1. Welcome and greet the guest.
2. Ask for guest’s name if not known to you. Check his name at the reservations rack
or arrival list. If not in the list, consider him walk-in guest
3. Give a registration form for the guest to fill up. Make sure it is duly signed and that
all needed information are entered on the form
4. For those without reservation, ask details like manner of payment, duration of stay,
etc. This information may be available in the reservation form in case there is an
advance reservation or registration
5. On the lower portion of the registration form, indicate the room number, room rate,
applicable discount if any and affix your signature. Then time stamp the registration
card at the back.
6. Endorse the registration form to the cashier for bill settlement. If the guest is booking
under a guaranteed company account, check if the letter of authorization from the
company is already forwarded to the hotel. If not, ask the guest if he has the
document.
7. If the guest neither has the authorization letter, discreetly tell the guest that he has
to be booked on personal account to be adjusted as company account upon the
receipt of the authorization letter.
8. Once the bill is settled, prepare the guest ID and give it to the guest.
9. Call the bell service to accompany the guest to his room. Mention guest name and
give the bellboy rooming instruction
10. Wish the guest a pleasant stay.
11. Prepare a guest folio. This is a document where all records and accounts of guest
are entered. It is place inside an envelope or folder.. Place the folio on the guest
rack/room rack. Complete the following information:
a. Room number
b. Number of guests
c. Room rate & guest’s address
d. Card number
e. Other remarks like cash basis
f. Guest name
g. Arrival/departure
12. On one side of the folio, make notations like: personal account; charge to company
or charge to travel
13. Enter the guests’ name and other details other details on the computer or on the
guest’s list. Place original in the room rack, give copy to Telephone exchange and
Housekeeping Department.
14. Enter the information on guest booking in the room status indicator or in the rack or
computer whichever is used by the hotel. If manual is used, change the code.
15. Update the room status indicator/rack. If computerized room status is used, adjust
the computer entry. If manual is used, change the code.
16. If the hotel is fully booked, assist the guest in getting accommodation elsewhere and
offer to transfer them to the hotel once a room will be available.
