Chapter I
INTRODUCTION

This chapter contains the Project Context, Purpose and Description, Objectives,

Scope and Delimitation, and the Significance of the Study.

Project Context

Information Technology plays an important role for the advancement of education

which has been very beneficial for various educational organizations in the world. Shifting

from traditional to modern educational services and methods brought a more effective and

efficient way of transacting and managing student information. Most of the schools have been

automated and transformed digitally in order to lessen errors, workloads and provide an easy

transacting method to the students and faculty of an organization.

Web-based enrolment system is a computer- generated enrolment system which allows

the students to enroll and for the faculty to view the enrollees they are handling. Before

enrolment, students must have to finish school verification which serves as a permission for

students who already complied and paid all the necessary things to settle in their current grade

in order to enroll for higher level. Students who have not yet settled their compliance will have

a pending verification. This web-based verification together with the enrolment system will

automate the way students finish their verification and proceed to enrolment. Enrollment

systems enable the organization to easily access and update accurate student information if

needed.

Hanawan National High School uses the traditional or manual enrolment system and

verification compliance which consumes more time and costs, resources and lack of

productivity for students/parents and employees. Manually inputting a student’s information

will result in the delay of reports and the student’s evaluation. This slows down the enrollment

process. And since the enrollment is manually inputted, some student’s information can be

misplaced and disorganized, data tallying and updating takes time.

Purpose and Description

The purpose of this study is to develop a Web-based Verification and Enrolment

System for Hanawan National High School. This study develops a system for the faculty and

students of Hanawan National High School to automate and make their enrolment processes

effective and efficient.

The system provides a web-based enrolment in which it is accessible anytime anywhere

especially in remote areas. The proposed system includes Verification Completion through

request, Enrolment request after finishing the verification, Viewing of Enrollees, Checking the

schedules of the students, and Viewing the Grades.

Objectives

Generally, the project aims to design and develop a “Web-based Verification and

Enrolment System” for Hanawan National High School to provide better and organize the

process of enrolment of students.

Specifically, the project aims to:

1. Gather and analyze relevant necessary data to develop the system.

2. Design and develop the Web-based Verification and Enrolment System for

Hanawan National High School with its features and functionalities.

3. Test and evaluate the system based on ISO 9216 Software Quality Standard

specifically its functionality, usability and reliability.

Scope and Delimitation

The proposed Web-based Verification and Enrolment System is designed and

developed for the online enrolment of students in Hanawan National High School. The process

of the system includes Verification Completion through request, Enrolment request after

finishing the verification, Viewing of Enrollees, Checking the schedules of the students, and

Viewing the Grades. Here are the functionalities: uploading of requirements/documents,

retrieving of documents, updating of grades by the faculty, viewing of grades, uploading and

viewing of profile, printing documents, viewing of enrollees, and viewing of faculty.

The system limitation is that only each student can view their grades and are not

subjected to updating and editing; only the faculty can edit and update the grades and complex

information. Students can only manage their profile information. The study only focused on

Junior High School and Senior High School students' web-based enrollment and verification

compliance at Hanawan National High School located at Ocampo, Camarines Sur.

Significance of the Study

The proposed system will provide the tools needed in improving the verification and

enrolment processes for students. In addition, the result of the study offers significant

information to the following:

Hanawan National High School. The study focuses on developing a system for the

improvement of verification and enrolment processes in Hanawan National High School.

Students. The students are able to do enrollment transactions just by logging in into the web-

based enrollment system, see updates and view their schedules and grades.

Faculty. The faculty can view the number of enrollees, manage and update the grades of the

students and retrieve and store enrollee’s documents.

Future Researchers. The study may serve as the basis of future researchers for the related

studies in the future improvement of the system.

Chapter II
REVIEW OF RELATED LITERATURE AND SYSTEMS

This chapter contains the related literature, review of related systems, synthesis of the

state-of-the-art, gap bridge of the study, and definition of terms.

Related Literature

The study of (Morris, 2019) states that a supportive environment for new students to

understand their needs and provide processes to cater and fulfill those necessities. If not,

student’s enrolment will decline. Some issues on enrolment processes were identified which

includes lack of structure on university policies and procedures pertaining to customer service.

Contacts on school are not available for inquiries and enrolment staff are not cross-trained in

providing multi-services for the students. Lastly, correlation between the quantitative student’s

data and qualitative staff must be improved to provide better customer service at the university.

The study of (Pascua et al, 2020) noted that the enrolment system will provide admin

enrolment assistance. It will resolve the manual enrolment problems, such as large numbers of

paper-works and lack of security. The enrolment system is very beneficial for the clients,

primarily the registrar in making their work easier, faster and secure in keeping all the data of

students. Storing and retrieving data is efficient.

Furthermore, the study of (Purificacion, 2017) on Student Enrolment Management

System (SEMS) shows that using SEMS has increased the efficiency of the frontline service

providers to the clients since the processes are automated. SEMS has a significant effect on the

quality of services, accuracy of records and reports and timeliness in enrolment processes.

Moreover, the study of (Sunga, 2016) applying the Service Quality Dimensions in

determining the quality service of the enrolment system services and personnel services of

Pangasinan State University-Lingayen Campus shows that enrolment system provides

satisfiable service quality for the personnel in various offices such as registrar office,

assessment office and cashier office in transacting students enrolment processes.

In addition to (Sunga, 2016). According to (Capanas, 2018) on the usability of

Pangasinan State University Enrolment System states that the significance of the system in

terms of effectiveness, efficiency and satisfaction of the students is very good or highly

acceptable. In which the system caters to a more reliable, acceptable and secured enrolment

system.

According to (Chamilco et al. 2021) enrolment process becomes very complex when it

consumes so much time, effort and resources in every transaction. So, it is needed to optimize

the processes through implementing a digital enrollment system. This enables collaborative

work between the institutions and students since it provides transparency and equal access in

distance education especially in times of uncertainty.

The study of (Miranda, et al. 2019) enrolment system with analytics is developed which

includes scheduling, division of classes and supervision of registration requirements to

innovate enrollment system in terms of handling large numbers of enrollees including the

assignment of schedules and their respective sections. Record keeping and retrieving of

enrollee’s documents will enable fast and accessible transactions. Incorporating descriptive

analytics to the enrolment system will provide accurate and updated enrollment reports.

Review of Related Systems

The study of (Yusoph, 2018) built a web-based student verification system which help

the student respective signatories to lessen the time due to lacking time efficiency. In this

system the student will just need to click the cleared button if the student has no problem.

Moreover, the study of (Binayao et al., 2021) developed an online enrollment system

for Liceo de Cagayan University. This system was proposed for the improvement of the present

registration system. The study aimed at creating a system that would provide another option

for enrolling and that would compensate for the school’s lack of manpower and time-

consuming system.

Azul et al., (2021) developed an online-based enrollment system for Jesus the Heart of

God Christian Academy, Inc. which focuses on the modernization of their enrollment process.

The proponent wants to improve the school's old system by offering a new system, which is

the online enrollment system with a web site.

Furthermore, the study of (Aliňo et al.,2021) developed an Online Enrollment

Management System for Tertiary Level of CSCQC which manages processes in the industrial

work environment. This development has reduced human errors and processing time; thus, it

can increase productivity and has led to high quality products. It can result in a system with

well-integrated processes that can perform a manual system much more quickly and precisely.

The study of (Arpitha, 2020) built an online college admission management system

which the process involves the admission for all the departments of the Institution like finance

section, student section and all the other sections. This study focused on automatic online

admission which benefits the students as well as the institution in the admission process.

In addition, the study of (Co, & Go, 2019) creates a multipurpose enrollment system

services hub application that uses data structures and algorithms. These different algorithms

are effectively used to permanently store data, display certain items correctly and prevent any

errors throughout the whole program.

Additionally, the study of (Campos, 2019) developed a computerized students-advising

and enrollment which the primary purpose is to organize the level of the student records. The

system was expected to improve the school's consultation and enrollment processes, and also

enable the generation of low-cost and economical technologies such as SMS and barcodes that

are integrated into the computerized enrollment system.

According to (Oluranti, Funmilayo, Robertas, Rytis, & Marcelo, 2019), it is mandatory

for students of an educational institution to exit the system in an orderly manner, the students

usually do this through the mandatory verification process. The proposed online verification

system for educational institutions will overcome the issues with manual processing while

improving on the identified automated ones. This web-based system is built using Hypertext

Markup Language (HTML) along with PHP for business logic layer, CSS for proper rendering

of display pages of the front end and MySQL for the data layer.

Laydia, Marasigan, & Venson, (2019) developed an enrollment system using barcode

for Hermend School which gives further information about the enrollment process to know

how many students are enrolled in every year level. It has the feature of making automatic

enrolment forms. The system does not cover the calculation of student grades, classroom

planning, visualization of subjects and teachers and payment of fees.

Synthesis of the State-of-the-Art

The study of (Morris, 2019), (Pascua, et al., 2020), (Purificacion, 2017), (Sunga, 2016),

(Capanas, 2018), (Chimalco, et al., 2021), (Yusoph, 2018), (Binayao, et al., 2021), (Azul, et

al., 2021), (Aliño, et al., 2021), and (Arpitha, 2020) focuses on the importance and

improvement on enrolment processes through the use of online/web- based enrolment system.

(Miranda, et al., 2019) & (Co, & Go, 2019) focuses on developing enrolment systems such as

using descriptive analytics and data structures and algorithms to upgrade the system’s

functionality and storage capacity. Moreover, the study of (Campos, 2019) & (Laydia,

Marasigan, & Venson, 2019) designed and developed an enrolment system with SMS and

barcodes for automatic records of enrollees. The study of (Oluranti, Funmilayo, Robertas,

Rytis, & Marcelo, 2019), built the system using Hypertext Markup Language (HTML) and

PHP, CSS for front end and MySQL for database.

Gap Bridge of the Study

The study aimed to design and develop a verification and enrollment system for

Hanawan National High School.

The researchers have examined and studied the related literature and systems to

characterize the functions of the current system. The system offers some progress and

contribution to the inadequacies of the related system. The proposed study did not only focus

on the development of a proposed verification and enrollment system for Hanawan National

High School but also satisfied and met the necessity of Hanawan students, teachers and staff

with a functional, reliable and useful verification and enrollment system. The proposed system

integrates the enrollment and verification system that provides three modules and interfaces;

the admin, the faculty and the student.

Definition and Terms

To provide clarity and understanding of this study, the following terms were

conceptually and operationally defined.

Verification. Official permission that is given to somebody before they can work somewhere,

have particular information, or do something they want to do (Oxford Dictionary, n.d.)

Development. The process of producing or creating something new or more advanced; a new

or advanced product or idea (Oxford Dictionary, n.d.)

Enrollment. The act of officially joining a course, school, etc.; the number of people who do

this. (Oxford Dictionary, n.d.)

Hardware. The tangible component of the computer and related devices that enables the data

processing.

ISO 9126 Software Quality Standard. A software quality model which categorizes into six

characteristics which are sub-divided into sub-characteristics. The characteristics are

manifested externally when the software is used as a consequence of internal software

attributes. (Arisa.com, n.d.)

Report. The collection of information describing the details or results of the performance of

the students.

Schedule. A plan of organized details of activities and events with the date and time to be

completed.

Software. Software comprises the entire set of programs, procedures, and routines associated

with the operation of a computer system. An instruction that tells a computer what to do.

Web-based. A computer-based learning materials posted on the World Wide Web or available

through the internet.

Chapter III

TECHNICAL BACKGROUND

This chapter contains the hardware and software requirements specifications of the

system. The development of the proposal system will not be possible if it were not for the

following requirements.

Software requirements

The software requirements below are used by the developers to design the front-end,

build the back-end, and connect it to the database for the web-based verification and enrollment

system.

Table 3.1 presents the software requirements to develop the proposed system. The

proposed system is composed of verification and enrollment features. For the structure and

style display of the system, the researcher used HTML (Hypertext Markup Language) and CSS

(Cascading Stylesheet). The system is programmed in Visual Studio Code (Code), and an

Apache HTTP Server by Xampp that will serve as a web server for the system.

Hardware Requirements

The hardware requirements below are used for the design and development phase of

the project, database testing, and performance analysis.

Table 3.2 displays the hardware requirements to develop the proposed system. The

system is programmed using an Intel Core i5 Laptop with 4 GB RAM and a ROM with

256GB SSD capacity. An ethernet cable for internet access and an EPSON L3150 Printer for

printing documents.

Chapter IV

METHODOLOGY

This chapter discusses requirement specifications, analysis, design, data dictionary,

development and testing, and statistical tools.

Requirement Specifications

This section contains the functions of the DWVES (Development of Web-Based

Verification and Enrollment System for Hanawan National High School.

Figure 4.1 displays the main functions of the system such as System Set up,

Registration, Verification Module, Enrollment module, Generating the Grade Report and

Instructor Module. The Admin Module is designed for the admin, where this module includes

the adding of class, adding of subjects and assigning of the schedules. The system set up is

needed to be done before the students access the system and do their verification and

enrollment. The student and the faculty are also required to register to have their own account

to access the system. The student can now easily have their verification by just requesting and

if it is approved, they can submit it and proceed to the enrollment module where they can

enroll, choose their section and upload the needed data or document for them to enroll.

The faculty are also required to register to the system; because they are the one who

will approve the verification of the student and verify the data submitted by the students. The

student can also view, download and print their grade report

In Figure 4.2, the admin is associated with add class, add subject, and assign schedule, this data

is needed before the student can access the system and do their verification and enrollment. The faculty

have the important role in this system, because they the who will generate the report and upload the

data of the student, they are also the one who will verify the student’s uploaded data and the one who

will approve or denied their verification

Analysis

This section contains the result of the PIECES analysis on the Development of Web-

based Verification and Enrollment System based on the given conditions following:

Performance

The Web-based Verification and enrollment is easy to use because the very first thing

that is needed to use this system is just a smartphone, computer, laptop or any gadget that has

a browser and it also need an internet connectivity, and we know that most us can now access

to those things, so it will be easy to use.

Information

The information produced by the proposed system is relevant or important for the

students and also for the faculty. However, the information that is given by the students still

needs to be verified by the faculty and staff to have accurate and reliable information on the

system.

The data and information are securely stored in a web server. So, the faculty or staff of

the school can easily manage and fetch all the needed information of the student.

Economics

The researcher acquired a PLDT home wifi which cost P1,999 and a ream of bond

paper for document printing costs P225. The total expense of the researchers is P2,224.

Control

The data management is controlled easily and all the data and information are securely

stored in the database on the web server. Those data and information can only be accessed by

the faculty and the authorized personnel, each student account is secure and private.

Efficiency

When it comes to the efficiency of the system, this will be a handful to the user, because

the proposed system is designed to have a user-friendly interface so the system is very easy to

handle, and the processing of the verification and enrollment will be faster than the manual

process.

Service

The proposed system is easy to use and reliable, this system will surely result in a

manageable processing of the verification and enrollment of the student that will result in a

quality service of the school to their students.

Design

The design of the Development of Web-based Verification and Enrollment System –

(DWVES) is illustrated by a swim lane diagram. Figure 4.3 presents the swimlane diagram,

the processes in each actor’s lane summarizes the system as a whole figure.

As illustrated in Figure 4.3, the process will start at the admin lane in which the admin

adds class, subjects and schedule. After adding, the faculty can now register to the system and

assign schedules by the admin. After the faculty registration, students can register on the

system and request for verification before proceeding to the enrollment. The faculty will verify

the requested verification of the students including the grades and school fees. If the students

have already finished the verification, they can now proceed to enrollment module. Students

can request enrollment; once done, they can now choose their section. If there are additional

documents needed, an option to submit will display on the screen. The system allows the

students to view the enrollees and grades of the students. Grades can only view by respective

students. Printing and viewing of documents are available but limited to the owner of the

document and the faculty for privacy and security.

illustration of tables in the database and their relationship to one another.

Figure 4.4 displays the Entity-Relationship Diagram for the “Development of Web-

based Verification and Enrollment System for Hanawan National High School. The figure

shows tables which include the attributes and its relationship to each other. The tables are

enrollments, verification, faculty, students, class, subjects, rooms, account, academic year,

schedules, student has schedule, faculty has schedule, student has verification, and students has

enrollment.

Data Dictionary

This section presents the data dictionary for the Development of Web-based Verification

and Enrollment System (DWCES) for HNHS. It discusses each table and attributes of the

entity-relationship diagram of the system.

National High School is based on the Spiral Lifecycle model.

The spiral model is a systems development lifecycle (SDLC) that is similar to

incremental system development but focuses more on risk analysis. The phases of the spiral

model include Planning, Design, Development and Testing, and Evaluation and Risk Analysis.

Iterations of these phases are repeated throughout a software project.

The planning phase involves collecting data from the respondent using a questionnaire

in order to evaluate the feasibility of the project. In this iteration, researchers will issue a

questionnaire to the school faculty and students of Hanawan National High School. After

gathering the data from the respondents, the researcher will analyze the acquired data that will

serve as a developmental basis.

In the design phase, techniques to be employed are data flow diagram, functional

diagram, data flow diagram, system flowchart, entity relationship diagram and data dictionary

that will be done in this phase. All necessary input data and outputs were identified and

planned.

Then, in the development and testing phase, creating algorithms and coding is done.

Researchers using MySQL, Hypertext Markup Language (HTML), Cascading Style Sheet

(CSS), Hypertext Pre- Processor (PHP) will be used in developing the online verification and

enrollment system.

Lastly, evaluation and risk analysis phase include feedback from stakeholders to be

evaluated, analyzed and applied on the iteration of the development process.

Statistical Tools

The researcher will use descriptive statistics to assess and summarize the data obtained

using graphs and visual representations of the data in order to determine the overall percentage

on the quality and usefulness of the online verification and enrollment for Hanawan National

High School. To get the average result for the sample, the data were collected by collecting the

respondents' scores and calculating their percentage.

The researcher used the weighted mean to interpret and simplify the gathered data from

the respondents.

p = is the frequency

x = is the weight

Σf = is the total number of respondents

In the testing phase of this study, the researcher uses a survey as data collection

instrument to assess the system and gather feedback from respondents and to evaluate the

quality of the software, based from the ISO 9126 Software Quality Standard. The researcher

used a five (5) point Likert Scale on the testing phase of the system to assess the functionality,

usability and reliability of the system.
