Minutes of Board Meeting


September 17, 2023

The Stonewood P.O.A. Board met September 17, 2023, at Lynda Hicklin’s house to
discuss several items of interest leading up to the annual meeting on Sunday. The
following Board members were in attendance:

The issue of having Stonewood, Copper Creek and Embry Acres moved to zip code
72703 was discussed. The Board agreed it would be worthwhile to see if this could be
pursued again after the previous effort was denied by the U.S.P.S.

Lynda suggested and the Board agreed that a letter of commendation should be sent to
Susan White thanking her for her years of service on the Board.

Concern was expressed about the number of mailboxes in the neighborhood in need of
repair, typically because of broken doors. Randy said he would talk to a person who
does these types of repairs to see if he would offer a volume discount if we could get
enough people interested. The problem will be that the mailboxes have to be taken to
the repair shop.

Randy volunteered to survey the subdivision to see how many streetlights were out so
Ozarks Electric can be notified. He will also identify any home where the yard lights are
not turned on or are not working.

There is a situation where a homeowner is parking a car on the grass in their yard.
They have refused to remedy the situation despite being asked to do so. Lynda has
contacted Code Enforcement with the City of Fayetteville, and they have agreed to
begin the process of forcing compliance by the homeowner.

Houses that are being rented out by their owners continue to pose problems with their
lack of upkeep of the landscaping. Lynda proposed that homeowners leasing their
houses to renters be required to sign an agreement that they will provide the renters
with a copy of our covenants and have the renters agree in writing to follow the
covenants.
Some property owners have complained about their neighbor’s barking dog(s). This is
also an issue with rental properties. Animal Control with the City of Fayetteville has
been notified about the problem and is investigating, although they went to the wrong
house initially.

Lynda has suggested that we develop a new letterhead for our written correspondence.
The Board agreed, so Lynda will work with someone she has identified who does that
kind of work.

Our current method of receiving maintenance fee payments is mailing the payments to
Bob Anderson’s address. Because of the number of mailbox thefts, the suggestion was
made to possibly rent a post office box. It’s too late to make a change for this year’s
billing cycle, so this will be explored further in the future.

Multiple board members expressed concern about the lack of information on what size
houses are going to be built in the new subdivision behind Stonewood. Nobody they’ve
been able to contact, if they’ve been able to contact anybody, can give them a clear
answer. One Board member pointed out that there are no fire hydrants.
