DIRECTION TO THE CANDIDATE:
1. This Assessment Paper (AP) is to assess your performance on prepare FM
communication plan, perform correspondence management, monitor project
meetings and prepare project presentations. Please complete the assignment below
within 14 days.
2. Carefully review the submission checklist and contact your resource person for
consultation. You must complete all steps satisfactorily within the time given.
3. Submit complete AP (in Softcopy PDF format). No mark will be given to late submission
hence will be given Not Yet Competent as result. Passing mark is 70%.

ASSESSMENT QUESTION:
Since its formation in 2000, PJ International College (PIC) has firmly established a reputation
as an academic leader. Founded to meet the needs of both local and global families, PIC
educates over 3,400 students from more than 20 countries and employs approximately 500
people as academician and supporting staff. PIC offers Certificate and Diploma programs in
Business & Management, Hospitality and Islamic Studies. Offering state-of the management
educational and adequate facilities such as class rooms, library, computer rooms, cafeteria,
hostel and sport facilities coupled with student-centred philosophy and values, PIC prides
itself on the academic and personal success of its staff and students. With outstanding exam
results, many PIC’s graduates have gone on to study at leading universities in Malaysia and
across the global. PIC’s mission is to provide world class educational excellence to the students
and community.
Your Assessment Report should at least answer the questions below:
1) Generate a communication plan for PJ International College with all stakeholders are
identified, assigned with responsibilities according to identified tasks in the facility so
that critical information is relayed to the relevant and respective stakeholder in a
timely manner.
2) Establish a procedure on correspondence management which include format and type
of correspondence that covers activities such as maintenance activities, spare parts
audit and parts dispose activities.
3) Create a brief meeting minutes in response to an incident involving vandalism issues.
The meeting’s objective is to deliberate on the vandalism issue and find solutions to
address the matter. The minutes should at minimum include details of the meeting
info, attendance record, discussed matters and the action plan using WHAT, HOW,
WHO, WHEN and status as the format.
4) Prepare a presentation to explain the vandalism issues meeting outcomes to identified
stakeholders. Brief on the issues, state propose actions to prevent recurrence and
setting out key implementation timeline.
