Dear Absa Fellow

RE: 2022 Academic Year Closing Out

It is hard to believe that 2022 is almost coming to an end. For you, this was a year for new things, life at varsity,
adjusting to student life, finding your feet academically, facing challenges, experiencing new opportunities,
making new friends and then some laughter and anxiety mixed into one pot.

To make sure we can close off the year and start 2023 fresh, we need to ensure that all the required
administration is up to date. For that to happen, you will need to ensure that the following is in place /
completed:

1) We require you to make sure that your mid-year results as well as a signed copy of both your contract
and offer letter is on file with Student Village. Please confirm with them that this is the case.

2) All university statements need to have a Zero balance sent to Student Village by 10 November 2022 for
verification.

3) We will pay the rent and medical aid for December for those fellows with a contractual obligation up
to 31 December 2022.

4) Please note that:

a. Medical Aid payments for 2023 will happen once the re-application process for 2023 is
completed and a new Fellowship Contract has been signed.

b. Rental agreements that continue into 2023 - Absa will only pay rent again for fellows once the
re-application process has been completed and a Fellowship contract for 2023 has been signed.
Any refunds for prior months will be at the discretion of Absa and will be communicated at the
time.

5) No payments towards the University or Landlord will be made after 30 November 2022. Any statement
& invoice reflecting outstanding fees (including arrears) that was not sent to Absa by 9 November 2022
for end of November payment release will have to be paid by the student and will not be refunded by
Absa.

6) Leadership Programme e-learning on Promote needs to be 100% completed by 31 December 2022.

a. You have until 7 December 2022 to check that all your links and modules are accessible as there
will be no support after the 7th to unlock or assist with any issues you experience on Promote.

7) The re-application process for 2023 will be as follows:

a. You will be required to upload your 2022 Academic results to be submitted between
15 December 2022 and 10 January 2023 using the Box Folder link that will be sent to you to
the email address we have been using throughout the year.

Save the Document as your Name and Surname and ensure that it is not password protected.

How to remove password on document

1. Open Document
2. Put in your password, if prompted.
3. Click the “Print” icon and select “Save as pdf” from the drop-down menu.
4. Click “Save”
5. The new window will pop up, prompting you to save a new file. Rename it and click save.
6. To check that you have successfully saved document without password - Click on
document to open, it will not need the password to open it.

b. Please make sure you received the Box email and if not, notify Marlise vd Merwe on
marlise.vandermerwe@absa.africa by 30 November 2022. Failure to do so, will prevent you
from uploading your results and NO late submissions will be considered as the link access to
upload will expire on 10 January 2023.

c. If you have a supplementary exam or for any reason will not have your results by 10 January
2023, you will need to notify Marlise vd Merwe on marlise.vandermerwe@absa.africa by
5 January 2023 so that arrangements for late submission can be made.
