Position Task and Responsibility


- Set up the webinar.
- Make sure that the committee is ready before, during, and after
the webinar.
- Make sure everything goes as planned for the webinar.
- Choosing a suitable time for a talk
- Examining how each duty was completed by each team member
- Drafting and reviewing the work papers and dividing the work
according to the individuals' areas of expertise
Director
- confirming that all the preparations are in good shape.
- Always remind members.
- Always on the lookout for plan modifications and prepared
solutions
- Manage the situation if anything changes.
- As soon as the webinar is over, make sure all reports are
delivered before the deadline.

- Choosing the best webinar title with group members


- Reviewing the secretary's provided documentation
- Instruct the Registration Committee to always provide essential
Deputy Director
reminders to participants through the Telegram group.
- Assisting other committee members in carrying out their
responsibilities.
- Prepare webinar working papers as well as invitation letters.
- Keep a record of everything that is significant.
- Before giving documents to the dean of the School of Business
Secretary Management, prepare and proofread the documents
- Instruct the Registration Committee to provide a link for
registration. Helping the committee with programme
announcements.

- Reminding each committee member of their responsibilities in


making sure the programme goes successfully.
- Informing the Registration Committee that the registration link
will be closed in five minutes.
- Reminds the Treasurer of the webinar’s financial status.

- Participate in the weekly meeting to handle the program's


finances.
- Keeping track of and estimating programme expenditures.
- Gather real programme expenditures and provide a financial
report to the secretary.
Treasurer - Keep track of any money that enters the program's bank
account.
- Keep track of any money withdrawals for the program
- Assuring enough programme funding.
- Giving the current programme financial report to the secretary
on money release for programme usage
- Host the webinar through the webinar
- Control the timing and ensure that each slot runs smoothly.
Moderator
- Introduce the webinar participant to the speaker's background.
- Monitor participant questions and tell the speaker
- Responsible for creating the program's layout so that it operates
smoothly.
- Prepare a script for the event's host.
- Communicate with other team members and be adaptable when
Protocol Team
scripting.
- Ensure that committee members arrive at the Webex early.
- Ensure that the speaker has been linked to Webex.
- Ensure that the ceremony's schedule performs smoothly.

- Create a Google Form for webinar registration.


- Create a QR code for the poster and monitor participation during
the webinar.
- Use the "Google Form" to ensure that the registration and
attendance process works well.
Registration Team
- Check the registration list since some participants register and
fill out information incorrectly.
- Contacts participants who filled out the "Google Form"
personally and requests more information to finish what was
incomplete.
- Create a poster to advertise the webinar
- Prepare a virtual background for the committee members and

webinar participants to use throughout the webinar.
Team
- Create an Attractive Paragraph to introduce the webinar to
students at Universiti Utara Malaysia.
- Perform a sound check to ensure that all sound and the
microphones of the speaker and moderator are clear.
- Assist speakers and participants with technological issues.
- Keep an eye out for and reply to participant feedback and
Technical Team questions.
- During the webinar, share screen videos such as the national
anthem and QR code attendance.
- During and after the webinar, upload programme details
feedback.

There are 26 slides in all that were given during the webinar. The slides contain posters, a video
of the national anthem Negaraku, and Biru Warna. Questions and QR code attendance are also
included at the end of the slides. Refer to the appendix for the slides.

For the purpose of communication with the speaker, the webinar has to be conducted in Malay.
Thus, all of the prepared questions are in Malay. Additionally, the questions are organised into
8 topics each of which has questions that are applicable to that specific topic.
