2 Select Accession Numbers Using Barcode Reader Accessory


If an MRN or accession number barcode is scanned using a barcode reader accessory, an active call is made to the
facility’s Modality Worklist server to find the applicable patient record. If more than one accession number is
associated with the patient, the Multiple Accession Number screen appears with the accession numbers tied to the
patient (Figure 9 - 1: Multiple Accession Number).

NOTE: If an MRN barcode is scanned, the Patient Worklist displays first. Select the applicable patient,
and the Multiple Accession Number screen appears with the accession numbers assigned to the
patient.

Select the applicable accession number(s), and press OK. If one or more accession numbers are selected, the number
of accession numbers assigned to the injection displays in parenthesis under the procedure.

9.4 Edit or Remove Selected Accession Numbers


Selected multiple accession numbers can be edited or removed before starting or after completing the injection. The
following steps apply to both scenarios.
If more than one accession number is associated with the patient, the Multiple Accession Number button appears
next to Accession Number under the Procedure tab (Figure 9 - 2: Multiple Accession Number Button).

NOTE: To access the Procedure tab, select the Procedure area from the Informatics Panel, or select the

Select the Multiple Accession Number button, and the Multiple Accession Number screen appears with the
accession numbers assigned to the patient (Figure 9 - 1: Multiple Accession Number). Select or deselect the
applicable accession number(s), and press OK.

9.5 Apply Selected Accession Numbers To Next Injection for Same Patient
Selecting Same Patient on the Data Confirmation screen applies the accession numbers selected for the previous
injection to the next injection for the same patient.

NOTE: Adding new or removing accession numbers for the next injection does not change the accession
numbers assigned to the previous injection for the same patient.

10 Data Manager
Data Manager is a key feature of the Certegra platform that allows hospital personnel to perform data
management activities from a supported injection system when an injection is completed. These activities are as
follows:
Q Injection Capture: Transfer injection information from an injection system to Data Manager. The captured
data are stored in a local database.
Q Access: Access injection data, stored in the database.
Q Matching: Create a link between an injection and study data.
Q Unmatching: Remove a link between an injection and study that was automatically matched by the
injector system.
Q Edit Injection: Edit patient, procedure, and fluid data of a selected injection.
Q Transfer: Transfer injection records to PACS or RIS/VR.
Q Hide/Unhide: Hide or unhide injection records for further processing in the system.
Q Export: Export injection information to a spreadsheet for data analysis and presentation.
Q Backup: Backup the entire Certegra database to a database backup file.
Q Restore: Restore a previously backed-up Certegra database from a database backup file.
Q User Management: Add a user and access account information.

10.1 Licensing
Data Manager is a licensable feature; therefore, a license is required to access this application.

10.2 Security and Compliance Safeguards


The following security and compliance safeguards are built into Data Manager:
Q Authentication: User credentials (username and password) are required to access the injection records
through Certegra Manager.
Q Audit Control: Modification of any ancillary data through Data Manager is audited. The Audit feature
tracks all modifications to records and captures the login credentials, the date of the change, and the
changes made to the record.

Login to Certegra Manager to access Data Manager. If already logged into Certegra Manager, skip to step 2.
1. Login to Certegra Manager. Refer to 7.1 - Certegra Manager Login for instructions.
2. Select Data Manager.

10.5 Edit Injector Details


When logged into Data Manager, the facility name, suite name, and injector name of the selected injector are
displayed in the navigation bar. Edit injector details on any page within Data Manager.
To edit the facility name, suite name, or injector name:
1. On the navigation bar, select the Edit button (Figure 10 - 2: Edit Facility, Suite, or Injector Name).

2. Enter information into the Facililty, Suite, and/or Injector fields.

10.6 Manage Injections


When logged into Data Manager, the Manage Injections page displays. Manage Injections can also be accessed by
selecting Manage under the Injections drop-down menu.
Under Manage Injections, perform any of the following tasks:

Q Edit

Q Hide/Unhide

10.6.1 Match

NOTE: Only one injection can be matched at a time unless Multiple Accession Number is enabled.

To match a specific injection record with study data:


1. Under the Injections drop-down menu, select Manage.

8. Select Match next to the appropriate injection record to match the injection with any study listed, or select
Cancel to cancel the operation.
9. If Match is selected, a confirmation message displays.

NOTE: If the incorrect injection record was matched to a study, unmatch the incorrect injection record
(refer to 10.6.2 - Unmatch) and re-match the correct injection record.

10.6.1.1 Match Additional Studies


If Multiple Accession Number is enabled, multiple studies with the same MRN number can be matched to an injec-
tion record.
When Match Search Results display, select Match Add’l Studies. A window displays the selected injection record
and a list of study records with the same MRN number. Select a study record by selecting the box under the "Match"
column; multiple study records can be matched at once.

NOTE: Studies already matched are noted as such and cannot be selected.

Select Match to match the selected study records to the injection record.

10.6.2 Unmatch

NOTE: Only one injection can be unmatched at a time unless Multiple Accession Number is enabled.

To unmatch a study from a specific injection record:


1. Under the Injections drop-down menu, select Manage.
2. Under Manage Injections, select Unmatch (Figure 10 - 8: Unmatch Injection Record).

NOTE: If the incorrect injection was unmatched from a study, re-match the injection to the correct study
(refer to 10.6.1 - Match) and unmatch the incorrect injection.

NOTE: Unmatching an injection does not automatically remove it from any PACS/RIS system to which
the record may have been transferred. To update or delete, necessary adjustments within the
interfaced system(s) need to be made.

10.7 Export
NOTE: Exports will not contain hidden injection records.

Export injection details into a Comma Separated Value (CSV) file for use in spreadsheet and database applications
and for more detailed data analysis and presentation.

To add a new user:

how to create a secure password. Select Close when finished.

10.10 Anonymous Patient


Use the Anonymous Patient button to enter a pre-determined patient name as a placeholder when patient
information is not available. For example, use the Anonymous Patient button when the scan cannot wait until
patient information is available. Pressing the Anonymous Patient button populates the first and last name fields
with pre-determined values (for example, “John Doe”) and clears other specific fields.

NOTE: Refer to 4.1.2 - Anonymous Patient Entry for a Contrast Injection for more information on
entering Anonymous Patient pre-injection.

NOTE: Refer to 6.3.3.1 - Update Patient Worklist Selection Using Anonymous Patient for more
information on entering Anonymous Patient post-injection.

10.10.1 Enable and Configure Anonymous Patient


Anonymous Patient values are defined and managed under Anonymous Patient in Certegra Manager. Anonymous
Patient must be enabled before Anonymous Patient values are defined. Login to the Certegra Manager to access
Anonymous Patient, listed under System Configurations. If already logged into Certegra Manager, skip to step 2.

11 Barcode Reader Accessory and Setup


11.1 Introduction
The barcode reader accessory (or barcode reader) is a data-entry efficiency tool available on multiple injector
platforms. The barcode reader allows for the population of data fields on the Certegra Workstation by scanning
barcodes associated with:
Q contrast identification (brand, expiration date, and lot/batch information),
Q chart identifiers (patient ID/medical record number [MRN] or accession number), and
Q technologist identification.
The barcode reader performs data entry operations and has no effect on the operation of injection procedures.

All of the following must be completed before the barcode reader can be used with the Certegra Workstation:

11.1.1 Disclaimers
To operate the barcode reader with the Certegra Workstation, the Certegra Workstation software must be at version
4.5 or higher.
Connecting the barcode reader to an unsupported injection system is an unintended use of the barcode reader.
The barcode reader is not compatible with the black Certegra Workstation.

11.2 Assemble Barcode Reader Accessory

11.2.1 Install USB Cable


1. Insert the USB connector clip into the cable interface port on the barcode reader. Cable will click when
correctly inserted into the port.

2. If applicable, remove the rear cover on the Certegra Workstation using a #2 Phillips screwdriver.

NOTE: If necessary, carefully tilt the face of the Certegra Workstation onto a flat service for better access
to both the rear cover and the USB ports.

3. Connect the USB end of the cable into the Certegra Workstation. Cable must be plugged into the Certegra
Workstation to power on.

4. The barcode reader emits low/medium/high beeping sounds to indicate it is operational.
5. If the rear cover on the Certegra Workstation was removed, reinstall the rear cover using a #2 Phillips
screwdriver.

11.2.2 Assemble Stand


To assemble the barcode reader stand for hands-free scanning:
1. Unscrew the wing nut from the bottom of the stand “neck.”
2. Fit the bottom of the flexible neck into the opening on the top of the stand base.

3. Secure the “cup” and neck piece to the base by tightening the wing nut underneath.
4. Bend the neck as necessary for optimal scanning.

11.2.2.1 Mount Stand (Optional)


The stand base can be mounted in a fixed position on a flat surface using two screws (not provided).
For screw mounting:
1. Position the assembled base onto a flat surface.
2. Screw one #10 screw (not provided) into each screw-mount hole until the base of the stand is secure. Use
an appropriate screwdriver that fits the screw selected.

11.3 Scan Initialization Barcode for System Use


To set up the barcode reader for use with the injector system:
1. Scan the barcode in Figure 11 - 5: - Initialization Barcode.

2. The barcode reader immediately emits high/low/high/low beeps to confirm the setup between the barcode
reader and the injector system was successful.
3. If not already completed, define barcodes for injector system use (12 - Barcode Configuration) before using

11.4 Verify Setup and Configuration for Use


NOTE: If configuration has not yet been completed, refer to 12 - Barcode Configuration.

1. Scan a Bayer pre-configured or configured barcode.

NOTE: Barcode cannot be scanned when the injector is armed or injecting.

2. If the barcode is successfully scanned:


a. The barcode reader emits a short high beep;
b. The scanned data will automatically appear in the applicable field(s); and
c. A green checkmark appears under the Events area of the Informatics Panel (Figure 11 - 6: - Events Tab
- Barcode Scans).
3. If the barcode is unsuccessfully scanned:
a. A red X appears under the Events area of the Informatics Panel (Figure 11 - 6: - Events Tab - Barcode
Scans). This error message denotes either an unsuccessful barcode scan, a barcode pattern not
configured for use with the system, or any attempt to scan a barcode when scanning is prohibited by
the system.

4. Review the information populated to confirm it has been inputted correctly.
5. For additional information on using the barcode reader with the system, refer to 13.2 - Scan Barcodes for
the Certegra Workstation.

12 Barcode Configuration
12.1 Login to Certegra Manager
Barcodes and barcode patterns are defined and managed using Barcode Configuration within Certegra Manager. To
access Barcode Configuration:
1. Login to Certegra Manager. Refer to 7.1 - Certegra Manager Login for login instructions.
2. Select System Configuration.
3. Select Barcode Configuration.
4. The Contrast Setup page automatically displays (Figure 12 - 4: - Contrast Setup).

12.2 Enable Barcoding


1. Login to Certegra Manager. Refer to 7.1 - Certegra Manager Login for instructions.
2. Select System Configuration.
3. Select Barcode Configuration.
4. Under the Management drop-down menu, select Barcode Configuration.
a. If Barcode Configuration is not enabled, the Barcode Configuration Setup page displays with a
message.

5. Select Enable Barcode Configuration. A checkmark appears in the box.

NOTE: Selecting Enable Barcode Configuration enables Informatics Panel and Data Confirmation.
Disabling Barcode Configuration does not disable either feature.

6. Select Save.

12.3 Bayer 2D Contrast Barcode


Contrast from Bayer could include a 2D barcode, which can store information for the following: contrast brand,
concentration, vial size, expiration date, and lot/batch. Refer to Figure 12 - 3: - Examples of 2D Contrast Barcodes.
These 2D barcodes are automatically configured with the Certegra Workstation and do not need to be defined in
Barcode Configuration. Scan the Bayer 2D barcode to populate contrast information into the appropriate fields.

If only Bayer 2D contrast barcodes will be used at the site, further configuration of contrast barcodes and barcode
patterns applicable to contrast is not required. Refer now to 11.4 - Verify Setup and Configuration for Use.

12.4 Configure Barcodes & Barcode Patterns for System Use


Defining contrast barcodes and barcode patterns aids the barcode reader to recognize encoded barcode information
as specific identifiers. Contrast barcodes are defined as fixed alphanumeric characters that represent contrast
information. Barcode patterns are templates that identify the variable information within the barcode (expiration
date, lot/batch, or patient/study).

NOTE: It is recommended to configure barcodes or barcode patterns that appear on the primary/vial
packaging instead of the outer packaging.

NOTE: Content embedded within barcodes vary and are driven by the manufacturer or the local hospital
IT department. Contact either as appropriate for questions about barcode content.

Once configuration has been completed, refer to 11.4 - Verify Setup and Configuration for Use.

12.4.1 Configure Contrast Barcode


Barcodes on the primary package normally represent the combination of contrast brand, concentration, and vial
size. Contrast barcodes can be configured to identify all of this information. Combinations of this information
should be configured separately.

through the barcode.

12.4.1.5 Pre-Configured Contrast


When enabled, Barcode Configuration will automatically be linked to the Certegra Workstation and share saved
information. If contrast was already programmed on the Certegra Workstation, such information will automatically
be added to Barcode Configuration.
Such entries in Barcode Configuration will not contain barcode information; add barcode information, and select
Update to save the pre-configured contrast.

NOTE: Deleting contrast barcodes in Barcode Configuration also removes this information from use in
the Certegra Workstation.

12.4.2 Configure Barcode Pattern (Expiration Date, Lot/Batch, and Patient/Study)


Barcode patterns are configured to identify:
Q Contrast expiration date,
Q Contrast lot/batch information, or
Q Chart identifiers (patient MRN or accession number).
The barcode pattern assigned to each of these three items will be unique in its combination of length, character,
and symbol. But for any one pattern, all instances of length, character, and symbol should be identical.

NOTE: If the patterns are the same for multiple contrast brands, they only need to be configured once.
For example, if multiple contrast brands contain the same expiration date template, only one
expiration date barcode pattern would need to be configured.

NOTE: If contrast packaging does not provide an expiration date or lot/batch barcode, the applicable
pattern cannot be configured.

NOTE: For troubleshooting, refer to 12.5 - Configuration Troubleshooting and Notes.

To configure barcode patterns within Barcode Configuration, select any of the following under the Content Setup
drop-down menu.

(Optional) Configure a prefix and/or suffix in a barcode pattern to hide characters that appear at the beginning or
end of the barcode. For example, a patient MRN at a hospital may always begin with “MRN”; if these three extra
characters are determined to be unnecessary, the barcode can be configured to remove them.
A prefix and/or suffix can be defined for the following barcode patterns:
Q Expiration Date: Defining a prefix and/or suffix eliminates parts of the encoded barcode data from the
value that appears as the expiration date in the Fluid A tab of the Informatics Panel.
Q Lot/Batch: Defining a prefix and/or suffix eliminates parts of the encoded barcode data from the value
that appears as the lot/batch in the Fluid A tab of the Informatics Panel.
Q Patient/Study: Defining a prefix and/or suffix eliminates parts of the encoded barcode data from the value
that is used to query the Modality Worklist for patient and study information.
Enter the barcode length and barcode pattern first, then configure the preix/suffix as needed.

NOTE: Using characters or symbols that do not match the “Barcode Pattern” field results in an error
message.

In Figure 12 - 7: - Prefix/Suffix, the barcode pattern established is “**###@.” In this example, the “**” and the “@”
was determined to be unnecessary; therefore, these values are configured as prefix and suffix, respectively, in order
to remove this information from the barcode.

12.4.2.3 Edit Barcode Pattern

Technologist barcodes are configured to identify the technologist. Technologist barcodes should not vary; therefore,
the barcode value will always be tied to the technologist configured in Barcode Configuration.
To configure technologist barcodes within Barcode Configuration, select Technologist Setup under the Content
Setup drop-down menu.

imported. Selecting Append Unique both adds new technologist information being imported and
keeps the existing technologist information.

12.4.3.5 Search for Technologist


Type either the badge barcode or Tech ID into the Search tool. Search results display under the Technologist section.

12.4.3.6 Edit Tech ID Displayed on the Certegra Workstation


Under the Technologist section, select BADGEBARCODE to display the badge barcode for the technologist or TECHID
to display the Tech ID for the technologist. Select Save when finished.

12.4.4 Export Barcode Configurations


To export CT or MR barcode configurations:
1. Under the Management drop-down menu, select Export.
2. Select Export.

3. When barcode configurations are successfully exported, a confirmation appears. The Result box provides a
summary of the types and number of files exported.

4. Select Download to download the file.

12.4.5 Import Barcode Configurations

NOTE: If importing configurations from a differing modality (CT or MR), Barcode Configuration
automatically blocks conflicting contrast information. Contrast information not conflicting will
be imported.

To import CT or MR barcode configurations:


1. Under the Management drop-down menu, select Import.

2. Under the Import section, select Overwrite or Append Unique.

NOTE: Selecting Overwrite replaces the existing barcode configurations with new data being imported.
Selecting Append Unique both adds new barcode configurations being imported and keep the
existing barcode configurations.

3. Select Browse.
4. Choose the specified file for upload, and select Open.
5. The file path appears in the Import window. If the correct file is selected, select Import.
6. When barcode configurations are successfully imported, the Result box provides a summary of the barcode
configurations that were successfully and unsuccessfully exported.
7. To copy the summary of the types and number of files exported, select Click to copy to clipboard.
8. To verify configuration data was successfully imported, browse the barcode patterns listed under Content
Setup. if the import was successful, imported barcode patterns appears.

12.5 Configuration Troubleshooting and Notes

The following errors can occur when configuring barcode patterns:


Q Duplicate Barcode Pattern Name: An error message occurs if adding or editing a barcode pattern with the
same name as an existing pattern. If this error occurs, rename the barcode pattern.
Q Duplicate Barcode Pattern: An error message occurs if adding or editing a barcode pattern that is a
duplicate of an existing pattern. A barcode pattern needs only to be configured once.
Q Overlapping Patterns: An error message occurs if adding or editing a barcode pattern with the same
number of characters as an existing pattern. The barcode reader will not differentiate between two
separate barcode patterns with the same number of characters. Select Cancel to disregard the changes, or
delete the overlapping pattern and re-enter the new pattern.

NOTE: On-screen error messages can occur and instruct in resolving data-entry issues. If unable to
resolve the issue following the instructions that appear, contact Service.

The following are general notes for consideration when configuring barcodes and barcode patterns:
Q Unidentified Barcode: The barcode or barcode pattern cannot be configured if a barcode is not
accompanied by any numbers or characters. Contact the manufacturer to retrieve the information stored
in the barcode.
Q Missing Barcode: The barcode or barcode pattern cannot be configured if the contrast packaging or label
does not provide a barcode for specific information. Contact the manufacturer.
Q Required Fields: Certain information fields are required. An error message displays if no information is
entered for these fields when Add or Update is selected.
Q Tip Window: Information fields can be accompanied by a symbol to indicate additional information is
available. Select the symbol to view the tip.

13 General Barcode Information


13.1 How to Use the Barcode Reader Accessory

13.1.1 Hand-Held Scan


1. Pick up the barcode reader. An aiming dot displays.

NOTE: The aiming dot is smaller when the barcode reader is closer to the barcode and larger when it is
farther away from the barcode. Barcodes with smaller bars or elements should be scanned closer
to the reader, whereas barcodes with larger bars or elements should be scanned farther from the
reader.

2. Ensure the aiming dot is centered on the barcode.

3. Press and hold the trigger until either:
a. The barcode is read. The reader beeps, the LED flashes, and the aiming dot turns off.

NOTE: If the Initialization barcode (11.3 - Scan Initialization Barcode for System Use) has not yet been
scanned, the barcode reader emits four low beeps. The barcode reader must be configured for use
with the injector system before any barcode information can be read and recognized by the
Certegra Workstation. Refer to 11 - Barcode Reader Accessory and Setup.

b. Or the barcode is not read, in which case the aiming dot turns off.

13.1.2 Hands-Free Scan


When placed in the stand, the barcode reader operates continuously. This allows for automatic barcode scanning
when a barcode is presented in the barcode reader’s field of view.
When the barcode reader is not being used for a predetermined period of time, the reader enters a low-power mode,
and the LED dims.
To operate the barcode in its stand:
1. Ensure the USB cable is properly connected to the barcode reader. Refer to 11.2.1 - Install USB Cable for
connection instructions.
2. Insert the barcode reader into the stand. Ensure the front of the reader is properly placed into the stand
“cup.”

3. Adjust the scan angle by bending the stand neck as necessary.
4. Place barcode into the reader’s field of view.
5. If the barcode has been successfully scanned, the reader emits a short high beep, and the LED momentarily
shuts off.

13.1.3 Beeps and LED Indications


The barcode reader emits a series of both beeps and colored LED lights to indicate either the status of the barcode
reader or the barcode scan.

a. A red X appears under the Events area of the Informatics Panel (Figure 13 - 3: - Events Tab - Barcode
Scans). This error message denotes either an unsuccessful barcode scan, a barcode pattern not
configured for use with the system, or any attempt to scan a barcode when scanning is prohibited by
the system.

13.3 Troubleshooting Barcode Reader Accessory


NOTE: On-screen error messages can occur and instruct in resolving data-entry issues. If unable to
resolve the issue following the instructions that appear, contact Service.

13.3.1 Reset Default Parameters (Optional)


1. To reset default parameters, scan the barcode in Figure 13 - 6: - Reset Default Parameters Barcode.

2. The barcode reader must be re-initialized for use with the injector system. Refer to 11.3 - Scan Initialization
Barcode for System Use for further instruction.

13.3.2 Removing the USB Cable If Necessary

NOTE: The barcode reader will not be powered if the cable is not plugged into the Certegra Workstation.

1. If applicable, remove the rear cover on the Certegra Workstation using a #2 Phillips screwdriver.

NOTE: If necessary, carefully tilt the face of the Certegra Workstation onto a flat service for better access
to both the rear cover and the USB ports.

2. Remove the USB cable from the Certegra Workstation.

3. Using a slotted or flat-blade screwdriver, press the USB cable’s connector clip through the access slot
located at the base of the barcode reader.

4. Carefully slide out cable.
5. To reconnect the USB cable to the barcode reader, refer to 11.2.1 - Install USB Cable.
6. If not reattaching the barcode reader to the Certegra Workstation, reinstall the rear cover if removed using
a #2 Phillips screwdriver.

13.4 Maintenance and Cleaning

13.4.1 General
This section contains recommended procedures for maintenance and cleaning of the barcode reader. Routine
maintenance and inspection will ensure continued performance of the barcode reader and reduce the possibility of
equipment malfunction.
The barcode reader must be properly maintained to ensure it is in peak operating condition. The individual
maintenance schedule depends upon how the barcode reader is used and the frequency of use. In general:
Q Do not allow abrasive material to touch the window.
Q Remove any dirt particles with a damp cloth.
Q Wipe the window using a tissue moistened with an approved cleaner (listed below).
Q Do not spray water or other cleaning liquids directly onto the window.
The manufacturer has tested and approved the following cleaning agents:

NOTE: Cleaners that contain active ingredients not listed below should not be used on the barcode
reader.

Q Isopropyl alcohol
Q Bleach/sodium hypochlorite
Q Hydrogen peroxide
Q Gentle dish soap and water

13.4.2 Daily
1. Dampen a cloth with one of the approved cleaning agents listed in 13.4.1 - General or use pre-moistened
wipes.

2. Gently wipe all surfaces, including the front, back, sides, top, and bottom of the barcode reader. Never
apply liquid directly to the scanner. Be careful not to let liquid pool around the scanner window, trigger,
cable connector, or any other area.
3. Clean the trigger and in-between the trigger and the housing. Use a cotton swab to reach tight or
inaccessible areas.
4. With a soft, non-abrasive cloth, immediately dry the scanner window after cleaning to prevent streaking.
5. Allow the unit to air dry before use.

13.4.3 Monthly
Keep a regular comprehensive cleaning routine to remove the natural build-up of dirt that occurs with everyday use
on connectors, the scanner window, and the main surface of the barcode reader.
1. Housing: Follow the instructions in 13.4.2 - Daily.
2. Scanner window: Wipe the scanner window with a lens tissue or other material suitable for cleaning
optical material, such as eyeglasses.
3. Scanner connector:
a. Dip a cotton swab in isopropyl alcohol.
b. Rub the cotton swab back-and-forth across the connector on the scanner. Do not leave any cotton res-
idue on the connector.
c. Repeat at least three times.
d. Use the cotton swab to remove any grease and dirt near the connector area.
e. Using a dry cotton swab, repeat steps b, c, and d. Do not apply alcohol as directed in any of these
steps.

13.5 Required Training


The barcode reader is intended for users and other clinicians certified in performing CT or MR scans (e.g.
Technologists) and trained in the use of all equipment used for performing such scans.
The Barcode Configuration feature under the Certegra Manager website may be used by either clinical or non-
clinical users (e.g. Administrators or IT/Biomed Technicians) responsible for configuration tasks in support of the
system’s operation.

13.6 Contraindications
None known.

13.7 Environmental Specifications

Operating Temperature: 32° F to 122° F (0° C to 50° C)

Storage Temperature: -40° F to 158° F (-40° C to 70° C)

Humidity: 5% to 95%, non condensing
