• The concept of consistent weekly Interface meeting is the kind of a grievance portal which provided facilitation between the Interface Managers
(Contractor’s Interface Managers/Project Managers) of all the parties under Interface manager of mediator party (GEC Interface Manager), which
comprises the following procedures/systematic methodologies, defined action plan of interface, segregation / identification of Interface Issues, fixing
responsibilities, targets etc., for the expedition of work progress of a project: -

DEFINING INTERFACE MANAGEMENT
❑WHAT IS INTERFACE MANAGEMENT:
➢Interface management includes the activities of defining, controlling,
and communicating the information needed to enable unrelated
objects (including systems, services, equipment, software, and data)
to co-function. Most new systems or services require
external interfaces with other systems or services.

PURPOSE AND SCOPE OF INTERFACE MANAGEMENT PLAN
❑ The purpose of the Interface Management Plan (IMP) is to develop and explain the processes that Package System
Contractor’s will apply to manage all the interfaces:
➢ Internal Interfaces to a Package of System Contractor’s sub-systems,
➢ Internal Interfaces to System Contractor's scope of works i.e. between two different System Contractor sub-systems,
➢ External Interfaces to the Package of System Contractor’s scope of works:
▪ Either between the Package System Contractor and other Designated Contractors of System Works.
• Or,
• Liaising between the Package of System Contractor and Government Agencies or other third parties, e.g. Electricity

SCOPE OF INTERFACE MANAGEMENT
❑ As per Contract Conditions, the Interface Management Plan (IMP) is used to explain the
methodology, processes and procedures to:
➢ identify
➢ define
➢ allocate the share of work and the responsibilities
➢ resolve
➢ Implement
➢ validate each interface
❑ The Interface Management Plan also includes a description on how the above processes is
managed and controlled.
➢ System Contractor will adopt at all level the Interface Management Plan in order to ensure
that the right level of information will be exchanged in the same format amongst all Project
Interface Partners.

ROLE OF GEC INTERFACE MANAGER PERTAINING TO MONITORING AND RESOLVING INTERFACE ISSUES OF CIVIL AND SYSTEM
CONTRACTOR WITH EACH OTHER AND WITH OTHER PROJECT PACKAGES
• Ensure Site Access for both Contractors based on their Critical Path Method Schedule Tasks and the Employers requirement to limit,
• Ensure the compatibility of the Systems and Civil contractors designs by proper Liaising among System and Civil Contractor or system
contractor's sub-systems.
• On weekly basis, work to resolve Physical Obstructions (Hindrances) to Systems Works and Civil Works Installations.
• Set targets for the integration of Systems equipment with Civil Works;
• Maintained CONTRACTOR’S WEEKLY INTERFACE MEETING MINUTES and ensure that all the contractors agree to decisions derived
from meetings on the resolution of Interface issues pertaining to responsibility matrix/ Interface matrix, by allotting a unique issue number
that never repeats, wherein closed issues in the current MOM removes in the next MOM of Interface Meeting and the new issue starts with
the new issue number.
• Maintained CONTRACTOR’s WEEKLY INTERFACE MEETING MINUTES with contractors, by discussing INTERFACE ISSUES, by
sharing of weekly plans of one contractor to avoid the damage of dependent adjacent contractor, e.g. SHARING of as on date status &
weekly plan of Civil contractor/other contractors for the installations of System contractor and SHARING of the weekly plan of Civil contractor
to avoid the damage to system contractor’s work.
• If some Interface issues cannot get resolve in across the table discussions of both the contractors/stakeholders in the weekly
Interface meeting, then the dec ision of Joint Inspection taken for Joint Site Visits / joint survey at respective site locations with the
availability/decisions of concerned authorized / related stakeholders..
• Maintained INTERFACE REGISTER on the basis of issues mentioned/discussed in weekly Interface meetings conducted by GEC Interface
Manager, with both system contractor’s and Civil contractor’s representatives, which INDICATES BOTH CLOSED & OPEN INTERFACE
ISSUES, based on system contractor’s works.
• Maintained HO/TO INTERFACE CHECKLIST DOCUMENTs DURING T AKING OVER OF THE SYSTEM CONTRACTOR, FOR HANDING
OVER FROM CIVIL CONTRACTOR/other contract packages, pertaining to the requirements of system contractor from the Civil contractor
needs to be fulfilled by Civil contractor for System contractor's further work activities, for providing complete access to further work to System
contractor.
