A. Background:
An appointment system to manage and schedule OPD visits with time schedules of doctor and
patients will help hospital to manage queues and inconsistencies. The system will enable hospital to
effectively manage OPD tickets, their history, and other visits. The appointments will ensure the best
usage of the time of the doctor and patients. Along, with the visits the finance can also be managed
better. System will also have a web interface so that anyone needing visits can register and book an
appointment online which will ensure proper information to the visitors and saving of the time.

- To effectively manage the schedules of the doctors.

- To make easy to get appointments for the visitors and smoother delivery of the services.

- To manage OPD related finances effectively

C. The Solution
The solution is the create web-based appointment application and integrate it with he website of
the hospital that will help manage OPD schedules effectively.

- Appointment System
o Web Interface for general patients / customers to visit.
▪ This will help collect information of the visitors.
o Web Interface for the Doctors
▪ This will help doctors to manage their schedules.
o Mobile App for doctors and Employees
▪ This will help doctors to get their information easily.
▪ This will also help employees who manage schedules and appointments
easier to view the information and update as necessary.
o SMS Communication interface
▪ Whenever an appointment is created, we can send SMS to visitors, and they
are updated.
▪ Change in Appointment can be texted to visitors and/or call can be made to
confirm the appointment.
- Integration of Appointment system into the ERP system for better control and better
reporting.

D. Proposed Solution
- Crystal can develop appointment system and integrate it with the Crystal ERP (HR) system so
that it can be controlled same backend and reports are available in the same system.
- Website can be designed / developed separately, and system can be integrated with the
website OR the website can be developed within the system.

The appointment system itself can be integrated with ERP system and help manage
whole system easily.

1. Appointment System
a. Doctor Registration & Management
i. This can be integrated with HRM system.
ii. Doctor’s Profiling
1. With their specialty and history of expertise which will help patients
to know who the doctor is and his/her experience / capabilities.
iii. History of Appointment and systems.
b. Patient Registration
i. Patient Registration can be done via website and mobile app.
1. Patient themselves can register themselves and take appointments.
2. Employees can create appointments on behalf of the patients.
ii. Details of Patients with their history of Appointments
iii. Patient Code (in-patient number) can be generated and/or added with the
patient to know re-visiting patient. This code can be helpful to cross-
reference patient with existing hospital system ( Medipro and/or any other )
c. Appointment
i. Registering appointments by patient or by the employees.
ii. Change of appointment dates and doctors.
iii. Cancellation of appointments.
iv. Updates and logs / notes within the appointment. Like, writing reasons why
appointment was cancelled.
v. Tag system of appointment
1. An appointment can have multiple tags and employees / user can
filter appointments with proper tags to escalate the appointment
for dates.
vi. Categorization of appointments
vii. Level of appointment: URGENT, IMPORTANT and General
1. Patient with important follow ups can be categorized to be seen
with priority.
viii. Appointment comment system along with cancellation reason
1. Doctor can write comment on appointment about availability and
other details.
2. Employees can write comment like why the appointment is
cancelled and/or rescheduled.
